DestinationWeddings.com Training Couple s Website, Save the Dates, Honeymoon Registry, Etc DestinationWeddings.com Home Page - Couples will click the Planning a Destination Wedding pink box to start the process. - Couples can read through the information on what DestinationWeddings.com offers, why we ask for a $50 commitment deposit, how the process will work once they submit their deposit information, and what our guarantee is. - At the bottom of the page, the couple is required to fill out basic contact information this is used to create their wedding website. If they proceed to step 2, they will be prompted to enter in their credit card information to be charged for the $50 commitment deposit. - Important Notes: o Information they submit will show up on the Profile page in the wedding when it s assigned to you. o We do not contact each couple regarding their commitment deposit and information. If the couple has submitted reasonable budgets, locations that we plan weddings in, and the other information is all correct, we authorize their deposit and assign to a Specialist. o We may contact the couple if we have further questions for them about the information they entered. Any emails or phone call notes will be documented in the Contact History in the wedding. ---------------------------------------------------------------------------------------------------------------------------------------------------------------- COUPLE S WEBSITE & LINKS My Wedding Plan: When a bride or groom logs in, they are brought to the My Wedding page first as their homepage. The bride can edit her wedding details, wedding date, number of guests, Wedding Passcode, etc on this page. o The only place where you can edit the number of guests is through the My Wedding page. Click on the link called View or Update your Wedding Details (date, number of guests, destination, etc) to update the number of guests.
o Wedding Passcode the guests use this passcode to log into the couple s wedding website. Design Central: Couples have the ability to add a theme to their website. They can choose from several different pictures and this will appear at the top of each page in their site. Upload Music: Couples can add mp3 music files to their Couples Page, Guest Planner and Travel Details Page. (They can upload a different song for each page). When guests visit each page, the song will play automatically. Save the Date (aka STD s): This is mentioned later on in this training Travel Details Page This is your power page. When a guest enters the site, this is the page they will come to. You want this page to be strong and inviting, full of beautiful pictures and exciting descriptions. Once they scroll down, they will be brought to an automatic form to fill out and request a quote. This will be discussed in a separate class focused just on the Travel Details Page. The Couple: This page is also the responsibility of the couple. But like the STD, you want to push them to complete it or you can help them if they have trouble. Couples that have a CP completed have more guests visit their site and in turn you will get more bookings. Urge the couple to put pictures of themselves up, along with the story of how they met, or how they got engaged. Our Wedding Blog: This feature allows couples to blog about anything and everything they want to during the events leading up to their destination wedding. Posts can be planning-related (like just chose destination/resort, time for guests to start booking, etc.), or just plain fun (the excitement of the anticipation, recommendations on what to pack, etc.). Your guests have the ability to subscribe to your Blog via email -- or, coming soon, RSS feed -- so they can stay up to date on all the happenings before the big day. Audio Introduction: This option allows the couple to record an audio introduction that will play for their guests whenever they come to the couples page. The instructions are clearly listed there for the couple to complete. Guest Planner: o First the bride and groom will create a Wedding Passcode that they will need to give out to their guests for guests to enter their page. When the bride sends out her STD s it will have the PASSCODE so guests can enter the site. You always want to explain this difference to the bride and groom. o Once a guest enters the page, they will be asked to enter their information and they will automatically be added. The couple can also automatically add guests to the list. o The couple is able to add a picture of themselves here o The couple or their guests are able to post events for everyone to see or leave messages to the bride and groom or each other. For example, if someone is planning a bachelor or bachelorette party, they can post the event here and guests can reply as to their attendance. o The bride and groom also have some control here. They are able to hide the GP for the Booked guests pages from their guests. They can also add or edit guests. o The couple has link to their wedding details, where they are able to make changes. This is almost like the profile page you have- but the couple can update their own info. Here is also where you have to change the number of guests. They also have a direct link to their STD.
