TO ALL ITTF MEMBER ASSOCIATIONS Dear President, The Rio 2016 team is pleased to announce that the Table Tennis Test Event Aquece Rio International Table Tennis Tournament is scheduled for November 18 th 21 st 2015. This event, organised by Rio 2016, is part of the Rio 2016 Test Events Programme and it is a great opportunity for the Nations to test the Field of Play and get the atmosphere of the Games. We would like to invite your National Association to participate in our event. The Aquece Rio International Table Tennis Tournament will be organized in accordance with ITTF rules and using the same equipment intended for the Olympic Games. According to the ITTF Olympic & Paralympic Commission decision, the top 7 teams on the May 2015 World Team Ranking are invited plus the team from the Host NOC (Brazil). In addition, 8 players not involved in the team event will be invited for the singles event; the highest ranked from each continent plus the 2 highest ranked players on the May 2015 World Ranking not already participating. PRELIMINARY & FINAL REGISTRATION In order to maximize the participation, National Associations with qualified and reserve teams and athletes are requested to make their entries on-line no later than 15 th September 2015. By the deadline, the top 7 teams and the highest ranked player from each continent, plus the two highest ranked players on the May 2015 World Ranking not already participating will be invited. If there are no entries from a particular continent, these places will go automatically to World Ranking. ACCREDITATION Rio 2016 will use the registration list to establish the accreditation, including Team Officials and the demand from ITTF. Rio 2016 will proceed with accreditation distribution to teams on site. 2 Logistics 2.1 ACCOMMODATION AND TRANSPORT Accommodation and transport costs are the National Association s financial responsibility. The teams will pay for transport (Airport-Hotel-Airport), accommodation and meals (hospitality package), if required, directly to the agency. The agency will send to the teams the Hotel Reservation Form and the Transport Form. To assist the participating National Associations with accommodation/meals at the hotels and transport, Rio 2016 has appointed Alatur as the official Rio 2016 Test Events Agency. TRANSPORT The official Rio 2016 Test Events Agency Alatur will provide transport from/to Rio de Janeiro Airport if requested on time. Airport Transfer includes a Meet and Greet service with English-speaking coordinators at the International Airport Arrivals to personally welcome Rio 2016 clients with a specific name board and escort them to the transfer to the hotel. Transport Airport x Hotel x Airport R$ 200,00 (per person) PAYMENT POLICY FOR ACCOMMODATION The 25% deposit of the total amount for hotel accommodation should be paid by 30/09/2015. The balance payment is due by 20/10/2015. Any cancellations after 15 th October will incur penalties. For cancellation policy please contact the Travel Agency Alatur directly. Accommodation cannot be guaranteed, nor at the above quoted rates beyond this deadline. A balance invoice will be issued after payment. 2.2 CATERING Refreshment (water, cereal bars and fruits) for athletes will be offered in venue free of charge by Rio 2016. 2.3 VISA PROCESS Rio 2016 has developed a thorough Visa Programme that will also cover those participating in all Test Events. For all the participants that are nationals from countries who need a visa to enter Brazil (please check the page 27 of the guide available on http://www.aquecerio.com/tabletennis), Rio 2016 will provide introduction letters that must be submitted with the visa application at the chosen Brazilian Consulate/Embassy abroad. To request an Invitation Letter, please send an email to table.tennis@aquecerio.com with a list of the applicants, including their full names (as per their passports), passport numbers, birth dates, country and city where the visa application will be made. For that purpose, please use the attached Excel file. It is also important to be aware of the time frame for issuing a Visa to Brazil will depend on the country where the participant is applying. Please check the website of the chosen Brazilian Consulate or Embassy for further information on turnaround times. 3 INSURANCE By entering the event, each association must ensure that all delegation members have medical, travel and other appropriate insurance.
