An Overview of Your Virtual Office Space When you first open Sococo, you ll see a map of your space and a sidebar that will help get you started. See the Activity of Your Co-workers Notice at a glance if teammates are talking, meeting, sharing screens, or hanging out together throughout the day using the Map. Getting Around in Sococo Go Home Click the Home button when you re done with your conversation to quickly take you to your Home Room. Move to a New Room Click the label for a room to move to it. Or, double-click anywhere in the room. Move to a New Space If you are a member of more than one space, you can move between them using this menu. Rooms Each room in Sococo has its own audio, room chat, video, and screens for screen sharing. Move from room to room to move between conversations just like in the real world. When you enter a new room, you re instantly connected to everyone in the room. Home Rooms Right-click a room, select Edit Room, and check the Make this my Home Room box to select a Home Room. You ll go to your Home Room whenever you enter your space or click the Home button. The Lobby You ll appear in the Lobby if you don t yet have a Home Room. Spaces Rooms in Sococo exist in spaces. Think of spaces like floors in a building. If you have an Unlimited Plan, you can create a different Sococo space for each team, project, or department in your company. Knock Click an open (or closed) door to knock on it. Knocking lets you politely ask permission before jumping into a room. Open and Close Your Door Click the door to your current room to open or close it. If your door is closed, others will be forced to knock before they can join you. Sococo Quickstart Guide Page 3 of 12
Controlling Your Audio and Video Use these buttons (in your toolbar) to control your audio, video, and camera. Listen Toggle your headset or speakers on and off with the Listen button. The Listen button is on by default so you can hear others in your room who are talking. Talk Toggle your microphone on and off with the Talk button. The Talk button is off by default to protect your privacy. If you see your avatar flash when you talk, your mic is on and working properly. Camera Toggle your video camera on and off with the Camera button. Your image will appear at the bottom of the Sococo window when you turn on your camera. Push to Talk Sococo s Push to Talk feature lets you assign a key on your keyboard to your microphone. Whenever you hold the key down, your mic will turn on. This is especially useful when you re in a noisy environment or in a large meeting. You can turn Push to Talk and select the key you want to use in Preferences, available in the Options menu. Who s Listening? You can tell if another person can hear you if their avatar is wearing a headset. Who s Talking? If your avatar shows a microphone, everyone in the room will be able to hear you, and you will blink as you talk. Options Use this menu to select the device you want to use for your headset, microphone, and camera. Sococo Quickstart Guide Page 4 of 12
Inviting Members Sococo works best when your team is present in your space throughout the day. Kickstart your space by inviting your team and arranging a morning meeting. Adding Members Invite new members to your current space using the Add button. This button may not be visible if your moderator has turned off the ability for members to invite other members. Getting People Select people in your list and click Get to quickly invite them directly into your current room. Add Members Click Add to invite additional members to your space. Type or Paste Email Addresses Add an email address for each person on your team. You can also add a personal message to the invitations you send. Sococo Quickstart Guide Page 5 of 12
Chatting with Coworkers Sococo uses two kinds of chat: Private Chat (between two people) and Room Chat which is sent to everyone who is currently present in your current room. Private Chat Log Double-click any avatar on the map or sidebar to view the chat log for that person here. Room Chat Log When Chat is selected in the sidebar, you ll see the chat log for the room here. Chat Privately Enter private chat messages here. Who s Typing? A flashing hand indicates when a person is currently typing in their room. Chat with the Room Enter a message for the people in your current room using this box. Sococo Quickstart Guide Page 6 of 12
