Display Features The display on your phone is interactive. As you use the phone the information will change and different features and functions will appear on the display. The 8 buttons above the display are programmed for quick access to features. When the phone is idle, your display will show the name of the extension, the phone number, and day, date, and time. When in use, it will show the dialed number and the length of the call. In addition, there are several temporary messages that will display on the second line to describe the status of the phone. Placing Calls To place an external call, enter the telephone number and press the Right Arrow key below dial on the display. If you donʼt press dial, it takes a few seconds for the call to connect. Enter the extension number to place an internal call. You may either lift the handset before dialing to place the call or for a speakerphone call, you can begin dialing with the handset in place. Answering Calls You may answer an incoming call by doing one of the following: Lift the handset Press the Speaker or blinking Line key (Important: to end a call on speakerphone, you must press the Goodbye key) Voicemail The indicator light will illuminate when there is a message in the voicemail box. Messages can be retrieved by pressing the Voicemail key. Please see the attached Voicemail Guide for further information. Intercom Press Intercom key, enter the desired extension and press Dial After the beep, your party will hear you via the speakerphone on their phone The receiving party can choose to speak via speaker, or pick up the handset Do Not Disturb Press DND key, red LED light will come on Ringer is now turned off and incoming calls will go directly to voicemail Press DND key again to deactivate Call Pick Up Incoming calls to individual extensions can be picked up from any other phone by dialing **<extension>. For example, a call to 7412 can be picked up on 7409 by dialing **7412. Placing a call on hold While on the line with one caller, press the Hold key to place that caller on hold. *The Line key LED will blink indicating the caller is on hold. Parking Calls Incoming calls can be parked for pickup by another party After answering call, choose park location (1 or 2) and press Park key " Notify recipient by calling the extension, or use the Intercom key " Recipient can pick up the call from any extension by pressing the illuminated Park key Paging All extensions can be paged simultaneously by pressing the Page All key Mute Press the Mute key while on a call. The key will light up, indicating your microphone is turned off, the caller cannot hear you Press the Mute key again to resume normal call conditions Adjusting Volume To adjust ring volume " While idle, press the Volume Control keys until desired ringer volume is reached To adjust speaker volume " Press the Speaker Key " Press the Volume Control keys until desired speaker volume is reached To adjust handset volume " Lift the handset " Press the Volume Control keys until desired handset volume is reached Transferring Calls Blind Transfer " Dial the extension " Press the Transfer key again to complete the call Screened Transfer " Dial the extension " Wait until the party answers " To send the call: " " Press the Transfer key again to complete the call " To decline the transfer: " " Press Cancel on the display (left arrow) to cancel the transfer" " " " Press the blinking Line key to return to the original caller Transfer directly to VM " Dial *21 and the extension " Press the Transfer key again to complete the call

Forwarding Calls To activate " Press Call Forward Key and dial phone number that calls are to be forwarded to. " Press Dial, you will hear Thank you " Always test that your calls will forwarding correctly To deactivate " Press Call Forward Key. You will hear Thank you Conferencing Calls The phone is equipped with a standard 3-party conference: you and two other callers. Conferencing in a third party " While on the line with a caller, press the Conference key " Dial the phone number or extension of the party you wish to conference " When the third party answers, press the Conference key again. You are now " connected on a 3-way conference call. Joining Two Callers " While on the line with one caller (Line 1), if you receive a second call, place the " first call on Hold " Answer the second call (Line 2) by pressing the blinking Line key " Press the Conference key and Line 1 " Press the Conference key again, and Line 2 " Press the Conference key and Line 2 again to connect the two lines. You are now " connected on a 3-way conference call Dropping a caller " While on the conference call, the callers ID will show in the display " Press the Up-Down Arrow key to highlight the caller you wish to drop " Press the Right Arrow key under Drop on the display. Your other party is still " on the line" " " " " " " " " " Redial Press the Redial key Scroll through the list of stored calls by pressing the Up-Down Arrow key (phone stores the last 100 calls from the extension) Press the Redial key to dial the number shown " Callers List Phone stores the last 200 incoming calls to the extension. To return a call, press Callers key and use the up-down arrow to navigate to the desired caller. Dial the number by picking up the handset, pressing the Speaker key, or pressing a Line key. Rebooting the Phone Occasionally, the phone may need to be rebooted to clear an error. This can be done one of two ways: Press the Options button, Press 6 Press the Right Arrow key to Enter, Press # to confirm

