Outlook Web App (formerly known as Outlook Web Access) December 2013 Update to Email Beginning December 5 th, Microsoft will commence an upgrade of our email system. No action is required on the part of you, the user, for this upgrade. The document highlights some of the key changes that are being made and is comprised of two parts. Part 1, is a simple, at-a-glance view of the changes. Part 2 provides more detail of the specific changes and how/where you can modify the preferences to suit your needs. Part 1 At A Glance You will continue to access the page as before, either through the My BSC link on the BSC homepage or directly via http://cloudmail.bsc.edu. After your account has been upgraded, you will notice the new Outlook Web App screen when logging in. This screen will appear for a few seconds and then direct you to the inbox. Your inbox will have a different look to it (especially if you have previously customized your views (conversation view, preview pane, two line view to name a few). These settings can be modified by clicking on the gear cog in the upper right corner and selecting Display Settings.
Part 1 At A Glance (con t) Your calendar view remains similar; you can choose between day, work week, week, or month views by clicking the respective link here: The People tab replaces Contacts. However, the appearance remains very similar to the previous version. Click All, People, or Groups to view a particular listing or click on the search box to find a particular contact (person or group). Finally, to sign out, simply click your name in the upper right hand corner and select Sign Out.
Part 2 - BSC Email Updates Begin new email Search and Sort email Calendar Use & Contacts (People) upper left Conversation mode and email organization upper right When starting a new email, click Insert (for attachment, picture, or signature) and click for more options Click the Conversations by Date arrow to turn on conversation mode: While previewing email, notice response options: Use Reply, Reply All, Forward and (more options including printing) Deleting email (one way): With item selected, click the red X Creating email folders: Right click Inbox and choose create new folder Name the folder and press enter Once the folder is created, right click the folder for options add to Favorites rename delete
Your Settings and Options (upper right click the cogwheel) Remember to save after settings changes. (Note: location for signature creation) Away Message Location: Organize email Automatic Replies Remember to save. To add your picture Click the arrow next to your name in the upper right. Then click the change link. Browse to find your picture and save.
The Calendar Add a new calendar event Select day, week, month views Go back to Outlook email & view Calendar reminders Scroll through months to view events in the past or future Click a calendar entry to Edit, Delete, Move it (click/hold/drag), or extend the time by dragging the size of the box bigger Start a new calendar event and click (for more options such as color categorizing)
Use the Scheduling Assistant for meeting planning. Contacts = People Create a new contact or contact group View your list of contacts and search View contact details and send an email
Creating a new contact group: Click New (in the upper left) you ll be asked if this will be a contact or a contact group Click create group Name the group and begin to add members. Click Search Contacts & Directory to quickly find an email account to add to the group. Save when complete. To email this contact group: While in the People/Contact area, simply click the group, then click the mail icon When using email, click to start a new email Begin to type the name of your new group in the To: line Click Search Contacts & Directory Find the group name and click it. Compose and send your email.
