EXECUTIVE SUMMARY Graystone Group Advertising has specialized in recruitment advertising since 1987. The focus of our service is design, placement and creative services directed at the recruitment needs of colleges and universities. Our client list includes 600 colleges, universities and community colleges throughout the nation making Graystone the leading provider of recruitment advertising services for academia. Our Florida academic clients include Broward College, State College of Florida, Nova Southeastern and eight of the eleven Florida State University System schools. Our straightforward approach to business provides ease of access with an easy to understand pricing structure. Unlike most competitive agencies, Graystone's business model is based on "no add on charges", i.e., layouts, typesetting, last minute cancellations, revisions, media consulting or research, electronic communication fees, etc. Our high impact designs generate results and our ability to minimize wasted white space has earned us a reputation for delivering quality service at the most cost-effective price in the industry. CORPORATE PROFILE Graystone employs a staff of 30 professionals who operate from a central location in Bridgeport, Connecticut with regional offices located in Melbourne, Florida and Austin, Texas. Centralizing human and technical resources to serve Print and Internet advertising in one facility provides continuity regarding workflow and promotes the internal communication needed to support the diverse needs of our clients. We have been able to remain a leader in quality while providing the most cost-effective advertising by concentrating resources. Although we serve over 600 academic institutions we have avoided decentralization and its associated high costs resulting from duplication of functions and staff. Our Florida office is located in Melbourne, less than one hour from Daytona State College. This short distance allows quick response and coordination with the college when there are reasons to meet. I - Qualifications a. Historical Summary Graystone Group has provided recruitment-advertising services since 1987. We are a full service advertising agency with 20 years of exposure to the requirement needs of small private colleges, community colleges, state colleges, and major private and public universities. Our ability to stay ahead of the rapidly changing recruitment environment has kept us in the lead position for academic recruitment advertising. Our ability to incorporate recent technological advances into our business model has kept us on the cutting edge of the industry when it comes to performance and cost efficiency. Our policy of "no add on charges" and specialized customer service has helped us grow nationally. We now have more than 600 academic institutions in 46 states as clients including two Florida State Colleges, eight universities within the Florida State University System and several private universities in Florida. Graystone Group prides itself with the special attention we are able to provide our clients. This in part is due to the very unusually low turnover rate within our graphics department. Our graphics designers have been with Graystone an average 8 years and this allows our clients to get to know their designers on a personal basis. It is significant to note that most of our Florida academic clients have been with Graystone a minimum of 7 years and all have remained loyal to Graystone from the beginning. II SCOPE OF SERVICES a. Creative Graystone s staff has the skills and knowledge required for providing creative solutions. Our graphic designers have 4 year degrees in Graphic Arts and have an average of over 8 years experience creating innovative designs that are outstanding. Graystone will compose newsprint, trade journal or web ads from Daytona State College hard copy, website job listing or e-mail transmittal. Ads will be formatted efficiently to save space and cost but will be bold, attractive, and will stand out from other ads. Graystone has the ability to generate and format these ads within a few hours when required. Quick Response Codes (QR s) - Many of our clients are requesting QR Codes be placed on their recruitment ads as well as their image ads. Using a smart phone an interested party can scan the QR Code, go to a landing page or go directly to a designated site to learn more about the College. Please refer to Graystone Print Media Information Sheet in Appendices. The following is a QR Code specifically set for Daytona State College. When scanned this will link to the College s home page. The link can also be directed to a landing page or any other URL designated by the College. b. Internet Recruiting Graystone s knowledge involvement and use of the Internet has paralleled the ever-increasing growth of this recruitment medium. Our web services have expanded and now include job placements in over 1000 viable websites including Monster, CareerBuilder, Higheredjobs.com, etc. 1. Creative Web Use: Graystone recognizes that many websites go above and beyond to create an image for the client. Brand awareness is another key attribute that many clients want, not only in print but on the web as well. Our knowledge of the web allows us to recommend those sites that can enhance images and improve client awareness. These help target the active as well as the passive job seeker. In addition the following web options are available. Web tiles: Web tiles, those small, square or rectangular images that are used as backgrounds in web pages or postings can be used to enhance client web postings. Graystone would be happy to dress up your postings with colorful tiles. Banners: Banner ads, those eye-catching messages that will increase the response of recruitment posting are available through Graystone. Banners can be designed to link perspective candidates to the Daytona State College home page, Human Resources home page or special landing page. 2. Graystone has the capability to create animated banner buttons or tiles and skyscrapers. We also can help and/or design online Employer Profiles or micro-sites. Creative fees are charged for these projects. 3. Rates: Graystone has been very successful in leveraging our Internet posting volume to obtaining significantly reduced rates for many of the major recruitment websites. Page 11