Keys Key Description Programmable Keys - 8 top keys - all are programmable. 1-Park 1 Park an incoming call for a coworker to pick up from another phone 2-Park 2 Secondary Park location 3-Intercom Page another extension directly via Speakerphone 4-Page All Press to page all extensions simultaneously 5-Voicemail Access Voicemail box 6-Do Not Disturb When activated, incoming calls are automatically sent to Voicemail 7-Call Forward Forwards incoming calls to another any phone number Keys Key Description Hold Key - Places an active call on hold. To retrieve a held call, press the call appearance button beside the light that is flashing. Redial Key - Redials up to 100 previously dialed numbers. Pressing the redial key twice redials the last dialed number. Goodbye Key - Ends an active call. The goodbye key also exits an open list, such as the Options List, without saving changes. Volume Control Key - Adjusts the volume for the ringer, handset, and handsfree speaker. Ringer: press while there is no active call. Handset: press while handset is off the cradle. Speaker: press while speakerphone is on. Navigation Keys - Pressing the UP and DOWN arrow keys lets you view different status and text messages on the LCD display (if there is more than one line of messages). These buttons also let you scroll through menu selections, such as the Options List. Pressing the LEFT and RIGHT arrow keys lets you view the different line/call appearances. While in the Options List, these keys allow you to exit or enter the current option. When you are editing entries on the display, pressing the LEFT arrow key erases the character on the left; pressing the RIGHT arrow key sets the option. Speaker Key - Transfers the active call to the speaker, allowing handsfree use of the phone. Options key - Accesses services and options to customize your phone. Check with your System Administrator or T4 Telecom Service Representative before changing the administrator -only options. Caller List Key - Accesses the last 200 calls received. Conference Key - Begins conference call with the active call. Transfer Key - Transfers the active call to another number. Line/Call Appearance Keys - Connect you to a line or call. The Aastra 6731i IP Phone supports 2 line keys, each with LED indicator lights.

Voicemail Guide Access VM Press the Voicemail key or Dial *71 Enter password (default is Extension Number) Recording: You have X new messages and X old messages, or You have no messages Access VM remotely Call into Extension (via DID, auto-attendant, or from another extension) When the greeting begins, press * Enter extension Enter password Listen to messages Press 1 to retrieve messages.! To access old messages, press 2 to change folders, then press 1 twice Press 5 to repeat current message Press 6 to listen to the next message Press 7 to delete message Press 8 to forward message to another extension! Enter the extension to which message is to be forwarded! Press 1 to pre-pend (record an introduction to the forwarded message). Press # to send! message when done recording! Press 2 to forward without pre-pending. Press * for help Press # to exit Press * during playback to rewind the message Press # during playback to skip forward in the message Save messages Press 9 to save message, choose folder! Press 0 to save in new messages! Press 1 to save in old messages Change outgoing VM recording Press 0 for Mailbox Options! Press 1 to record unavailable message!! After recording:!!! Press 1 to accept!!! Press 2 to review!!! Press 3 to re-record! Press 3 to record name (extension identifier)! Press 4 to record temporary greeting (holiday closure, out to lunch, etc). Follow prompts!! VM will remind you that a temporary greeting is active!! To change or remove, follow same procedure to access the option and follow prompts Change password Press 0 for Mailbox Options! Press 5 to change password! Enter new 4-digit password, then #!
