Configuring the Maximizer Web Client First connect to the Maximizer web client and login using the credentials provided: You will have been provided with a URL for the Maximizer Web service you are using it will be something like: https://crm0001.maximizercloud.net/maximzierwebaccess or http://crm.mydomian.co.uk/maximizerwebaccess Login with the Username and Password and there will be two applications that you may wish to install and configure for your pc. These are: Maximizer CRM Integration for Microsoft Word This provides: o Mail-merge capabilities with your Maximizer contact data. Maximizer CRM Integration for Microsoft Outlook This Provides: o The ability to save email from outlook to your CRM database. o The ability to use email addresses from Maximizer when creating email. o The ability to open Maximizer cases from an email. o The ability to quickly access a Maximizer contact record in the CRM system. When you receive an email from that person. o The ability to synchronise calendar appointments between your Outlook calendar and your Maximizer calendar. o The ability to synchronise hotlist tasks between Outlook and Maximizer. o The ability to synchronise contacts between Outlook in Maximizer. The installation package for these two add-in components is accessed from the administration menu at the bottom left of the Maximizer web client as shown below. www.cabc.co.uk Page 1 of 6
Installation of the Microsoft Word Add-in Toolbar. You should be using Microsoft Internet Explorer 9 to install these add-ins. Click the Download Word integration button. Confirm the download. Either simply click run, or if you prefer choose save or save as to download the application and run it separately from that location. The installation kit for the Microsoft Word integration for Maximizer requires no configuration. There are no choices to be made during the installation just ensure that Microsoft Word is closed while the installation is completed. On each of the dialogue boxes simply confirm or click next until the process is complete. There are four confirmation buttons to click in total. When you open Microsoft Word the Maximizer toolbar will now be present. For instruction on the toolbars use. Microsoft Outlook Add-in Installation the installation of the Microsoft outlook add-in is initially identical to the instructions provided above. Click the link on the desktop add-ins page to download the Microsoft outlook integration. Either run the kit directly, or save it to your preferred location and then run it. Click through each of the questions which the installation asks either confirming or simply clicking next until the kit has finished. Make sure that while you run this kit you do not have Microsoft Outlook open. After the installation kit has completed open Microsoft Outlook. You will be automatically prompted to start the configuration process for the outlook add-in. TIP: We recommend that you turn off the wizard on the first page as if you do not if will hassle you every time you open outlook. Next you must provide your CRM system URL: (that you used to open the webclient, above) Note that when you enter this URL you only need to provide up to and including the text MaximizerWebAccess. www.cabc.co.uk Page 3 of 6
Next you should be able to select your database name from the drop-down list in the address book list box. If this is not available or you receive an error, you should recheck the URL entered on the previous screen. After selecting your address book enter the username and password you use to access Maximizer. You may also have to provide Windows credentials at this point if your Maximizer system is configured for Windows authentication. You can now select the default type of record that Maximizer will create in the address book when you add new people to the CRM system based on emails you have received in outlook. For most business databases you should set this to company/contact. If you deal mostly with consumers or private individuals choose individual. TIP: we strongly recommend that you take both of the confirmation boxes at this point. This will ensure that when you use the outlook add-in it is clear to you both that it is working correctly and that you will understand fully which records are being updated in your CRM system. You can now configure the outlook calendar synchronisation. The first thing that is configured is how frequently Maximizer will synchronise with your outlook data. If you leave this sector never you will be able to choose when you wish synchronisation to occur by pressing a button in outlook. TIP: if you are new to Maximizer leave this set to never until you have read about outlook synchronisation in the Maximizer documentation. This is a very useful feature. In Outlook 2007 choose the option contacts from within outlook address book (highlighted here) as the selected entry in the option Show this address list first. In outlook 2010 the option that must be set is at the bottom of the dialogue. Again from the Outlook Address Book section choose Contacts as shown here. IMPORTANT: you must now close outlook and reopen it before the buttons will work correctly. If you wish to alter the settings for the outlook integration.
