Dear ESNers Annual General Meeting, also known as the AGM, is the main decision-making body of ESN International. All the official sections of our network are invited to the AGM to decide about how the network should be run the following year. The AGM usually takes place in March or April and lasts for four days. The programme begins on Thursday evening and the official meetings are scheduled for programme Friday, Saturday, and Sunday. As the AGM is a perfect opportunity to exchange information between all sections, a lot of time is dedicated to different workshops on Local Level, National Level and International Level. Warsaw is the capital of Poland, situated in the eastern central part of the country, on the Vistula River, with population around 2,000,000 people. Nurturing over 400 years of pride as a capital, it s Poland s largest city and an economic, political, and cultural centre. The symbol of the city is the Mermaid, featured on the city seal. Warsaw is a bustling metropolis and features an unforgettable history. A city where a fourth of the terrain is covered by parkland and a city of culture for all tastes and budgets.
Accommodation During AGM Warsaw 2016 all participants will be accommodated in four-star Novotel Hotel. It stands out with its location it is situated in the very heart of the city centre. That means a stone s throw away from all hotspots Palace of Culture and Science, the Old Town and most important transportation points. The breathtaking window view at the Palace of Culture and Science is going to leave a stamp in everyone s mind for a very, very long time. Upon arrival you will be billeted in the spacious twin rooms with Wi-Fi, minibar and air condition.
All meals during plenary sessions will be provided in the stylish hotel s restaurant. Wide selection of dishes will consist of polish traditional meals and international cuisine. Your free time you will be able to spend in the hotel s newly renovated lobby area. For something stronger we can invite you to the hotel s bar. We don t forget that AGM is very stressful time, for this reason we open for you the one and only Video Game Area. It s not the end! In the hotel there are also fitness centre, wellness centre, sauna and much more.
Plenaries Plenaries are the most significant part of AGM. Representatives, from over 500 universities from all over the continent, are deliberating over the future of Erasmus Student Network organisation. The plenary sessions will be held in Novotel. Do not worry about falling asleep because we will provide the coffee breaks. Moreover, on the last day the most important voting are taking place, such as: a choice of future International Board or the organiser of the next AGM.
Flag Parade The inseparable element of every AGM is a Flag Parade. Over 800 delegates from all of ESN sections dress up in their national colours will march through the city streets. This year the scheduled route leads through Nowy Świat, Krakowskie Przedmieście and Świętokrzyska streets, passing some of the most famous buildings in Warsaw and finishing next to the Palace of Culture and Science. Annually, the Flag Parade is a perfect occasion to unite all the participants of AGM. Help us to show Warsaw the European Unity of Students!
Opening Ceremony Formal Opening Gala of Annual General Meeting Warsaw 2016 will take place in the Main Building of the Warsaw University of Technology on 7th of April 2016. Representatives from 37 countries, members of Polish government institutions, authorities of Warsaw and universities in the city will be present at the opening of the most important ESN conference. Ooh! Classy! We plan to arrange artistic performances in order to make this evening even more unforgettable. Believe us there are not such words that could describe the elegant and chic look of that place.
Opening night AGM in not only about plenaries and conferences, there is also a time to have fun and Warsaw is the best place to do it. After the whole day of work everyone will enjoy the party in one of the most famous club at the city centre! We guarantee #AllGoodMusic with the best DJs and special attractions for all the participants. For sure you cannot miss that!
Eurodinner Do you prefer Spanish or Italian cuisine? Belgian beer or French wine? Still doubtful? We invite you to the European food festival during one and only evening called Eurodinner. This event gathers international students who share their traditional food with other participants. It is one and only occasion to experience that many cultures. Eurodinner will be located in one of the fanciest places in Warsaw Culture Map. Dom Braci Jabłkowskich was built in 1913 as the most luxurious and reputable store in Poland, much like their foreign counterparts, Lafayette, Harrods or Selfridges so believe us... all of you will be able to fell the spirit of that place (live music will be just an extra attraction here).
Infomarket Infomarket is the largest event in this category in Poland and undoubtedly one of the best occasions to expand your knowledge about foreign universities. Participants will be able to get to know 500 universities from 37 countries and meet their ambassadors who will take part in our conference. During Infomarket main stands will be reserved for institutions which support our conference. So maybe some of you will find your future career path in international, well-known company? Ekhm... have we mentioned that this year we are planning to have around 2000 participants of the event?
Workshops During AGM Workshops the participants will have unique opportunity to get in touch with the biggest partners of AGM Warsaw 2016. The workshops will take place at the same venue as Infomarket - campus of Warsaw School of Economics. All of the participants can send their CV earlier in order to obtain easier recruitment process for the internships proposed by our biggest partners. We can bet that most of you know that companies... some of you tried to work for or with them! Now it is your time to speak with them face to face!
Erasmus World Festival We have a pleasure to invite you all for the Erasmus World Festival. During the event you will have opportunity to discover more of #AllGoodMusic by listening to worldwide known artists. In the meantime you can meet people from all over Europe and spend unforgettable time with them. What is more, the festival will take place in the old cinema! So? The Party won't start 'till YOU walk in!
Farewell Gala The Farewell Gala is a formal ending of AGM and the summary of the whole conference. It includes the award ceremony and presentation of new International Board of ESN. The Farewell Gala will take place in the most distinguished and festive place in Warsaw - The Palace of Culture and Science. It will be followed by several performances of musicians. All of our guests will have access to all night catering with polish dishes and desserts. AGM s partners will have opportunity to participate and present their activities at the Farewell Gala.

We provide you with the opportunity to join some of the events and have a great time in Warsaw! The package contains plenty of attractions and includes the admission to: Flag Parade, Opening Ceremony, parties in clubs, Eurodinner, Infomarket, workshops, Erasmus World Festival, Farewell Gala (food, accommodation and plenaries are not included).
The OC of ESN AGM Warsaw 2016 can't wait to welcome you in Poland! Registration The registration for AGM Warsaw 2016 starts on 7th December 2015 and will last for two months, till 7th February 2016. All potential participants, including second-round hopefuls, must have registered by this point as registration will not be re-opened after this date. By 8th February, NRs should gave distributed all of their delegates spots. Participants have 7 days to pay a participation fee of 190 (regular spot) after they were approved, The very last deadline for payment and uploading proof of payments before places go back to the pot is 15th February. By 22nd February, all the redistributed spots should be approved by NRs in the second round and again, participants have 7 days for payment, that is till 1st March. Remember that after 19th February the participation fee is not refundable anymore, and name changes are possible only till 8th March. There are 800 regular spots, but if you don't get the regular spot, then you can register for the Erasmus World Festival Package, the registration for this package will start in February.
