Introduction What is Qbox? Qbox is a folder on a Windows PC desktop attached to the Qbox Cloud over the Internet. Files in a Qbox Sync Folder will be synced and shared with other users securely. To share a file, Qbox first syncs the file up to the Qbox Cloud Server over the Internet and then syncs it down to the Sync Folders on the other user s computer. Thus Qbox makes sure that all users have identical copies of the file on their computers. When a user wants to make changes to a shared file, Qbox acquires a File Lock for the user, so that only his or her changes are synced to the Qbox Cloud. Other users can simultaneously view the shared file on their desktops, but any changes made by them will not be synced. Qbox assures coherent file updates by issuing File Lock to only one user at a time. Qbox Folder Qbox Folder is created when Qbox is setup on a PC. It is usually located under the My Documents folder and contains Root Folders and Sync Folders. Users have the option to create the Qbox folder at any location of their choice. Root Folder When a user sets up a Qbox account, Qbox assigns a Root Folder with a unique name to the user. Sync Folders added by the user are created inside their Root Folder on their PCs. When the owner of a Sync Folder sends a sharing invitation to another user, Qbox creates the owner s Root Folder on the user s PC and then creates the Sync Folder inside the Root Folder. Thus a user can be sharing Sync Folders from multiple owners without confusion, as each Sync Folder is created inside the respective owner s Root Folder. Sync Folders Qbox users can create Sync Folders within their Root Folder and invite other users to join. Qbox then creates the user s Root Folder and the Sync Folders on the invited user s PC. Users only see the Sync Folders they own and those shared with them by other owners. Users can add files to any Sync Folder, owned or shared. They can acquire File Lock and make changes, sync and share changes made. The user who owns a Sync Folder can also create additional sub-folders to organize files. Qbox has two types of Sync Folders: Regular Sync and Custom Sync Files inside Regular Sync Folders are synced and shared always, in real time. These folders are used when files need to be changed and shared frequently, for constant collaboration. They are billed monthly or yearly depending on user preference. Files inside Custom Sync Folders are synced to the Qbox Cloud Server, but they are shared with other users only when sync is enabled. When sync is disabled, only the owner of the file, who first setup the file Qbox User Manual Ver. 6.0 Page 3

in the Custom Sync Folder, is allowed to acquire lock and sync changes made. Other users will not be able to acquire file lock or sync changes. When sync is enabled, all users are allowed to acquire file lock and sync changes made. These folders are billed only when sync is enabled. Sync can be enabled for 1, 2 or 3 months at a time. Qbox Explorer Qbox Explorer is launched by double clicking on the small Qbox Icon on the Windows Task bar. It is used to view Qbox folders, files and their status at one place conveniently. Files can be opened in their supported application simply by double clicking on the file names. Root Folders and Sync Folders are marked for identification. Users can view lock status and sync status of the shared files right on their desktop, without the need for logging into the Qbox Website. Qbox provides several configuration options to suit user workflow these can be selected from the Qbox Explorer. Qbox Icon Once Qbox is setup, the Qbox Icon with the letter Q inside a small square green box, is displayed on the Windows Task Bar, usually at the lower right of the Windows desktop. This icon is accessed for Qbox operation as described below and can be moved to the Task Bar for easy access if it is hidden. Double clicking on the icon launches the Qbox Explorer described above Right clicking on the icon opens the Qbox menu showing additional links The icon turns orange or green with a circular arrow during sync and green with a check mark when all files are in sync. The icon turns gray if Internet is not available and orange with a red exclamation if an error is encountered. File sync status information is displayed in a bubble message above the icon for user convenience. Qbox Web Dashboard Qbox Web Dashboard is accessed after signing in at the Qbox Website https://qbox.coraltreetech.com using the user s email and password. Users can view sync status, lock status and history of files inside Sync Folders they own as well as those shared by other users. Users can perform important administrative functions like: Adding folders and sending sharing invitations to other users Accepting invitations sent by other users to share their folders Forcing the release of a File Lock Rolling back a file to a previous version Password reset Download Qbox client for restoring from a PC crash Qbox User Manual Ver. 6.0 Page 4

