1 of 6 Create your first Newsletter You need to create a List first before you can create your Newsletter. See "Create and Import your List" below. Step 1 Setup your first Newsletter In the Admin panel, Components >> jnews >> Newsletters Click on the button New to create a new Newsletter The default template is automatically loaded you can create your personal customize template or change the default one in the template section. Ste-2 Select your template Click on the Template button and select any other template available by default. It has 6 default templates you can use. Write a subject and the content of your e-mail the way you want. You can insert pictures, text, links and so on.. Step 3 Add tags to your Newsletter In the Newsletter edit page, click on the TAG button. Tag is used to insert information like subscriber information, Joomla and K2 articles, modules, JomSocial data and social tags to promote your newsletter to a bigger audience like Facebook, Twitter and LinkedIn. Step 4 Assign your Newsletter to a List. You can assign a newsletter to several List without having to worry sending duplicates of emails to your subscribers. Step 5 Test your Newsletter Before sending your newsletter to your subscribers it is advisable to send a test copy to your test email using
2 of 6 different email clients to make sure everything is working properly. Use the 'Preview' button to test your newsletter. Step 6 Finalize your sending process Manual Sending To use manual sending you need to properly setup your sending frequency to avoid server problems. In the admin panel, Components >> jnews >> Configuration >> Mail Tab >> Sending Settings Pause x seconds every configured amount of emails >> Enter the number of seconds jnew will give the SMTP server the time to send out the messages before proceeding with the next configured amount of messages. Emails between pauses >> The number of emails to send before pausing. To setup sending emails, see the "Setup using Manual Sending" section below. To understand this idea better, let s follow with an example. Johan is a blogger, he sends a weekly summary of all his articles to his 10,000 subscribers using jnews Core. He is using Siteground to host his website and only allowed to send 400 emails/hour and maximum 95 emails every 15 minutes. To overcome server limitation Johan setup the following frequency; Pause x seconds every configured amount of emails >> 900 seconds Emails between pauses >> 90 emails Avoid the following;»logout in your Joomla admin area Make sure your website session lifetime is higher than the total number of hours to send all your newsletters. In the case of Johan he needs to send 10,000 emails, it requires him atleast 24 hours to have active login. To change your session lifetime setup, go to Joomla global configuration >> System Tab >> Session Settings >> Session Lifetime.»Do not close the pop-up sending window To send newsletter manually, it will open in a pop-up window to show you the process of the sending. Closing the window will stop the sending process. You can process the unsent emails anytime in the Queue and it will only send the remaining unsent emails.»loss of internet connection It is good to have a stable internet connection to avoid sending interruptions. All unsent emails are automatically forwarded to the Queue and waiting for you to click 'Process Queue" to start again once internet connection kicks in. Create and Import your List This article explains how to create and import your List using jnews.
3 of 6 Create your List Import a CSV file Create your List With jnews you can create as many lists as you need! Each list is completely separate from any other list you may have previously created. To set up a new list follow the steps below: 1. 2. 3. In the admin panel, Components >> jnews >> List Fill out the setup details with the your information and configurations. When you're finished, click the [Save] button to save your changes. Import a CSV file Once you've created a new list you're now ready to import your subscribers. You'll want check that your files are writeable and in components/com_jnews/upload and then follow the steps below to import your CSV file. Set up a CSV file You'll need to export and save the file as a CSV file. If you don't have the option, you can export as a spreadsheet and convert the file using Microsoft Excel or NeoOffice. Formatting Tips When you're setting up your file for import into your list, here are a few things to keep in mind: Each subscriber should be on a separate row Remove any kind of special characters Do not include headers, only (name, email,1,1) Save the file as a CSV Example of a list set up in NeoOffice
4 of 6 Example of a list set up in Notepad Once you've created a list and have your file set up, you're ready to import! The steps below walk you through the import process. 1. 2. 3. 4. 5. In the admin panel, Components >> jnews >> Subscribers click the Import button Select the file you want to import using the Browse button. Select the List you want your users to be subscribed. Click the Import button to upload your file. Setup your send process This article explains how to setup your send process using jnews. Setting up your sending process is a bit like setting up a new computer: You only have to do it once. After you
5 of 6 configure the proper setup in Mail Tab, you never have to hassle with it again unless, it is misconfigured. By default jnews uses queue management to send your e-mails. In this process, if you encounter sending issues jnews will store your unsent emails in the queue so you will be able to send it later, after your sending issue is resolved. Don t be confused Before you start to setup, collect the following information. You will need to enter it during the setup process: The type of e-mail server your hosting provider uses (SMTP, PHP, SendMail). For smtp, you need to provide the correct SMTP information (SMTP host, port, secure, username and password). Ask your hosting provider your sending limitation(s). Verify with your hosting provider what encoding format you can use to encode your mailings. (text (8bit) or MIME(base64) )
6 of 6 Once you've gathered all of the necessary setup information you are ready to setup your sending configuration. 1. 2. 3. In the admin panel, Components >> jnews >> Configuration In the Mail Tab, fill out the setup details with your proper site configuration. When you are finished, click the [Save] button to save the changes. By default it is set to Pause = 20 seconds and Emails = 65, but if you have more than one thousand subscribers and a tight email limitation make sure to decrease or increase the pause and number of emails per task according to your hosting requirements. Using jnews Core To send your newsletter, click the send button, a popup will appear and you can start sending the Newsletter to your subscribers. The sending process will be sent in email batches based on the Send Settings you setup previously. Each batch will automatically send until the all of your emails are completely processed and sent. During the send process, it is necessary that the pop-up window always remains open. This means that a lost internet connection or turning off your computer during the send process will result in an incomplete mailing. If the pop-up window is closed jnews will finish the current batch and then stop sending additional batches. In the event that this happens you can resume the sending by going to jnews >> Queue tab and click Process Queue.