Sharing Your Screen Click a Screen to View It Click on a screen on the map or in this mini map to view its contents. Multi-screen Sharing Most Sococo rooms have multiple screens for screen sharing. Each person can share multiple applications, windows, displays, or web pages and anyone in the room is free to move between screens with a click. To switch between screens, click them in the Preview Pane on the bottom of the window or click them directly on the minimap. Zoom and Go Full Screen Click the buttons in the toolbar to zoom in or expand the view to fill your entire display. Stop Sharing Click the X button in the toolbar to stop sharing and return to the map of your current space. Who s Looking? Eyes appear on an avatar to indicate a person is looking at a screen. Switch Between Views Click the tiles in the preview pane to view a screen or to return to the Map. Who s Sharing? Each screen is marked with an avatar so you can tell who is sharing it. Having a Video Conversation Broadcast Yourself Click the camera button to toggle your video camera on and off. Make Eye Contact Use video for more engaging conversations and take full advantage of nonverbal cues. Go Full Screen Press F11 (on Windows) or Cmd-Shift-F (on the Mac) to expand videos to fill your entire display. Who s Broadcasting? You can tell when someone is broadcasting when a camera decoration appears next to their avatar. Phoning Out and Meeting with Guests Quickly bring non-members into your space by calling them into the room using their phone. If you also want to share your screen or chat with your guest, use our Guest Access feature. Call Anyone Instantly bridge anyone into your meeting using the phones built into each room. Enter a name and number for the person you d like to reach. When they answer, they ll pop into the room. Call Anyone Click the phone in your room and enter a name and phone number to bridge anyone into your room. Who s on the Phone? A handset appears next to an avatar when they re connected via phone. Ending a Call Right-click on a phoned-in avatar and select Disconnect when you re done with your call. Avatars on the phone will also automatically be disconnected if they re left alone in a room for one hour. Invite Guests to Your Room If you have a premium account, invite anyone to join you by sharing the link to your room. Your guests will be able to join you with voice, chat, and screen share using their browser and they won t need to download anything. Meet with Guests Click Meet and copy the link for your room. Share this link with anyone in an email, on your intranet site, or in a calendar invitation. Who s a Guest? A little blue Hello, my name is sticker indicates an avatar is a guest. Guests can interact with others in their current room, but can t move or see anyone outside the room. Ending a Meeting Right-click on any Guest and select Disconnect to disconnect any individual person or right-click on the room and select End Meeting to disconnect all guests. Going Mobile Sococo for ipad Sococo is a natural for ipad. Pinch and pan to view the map with ease, tap to enter any room, and a single tap lets you view any screen share in your space. View a Screen Tap any screen to view it. Then swipe to move between screens. The ipad s on-board speaker and mic make audio a breeze. Or, plug in earbuds for audio privacy. Sococo for iphone When you re on the go, use Sococo for iphone to quickly join any meeting. Quickly scroll to see all the conversations taking place in your space in real time. Sococo for iphone supports voice, room-based chat, and private chat with any contact. Host daily Agile stand-up meetings. Start meetings with introductions, going around the virtual conference table to avoid the awkward, I guess I ll go next... Match remote voices with names by watching whose avatars are blinking during a meeting. Control file distribution by sharing your document on screen instead of sending copies to the audience. Have a big project? Have everyone in the project team co-locate in a project room throughout the day. Host a book club at lunch. Share an office with your teammate while each of you works comfortably from home. Label a room Coffee and Tea and go there when you re on a coffee break. Project without a projector. Helpful Tips Some Sococo Etiquette Do s Cut down on email overload by looking for people in Sococo before sending yet another email. Check to see if your avatar is blinking before you ask, Can you hear me? If you re blinking, your audio is working. Turn off your Listen button to signal that you don t want to be interrupted with a voice conversation. Use the Get feature to help people join your meeting quickly. Use the Home button to gracefully leave a meeting as it ends. You can think of it as a way to hang up in Sococo. Add your virtual conference rooms to your conference room scheduler in your calendar. That way people can book conference rooms for your virtual office like they would book any other room. Don ts Don t just barge in. Knock before jumping into a conversation. Don t leave your mic on in a noisy environment or in a meeting where you won t be talking much. Use Push to Talk instead. Don t leave your mic on while you re eating!