Shared users Qbox folders can be shared with other users simply by adding their email addresses to the folder at the Web Dashboard. Invited users get an email with instructions for setting up Qbox on their computers. Folders, subfolders and files are shared only with users who have been invited and have joined the folder. Team members A user can invite other employees, who are on the same company email domain, as Team Members. Once they setup Qbox and join, the user s Root Folder and all its contents are automatically shared with the Team Members. There is no need to invite them to share individual folders. In addition, a Team member can be given admin privilege so they can create Sync Folders, invite users, release lock, roll back files and make Qbox payments. Group Folder Qbox Team members on a Local Area Network can setup a Qbox Group Folder on a network drive, to conserve disk storage and reduce the Internet bandwidth used for file syncs. Team members in the group will access files and folders from the same Qbox Sync Folders, and their Qbox Explorers display the sync or lock status of the common files. Group Folder can also be setup by Qbox users invited to share the same folders from a single owner. Set Up Instructions new users New users can setup Qbox account by following the instructions below: 1. On your browser, go to the Qbox website at https://qbox.coraltreetech.com and Sign Up by entering your email address and name. 2. On the next screen, enter the Associate code, if you have one, and click Continue. Qbox will send you an email with a temporary password. 3. On the home page, click on the Sign In button, enter your email address and the temporary password, and click Sign In. 4. On the subsequent screens, read and accept the End User License Agreement, create your permanent password. 5. Enter your company name and phone number. 6. Review your Root Folder name. Root Folder is where all your Sync Folders will be created. Qbox will use your Company name as default. If you make a change, Qbox will check for uniqueness and may suggest a different name. You can then add Regular Sync Folders and Custom Sync Folders and invite users to join by entering their email addresses. Qbox will send invitation emails when you click Create and create these folders on your computer and that of the shared users when they setup their accounts. Additional Regular and Custom Sync Folders can be added at any time after your account is setup. Qbox User Manual Ver. 6.0 Page 5

Copying QuickBooks Company (QBW) files to Qbox QuickBooks Company files can be copied using the copy utility available with the Qbox Explorer under the Preferences tab. This utility can locate and copy both QBW and the companion TLG files to a selected Regular Sync or Custom Sync Folder. After copy, use only the file in the Qbox Sync Folder. The Rename source file box on the utility can be set to change the name of the file in the previous location, so you will not inadvertently open that file. This method can be used if online services like Intuit Sync Manager are not setup. If any online service is setup, then the recommended method is to use the Backup and Restore operation described below: 1. Set Qbox to Manual Sync mode. 2. Open QuickBooks and open the Company file (QBW file) you want to copy. 3. Create a backup of the file at the usual location or somewhere you can easily find it (for example, the desktop). 4. Close the Company file. 5. Initiate a restore of the Company file from the backed up file. 6. When QuickBooks prompts you to select a location for restore, select the Qbox Sync Folder. Usually this will be: My Documents/Qbox/Root folder/ Sync Folder. Check to make sure that the correct Sync Folder is selected. You may need to click on the Qbox Folder and sub-folders until you locate the correct Sync Folder. 7. After restoring, close the file. 8. You should now see the file in Qbox Explorer. If not, refresh the Qbox Explorer by clicking on the two arrows below the Sync Now button. 9. Initiate sync by clicking on the Sync Now button. 10. Rename the Company file at the old location to something else (example: Company File old.qbw) so that you will not open that file by mistake in the future. 11. Start using the Company file that is now located in your Qbox Sync Folder. After restoring the file, you can change the Sync Mode to Auto for regular use, depending on your preference. QuickBooks special situations If you are using Intuit Sync manager, Web Connector, Intuit Payroll or any other online services like Bill.Com, importing transactions from Banks and Credit Cards, please read the following important information: 1. These online services will work well in the Qbox environment if you first open the Company file in QuickBooks, lock the file and then manually sync with the online service. Qbox User Manual Ver. 6.0 Page 9

