Exempt Non-Exempt Outreach & Marketing Manager Department: Administration Compensation Grade: Level VI Job Summary: Promote and support the Ukiah Natural Foods vision and mission. Always provide excellent customer service and handle as a first priority. Develop and promote the store s marketing, branding, and outreach programs in relation to the mission and vision. Reports to: General Manager Essential Functions: General Responsibilities of Co-op Department Managers 1. Customer Service: Be available for customer service when working on the retail floor. Learn product locations to find products for customers throughout the store. Role model excellent customer service for staff and provide excellent internal service to staff and peers. Ensure that department employees provide excellent customer service and receive appropriate Customer Service training. Able to understand and explain member/owner information and ensure the department employees receive Ownership training. Encourage and answer all customer suggestions, requests, and complaints pertaining to the department. 2. Personnel Practices: Participate in the applicant interview process and participates in employee selection with the human resource department. Ensure that all staff in department receives appropriate orientation and training. Develop and maintain useful departmental training materials. Ensure staff receives consistent feedback and that staff evaluations are completed properly and on time. Provide leadership by guiding, directing, instructing, and motivating staff. Maintain an open door, within policy, to allow clear communication and direct staff to the correct resolution channel(s). Actively address performance and personnel issues in a timely manner. Administer proper personnel actions (training redirection conversations, verbal warning, or written warning) and provide written documentation to Human Resources. Keep locked and secure all documents containing employee personal information.

3. Department Management: Attend the weekly leadership team meetings (LTM) following established protocol. Review/prepare a weekly staff work schedule to cover departmental needs. Process paperwork and receipts in a timely and accurate manner. Ensure that department staff are aware and updated on current policy and procedure. Ensure all department staff takes the required Passport training classes within specified required times. Set departmental goals and develop structure in compliance with the overall store vision. Complete in a timely manner all trainings required by state and federal law (such as Sexual Harassment Prevention.) Report monthly to the General Manager on the performance and events for your department. 4. Safety and sanitation: Maintain working knowledge of processes and solutions for store emergencies. Ensure department staff is aware of and follows health and safety rules appropriate to the department. Responsible for making sure detailed Incident Reports for on-the-job injuries are correctly completed and submitted to Human Resources. Ensure that the department is clean and free of debris. Ensure all department staff are trained and monitored in the safe and correct use of equipment and proper lifting techniques. Specific Responsibilities of Outreach & Marketing Manager 5. Marketing: Develop an annual store marketing plan. Coordinate promotional programs including NCGA Co-op Deals. Develop and maintain external website. Manage consumer education programs through the Co-op class program, the semi-monthly newsletter to members, in-store consumer information brochures and posters, and the e- newsletter and Web site, Facebook, Hoot Suite Twitter, Instagram, and community art wall. Prepare, print and post in-store signage, staff-picks, banners, brochures, rack cards, and new member collateral. Responsible for media advertising and press kits. Conduct surveys to define our target shoppers, our shopper s interests, and discover the Co-op s strengths and weaknesses. Develop and update the owner packets, the branding guide, and the membership events brochures and flyers. Develop and print annual report. 6. Outreach: Organize and participate in membership & community events and related activities. Promote membership and community events through e-newsletter, website, Facebook, Twitter, Instagram, bi-monthly newsletter and by preparing and posting in-store signage. Manage and coordinate store sponsorships & community support programs. Manage and organize the Co-op community class program and Employee Health Fairs.

Manage and create bilingual newspaper and radio advertisements. 7. Financial Accountability: Prepare an annual budget for the anticipated programs, events, advertisements and sponsorships. Monitor and ensure direct and indirect expenses comply with the approved budget. Understand basic reports and financial terms used in Ukiah Natural Foods retail management system. 8. Co-op Knowledge: Maintain a working knowledge of the differences between cooperatives and other businesses. Maintain a working knowledge of Ukiah Natural Foods organizational structure, including our staff structure, membership, and the Board of Directors. Maintain a working knowledge of the process for enrolling, maintaining a current status, and cancelling a membership with Ukiah Natural Foods. Responsibility and Authority: Equipment: Responsible for the care and operation of standard office equipment.

Financial: Direct responsibility - This position authorizes departmental expenditures within annual budget. Internal and External Business Contacts: Supervisory: Responsible for maintaining good customer relations. Supervises full time Outreach Coordinator and Marketing Support.

Language Skills: Read and interpret documents in English such as safety rules, operating and procedure manuals, and periodicals and journals. Write routine reports, correspondence, business letters, and summaries in English. Ability to speak effectively in English with customers or employees. Public speaking abilities Excel in customer service extended to customers, staff, vendors, and community members and proficient in the ability to deal with difficult customer situations. Computer Skills: Proficient computer skills that will allow use, in a proficient manner, all Company-issued software programs, including but not limited to Microsoft Office programs. Proficient in Adobe Creative Suite (Illustrator, InDesign and Photoshop). Proficient in Email marketing and Social Media (Facebook, Twitter and Instagram). Reasoning Ability: Ability to operate independently with minimal supervision and to determine own work priorities within departmental guidelines. Basic Spanish speaking or comprehension. Physical Job Description 1. Typical Working Conditions: Usually within an office space for one to two people. Occasionally will perform duties in other office or retail floor spaces. Requires prolonged periods of sitting, keyboard use, and reading computer screen. Space is air-conditioned but fluctuations may occur because of change in outside temperatures. Frequently there will be work outside the store in a variety of conditions from other building sites to outdoors (street fair) settings, which may involve exposure to summer heat and/or winter cold conditions. 2. Equipment Used: Generally this position operates from within an office using a computer and phone although, it may require attending monthly department or annual staff meetings or presenting training classes which may use presentation equipment, such as a laptop computer, projector, screen and occasionally a microphone. From time to time this position may need to use additional office equipment such as fax machine, shredder, laminator, and copier. 3. Essential Physical Tasks: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee must be able to sit for prolonged periods of time and extended keyboard use and reading of computer screen. The employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. Then employee must regularly lift and/or move up to 20 pounds with an occasional need to lift and/or move up to 40 pounds. There may be a rare or occasional need to stoop, kneel, crouch, or crawl.