c. Diversity An extremely important aspect of any recruitment campaign is the need to reach a diverse pool of candidates. Graystone has the knowledge and resources to help clients build these pools. Our media database maintains a complete list of national and regional ethnic publications. This list holds over 250 African American newspapers, more than 350 Hispanic publications and 75 plus websites, catering to diversity. Graystone also furnishes its clients with customized programs to improve diversity pools. These programs utilize traditional as well as nontraditional media outlets. d. Quality Control Graystone maintains a comprehensive Quality Control Program to insure ads appear consistent and accurately reflect customer requirements. To assure accuracy all ads are proofed and double proofed for spelling, grammar and pricing. If changes are made, the ad is returned to the design team for revision. When complete the ad is sent for final proofing. Graystone will develop ad templates that will contain the Daytona State College image, logo and standard statements covering applicant response and EOE information. Incorporating this information into ad templates assures that every ad is consistent in appearance and accurate. The Daytona State College will approve the template. Graystone has established a Daytona State College team of experienced designers. Assigning a team to handle these ads assures a better understanding of customer requirements and enhances the quality control measures already in place. Our team has more than 10 years of local experience servicing our clients in Florida and more than 20 years servicing clients in 42 in other states. Page 12
e. Ad Request Process Graystone will submit all copy, layouts and designs to Daytona State s recruitment staff for proofing, finalizing and approval prior to ad submittal. The proof will contain the cost, run dates, deadlines and recommended media. If Daytona State College or Graystone makes changes during preparation both parties will authorize the change. Graystone will research and develop the best and most cost effective media for the appropriate markets. Graystone will submit all invoices to Daytona State College including an advertising record (proof of placement) from the media utilized. One invoice will be submitted for each ad placed. Our internal technology includes a proprietary traffic management system that creates customized billing and reporting tailored to clients needs. Invoicing is accomplished via e-mails thereby streamlining the billing process. Graystone saves time by assuming the entire burden of the recruitment advertising process, from the creative to the administrative. Your recruiter can make one call or e-mail to us and we will furnish you with layouts and pricing for every publication or quotes for every website you may be considering. One stop shopping, if you will and there is no additional charge for this service. We will make sure Daytona State College receives the most favorable rates from every publication or website you work with. We will optimize print ad space because proper space management saves money. Invoices are net 30 days, payable by check or direct deposit. We are prepared to accept requests in any format, however we encourage clients to make advertising requests through ads@graystoneadv.com. f. Branding Branding has become an important part of recruitment advertising. Building an instantly recognized brand will enhance both the quantity and quality of candidates applying. It is another important tool necessary to maintain a college s competitive edge. An agency must invest time interfacing with college HR personnel and management to understand the College s mission, purpose and how the College wants to be perceived by the students and community. Graystone has the experience and desire to work with Daytona State College if enhanced branding is desired and also so we can better represent the College s ideals. III - SUMMARY Graystone Group will provide clear, concise and cost efficient recruitment ads for newspapers, professional journals and magazines. Ads will be placed at or below rates currently in effect. Graystone can provide special services such as reporting, media and diversity consulting also at no extra charge. One e-mail will provide as many ads in as many publications or web services as desired. The mission of Graystone is the design and placement of high quality attention-getting recruitment advertising in the most cost-effective manner possible. Government and academic entities have applauded our design concepts and our commitment to their goals and objectives. Graystone provides print services without assessing fees and charges that are often imposed by other advertising agencies. Our compensation, unlike most of our competitors, is derived exclusively from the standard commission paid by the media. Page 14