2. Changes made to the Company file by the online service, without the file lock will not be synced. For this reason the online service should be set to manual sync, and sync should be initiated after the file is opened and locked. 3. If you have multiple Company files updated by the online service, sync only the file that is open in QuickBooks and locked. 4. Online services integrated with QuickBooks may stop working when the Company file is moved to the new location. Please read the FAQs or Help instructions for the respective online service to understand how the Company file can be relocated to a different folder. Intuit Sync Manager Once you backup and restore the Company file into the Qbox Sync Folder and rename the previous Company file, Intuit Sync Manger will give an error when sync is attempted. Note that you can fix the problem by selecting the Company file from the new location. Web Connector Open the Company file from the old location and Remove the application on Web Connector. Then open Company file from the new location and re-install the Web Connector. QuickBooks Company files in multi-user mode Users accessing the same QuickBooks Company file in a multi-user mode can setup a Qbox Group Folder on a network drive. The multi-user company file can be setup in this Group Folder and accessed from the Qbox Explorer on each group user s computer desktop. If the Group Folder cannot be setup, then use one of the following methods: If you are hosting the QuickBooks Company file in a multi-user mode on your PC, setup Qbox on your PC only and copy the file to the Sync Folder. You will need to open the file first and lock it before allowing other users to access the file. All users need to close the file to sync changes or receive changes made by external users. If the QuickBooks Company file is hosted in a multi-user mode on an unattended server, then using Qbox to share the file with external users needs to be planned carefully: you may want to allocate the responsibility of acquiring and releasing lock to an administrator so that lock is always acquired before others start using the Company file. Qbox Group Folder Qbox Group Folder is a common folder on a network drive accessed by multiple users on a Local Area Network. All users access the same files in the Sync Folders. Group Folder can be setup by: 1. Team Members on a Local Area Network (LAN) 2. Users invited to share the same folders by another owner Qbox User Manual Ver. 6.0 Page 10

Group Folder can be setup during first time installation or after Qbox has been setup. Qbox folder can be switched to a Group Folder by selecting the Switch to Group Folder option under the Preferences tab of the Qbox Explorer. Advantages: 1. As the users of the Group Folder access common folders and files, it helps conserve storage space as only one instance of the files are created for all users. 2. Internet bandwidth used is reduced as files are synced up or down only once for all the users in the group. 3. Multi-user QuickBooks files can be setup in the Group Folder for the users of the group to access from Qbox Explorer. Any user opening the file first can lock the file for the group. Group Folder operational details: 1. As the files in the Group Folder are accessible by all the users in the group, an external user inviting one of the users to share his file, will in reality share the file with all the users in the group. If sharing has to be done privately, then the specific user will need to switch to a Private Folder by selecting Switch to Private Folder from Preferences. 2. When one user locks a file, the file is locked for the group. Qbox Explorer displays the group name for the locked by information for easy identification. Group name is created at the time of setup and can be edited at the Qbox Web Dashboard, Profiles page. 3. All users will need to exit the multiuser file before Qbox can sync the changes and release file lock. 4. Sync mode for all users will be set to same when one user changes the mode. 5. A user in the group can change to a Private folder by clicking on the Switch to Private folder option. 6. When one user in the group relocates the Group Folder, it will be relocated for all the users in the group. Getting Started with Qbox Running Qbox client When you turn on your computer, Qbox starts automatically and logs into the Qbox Cloud Server. You should see a green Qbox icon on your Windows Task Bar at the right hand bottom of your screen. This may take several seconds depending on how many programs Windows is starting automatically. If Qbox is not running, you can start it by double clicking on the larger Qbox Client icon on your desktop. Qbox Sync modes Qbox Sync can be set to Auto or Manual. To change the sync mode, open the Qbox Explorer and click Settings and select Auto or Manual Sync mode. In the Auto mode, Qbox syncs changes made to the file automatically, once the file is closed. In the Manual mode, close the file and click on Sync Now to initiate sync. Qbox User Manual Ver. 6.0 Page 11

Locking Qbox shared files Qbox Lock mode can be set to Auto or Manual. To change the lock mode, open the Qbox Explorer, click Settings and select Auto or Manual Lock mode. In the Auto mode, the file will be locked as soon as you open the file, provided lock is available. In the manual mode, Qbox will prompt you to lock the file. a. To make changes to the file, click Yes to acquire the lock. b. If you don t want to make any changes, click No to decline the lock. If another user has locked the file, Qbox will show the File could not be locked message. Changes you make to the file will be synced only if the file lock is acquired. If you make changes without the lock, changes you made can be overwritten when another user who has the lock syncs his or her changes. You may at times want to just run reports or make trial changes to the file and not really sync it. To do this, decline the file lock and your changes will not be synced. Notes: i. To open a file, open Qbox Explorer and simply double click on the file name. This will launch its supported application and open the file. ii. If by mistake you open the file from a previous location and not from Qbox, you will not see the prompt to acquire file lock. Your changes will not be synced and shared with other users. Syncing changes made to Qbox shared files Once you are done with making changes, close the file to initiate sync. a. In the Auto Sync mode, Qbox will initiate sync automatically in a few seconds. Qbox icon will turn orange and then green with a circular arrow during the sync process. File Lock will be released when syncing is done. b. In the Manual Sync mode, you will need to initiate sync manually by clicking on the Sync Now button on the Qbox Explorer. Notes: 1. In the Manual Sync mode, if you have made changes to multiple files, all of them will be synced when you initiate sync. 2. After syncing starts and the Qbox icon changes from orange to green, you can open the same file again and acquire file lock to continue making changes. Ignoring changes made to a file and releasing file lock If you acquired file lock and made changes to the file, but don t really want to sync it, you can ignore the changes and release lock. This option is available only in the Manual Sync mode. To do this, close the file and Qbox User Manual Ver. 6.0 Page 12