o The third link they have is to email all their guests the link is called Email Guests. This is also a tool for you to use. As you can see, you can select all or some of the guests and email them an important message or an update all at once. Booked Guests Page: This is a tool that will be useful to your couples to know who has booked with DW and is coming to the wedding. The page is automatic- once you book a guest and send them an invoice, they will be added. There might be times when a guest is booked twice, say if their air and hotel are separate. They will automatically populate but you are able to hide the duplicate name. The only time they will not automatically populate a second time is if they have purchased a separate insurance policy. To hide names, you have to switch to the agent view. o You cannot manually add names. Anyone that is not booked through DW will not be able to be on the booked guest list. o This is the list that you want to send to the wedding coordinator. Select email guest list and enter the email address. As you can see the list populates the names according to bookings, and includes their arrival and departure date, the hotel they are staying at, and their confirmation code. This will help to ensure the guests attending the wedding do not get walked. Exclusive Offers: This is the client s view of the Circle of Love. Your clients can click on this link and they will see all the resorts that are participating. When they select a particular resort, they will see the spread of valuable information on the resort, along with the offers that are available. Resort Library o This is the same library that we talked about in an earlier class, where we discussed the Circle of Love. This is the same library, however, when you send the email to the client, a copy of it will save in your contact history and the email will populate the couple s name. o All email addresses that have been saved for this wedding will appear on the drop-down list. If the email address you need is still not there, you can add by going to Other. o Once you send the email, it will include a copy in the Contact History as a Library Email You can click on it like any email and see the actual email. As you can see the system populates the name of the bride and the groom for you as well as the date prepared and your name.
o You can send as many of these on one wedding as you would like. Remember, this is a great tool to keep the couple off of the internet and to help you sell the preferred resorts and their added amenities. It helps to save you the extra time of putting something together to send to the couple. Virtual Memories: This is for the bride and the groom once they return from their wedding, a place where they can upload pictures to share with all of their guests. When you are checking in with them for their welcome home and asking about their trip, mention the photo album and ask them to put in pictures of their event, as they have the site for one year. Honeymoon Registry: Will discuss later in this training Destination Scrapbook: This is fazing out. Basically it was where the bride could post ideas for her wedding location. It is not viewable by the guests. My Information: If your couple needs to update their own information, they log into their wedding website, click on the My Information page, and they can change their email address, etc there. ---------------------------------------------------------------------------------------------------------------------------------------------------------------- SAVE THE DATES EMAILS & POSTCARDS When a bride logs into her wedding website, she can click on the Save the Date link (second from the top on the left-hand side) They will see the options to send Save the Date Emails or Postcards In order to send either emails or postcards, the couple must first upload their guests contact information into the Guest Planner. For this fake wedding, the couple hasn t uploaded any guest info to the Guest Planner, yet, so they only have the option to send emails to themselves: When adding guests to the Guest Planner, the couple can edit the guest names in many ways. For example, on this Guest Planner, the couple added in guests at the same address in together
If the couple only wants to send one Save the Date postcard to one address, they can enter in the guest names together Common Save the Date Questions: Question: How long does it take for the Save the Date postcards to be mailed to my guests once I order the cards? Answer: Once the order is submitted on the website, it typically takes two business days for the order to be processed, and then it takes another two business days for the cards to be printed and mailed. Then it depends on how the fast the post office sends them (usually about 7-10 days for domestic delivery, as the facility is located in Arizona). Question: I would like to order unaddressed save the date cards and have them sent to me, as well as order the addressed ones. How can I do this? Answer: Unfortunately we are not able to send out blank Save the Date cards to the couple. Each card is printed individually in the printing facility and then is addressed there. Question: It is possible to send out postcards to international addresses outside of the U.S. and how much will this cost? Answer: We can send out the postcards to international addresses the address just needs to be formatted so that it all fits within the City, State and Zip Code boxes. If there s no zip code for the address, you can enter 00000 into the Zip Code box. There s no extra charge for the postage required to mail postcards internationally. Question: How can I see the status of my Save the Date postcard order?
Answer: The order status can be seen by going to the Save the Date page in the wedding website (link is on the left-hand side). Then click on Order printed Save the Date cards/view the status of your order (link is under the By U.S. Mail section ). You will be able to see if the order is still being processed. If the cards have been mailed out, a red check mark will appear next to each guest s name. ---------------------------------------------------------------------------------------------------------------------------------------------------------------- HONEYMOON REGISTRY Important points the couple needs to know: The registry is a list of SYMBOLIC gifts they do not actually receive a massage or dinner on the beach during the honeymoon. They will receive a check from DWT 2-4 weeks before their wedding date if guests purchased the items before the cut-off date listed on their registry page. (It is okay to purchase gifts after that date, but the check will not arrive before the wedding). Couples can choose to have the check from DestinationWeddings.com sent either 2 or 3 or 4 weeks before their wedding date Check will include total purchase prices of all registry gift items, less the 10% gift handling charge. At the time of each individual purchase, they will receive a confirmation email. Once the first gift is purchased, they can track all Honeymoon Registry gifts by clicking Gift History from the Honeymoon Registry page Guests have all the way up to 2 weeks after the wedding date to make gift purchases. If there are purchases made after you receive your first gift check, a final gift check will be sent 15 days after your wedding date.
