LIS e-grades User Guide Introduction This web site describes how grades are entered electronically by faculty and administrative staff in the schools. There are two methods for entering grades electronically: e-grades excel Template uses an excel spread sheet to enter grades provides instant statistics in form of pie charts requires to save the file and then upload the saved file incomplete grades are entered by this method e-grades web template enter to a web template no statisticsc are provided no requirement to save the template Faculty can enter grades for the classes which they teach. Faculty are only allowed to enter the Grade once for a Student. Once entered, a change must be processed through their schools Change Grade process. Schools can enter grades for classes in their own schools. School Administrative staff can use the grades templates (excel spreadsheet or web grades) and individual grades by student. Login into LIS. Steps for Entering e-grades Web Template 1. 2. 3. 4. 5. 6. Click on the e-grades Web Template. An input form will display. (see input form example below). Enter grades with values from 0 to 100. No Incomplete grades can be entered here. Incomplete grades are entered on the excel template. Click the Submit Grades button The Class roster will display with the grades in Red. When the grades change to green, they are confirmed. Any remaining grades can be entered by following the steps again.

1. Turn on Save to Disk and Click OK. 1. 2. 3. A downloads dialog box will appear. Click Open An excel spread sheet will appear. Enter grades in the Score column. Or, cut and paste grades from another source. Percentage grades only. If another grading scheme is used, such as letter, then the upload will change the percentage value to the appropriate letter grade. Grades can only be entered if there is an arrow to the right of the Score column. a. b. c. The system will determine if interim or final grades are to be entered. Stats are generated on pie and bar charts. Incomplete grades are entered by Clicking the Incomplete button. The cell will turn yellow. Enter the grade earned to date.
4. 5. 6. Save file to desktop. The system will generate a file name. Not all grades have to be entered at once. Small numbers of grades can be uploaded. Close the excel spreadsheet. Upload the template. a. b. Click the Browse and select the saved file. Hint: Find your saved file, click the down arrow as shown below and Click Details. Click (twice) Date Modified Column and the most current file will be at the top. This should be your saved file.

b. When the green Success: Upload Successful is displayed, click 'HERE'. c. The class roster displays. Deferred grades do not show. d. e.!egrades excel to lis.jpg width=720,height=700! An interval update (usually an hour but depends on number of grades being processd) by the system will post grades to EIS and LIS; the grades will change to green colour. Dates Controlling Entering Interim and Final Grades Dates for each section control when Interim and Final grades can be entered. Click the Details tab to find dates.
These dates allow Interim grades to be entered starting on 2008.09.03 and ending on 2008.11.07. Final grades are entered starting on 2008.11.08 and ending on 2009.01.23 (42 days (6 weeks) after the last scheduled event for the Course Section.) Entering Grades directly to Students on the roster Beside each student is a large 'G'. Click this to enter grades for individual students. The grading dates are effective for individual grades for each student. Incomplete grades cannot be entered by clicking on the 'G'. Please use the spread sheet. Only percentage grades can be entered. Sat/Uns, letter grades, etc. will be translated when updated and displayed to EIS and SRS. School Administrative staff can click on the G beside the student on the roster and enter the grade. Then click Save. School Administrative staff can use this function within the 42 day (6 week) window after the last scheduled event for the Course Section. (Note: In the W09 release, this window is increased to 180 days - 6 months) If a Grade Change is required after the window, then the Grade Change must be forwarded to the Registrar's office. Updating Incomplete Grades Incomplete grades will convert to final grades 6 weeks after the last day of classes for the section.
To make the Incomplete grade a final grade before the end of the 6-week period: 1. 2. 3. 4. 5. Create the e-grades template again. Delete the incomplete grade. Click the incomplete grade button. Enter the final grade in the final grade column. Go to point 7 to follow instructions for saving and uploading the spread sheet.