under Preferences, select Ignore Changes, Release Lock. After you confirm, file lock will be released and the previous version of the file will be restored from the cloud. Receiving changes made by other users to a Qbox Shared File Changes made by other users to a shared file will be synced to your PC automatically, provided the file is closed. If the file is open in its supported application, Qbox will display a message informing you that new updates are available and ask you to close the file. Syncing will be completed within a few seconds after you close the file. Qbox Administration and Configuration Enabling sync for Custom Sync Folder To enable sync for a Custom Sync Folder, login to your account at the Qbox website, locate the Custom Sync Folder and check the box provided for enabling sync. Sync can be enabled for 1, 2 or 3 months. Your will be billed for the period during which sync is enabled. Inviting additional users to share a folder To invite additional users to share a Regular Sync or Custom Sync Folder you have already setup, login to your account at the Qbox website, and locate the folder. Click on the Share icon and add the email addresses of users you want to invite. Users can be set to R/O if you don t want them to make changes to the files in the folder. Deleting users from a folder To delete a user from a folder, sign in to your account at the Qbox website, and locate the folder. Click on the Share icon and delete the user by clicking on the red X. Please note that the folders and files in the folder will be deleted on the user s computer. If the user needs to keep the folder and files, they need to be moved out of Qbox before their sharing is deleted. Adding Team Members You can add your company employees, who are on the same company email domain, as Team Members to provide access to all your Sync folders. In addition, you can make them Admin so they can also create Sync folders and send invitations, force release locks, roll back file to previous versions and pay Qbox bills. To invite additional Team Members or manage existing Team Members, click on the Manage Team Members link on the Admin page. You can invite Team Members by entering their email id. You can also set Admin privilege or mark them Read only. Qbox User Manual Ver. 6.0 Page 13

Deleting Team members To delete a Team Member, sign in to your account at the Qbox website, go to Admin page and click on Manage Team Members. Delete the Team Member. Please note that all folders and files will be removed from the Team Member s computer. Releasing a File Lock manually When a user acquires file lock, changes made by other users will not be synced so they are essentially locked out until the first user syncs the file to release lock. To recover from a lock out situation, the file lock can be manually released by the owner of the Sync Folder or by the user who acquired the lock. To release a file lock manually, login to your account at the Qbox website and locate the shared file on the Qbox Web Dashboard. Click on the Locked Icon for the shared file, and select Release Lock. If you are not the owner of the Sync Folder or the user who locked the file, you cannot release the Lock. Rolling a shared file back to a previous version Qbox maintains 10 versions of the shared file in the Qbox Cloud. The owner of a Sync Folder can do a Roll Back to any previous version of the file. During Roll Back operation, Qbox will release any file lock that may be active and download the selected version of the file to the PCs of all shared users. To do a Roll back, login to your Qbox account at the Website, and on the Qbox Web Dashboard, locate the shared file which needs to be rolled back. Click on the History icon which will show the previous 10 versions of the file available in the cloud. Select a version and click Roll Back which will initiate the roll back process. Creating own folders If you are sharing folders from another owner, you can setup your own folders and share it with other users. Qbox Explorer will display these folders under your own Root Folder. To create your own folders, sign into your account at the Qbox Website, go to the Admin page, and click on Create my folders link. You can then create your Root Folder, Regular Sync or Custom Sync Folders, and send sharing invitations to other users. Deleting files and folders Files and folders can be deleted by the owner on the Qbox Explorer or at the Qbox Web Dashboard after signing in at the Qbox website. To delete, simply right click on the file or folder name and select delete. Contents of a folder need to be deleted before the folder can be deleted. Restoring deleted folders and files Deleted folders and files are available in the Qbox cloud for 30 days from the date they are deleted, and can be restored during this 30 day period. To restore, sign into your account at the Qbox Website, Qbox User Manual Ver. 6.0 Page 14

identify the path where the folder or file was present and click on the Deleted Items link.
