Purpose: The purpose of this agreement is to define standards, procedures, and restrictions for connecting to Wayne Public Schools internal network(s) from external hosts (e.g., your home computer) via the public Internet using Wayne Public Schools Remote Access Service. Introduction: What it is: Remote access allows permanent, full-time district staff with existing network access to work from home or utilize the Wayne Public Schools internal systems for business or educational purposes by connecting through the public Internet. Some of the systems available include your network user folder and files and the Microsoft Office Suite applications. Who can use it: The Wayne Remote Access Service is provided through a voluntary application process. The users of this service will need to have a certain level of computer skills in order to use the service. This would involve being able to setup and maintain their own personal computer and Internet connection and install software required for proper use of the service. A signed copy of this agreement must be on file with the Technology Department in order for an employee to be granted access. In addition, each employee must complete mandatory remote access training before their account will be made available. All expenses related to the use of this service, such as costs for public Internet services, are the responsibility of each individual. Security: Wayne Public Schools resources (i.e., district organizational data, computer systems, networks, databases, etc.) must be protected from unauthorized use and/or malicious attack that could result in loss of information, damage to critical applications, loss of revenue, and damage to our public image. Therefore, all remote access privileges for Wayne Public Schools employees to district resources must employ only district-approved methods. This type of access provides a secure encrypted connection to Wayne Public Schools systems and services. Regardless of the end-to-end encryption involved, this type of service does expose internal systems to other forms of risk. Due to these risks, approved users of this service are responsible for maintaining the security of their own personal computer systems (e.g., keeping your account information private, never leaving your PC unattended while logged in, etc.). Acceptable Use: It is the responsibility of any employee of the Wayne Public Schools with remote access privileges to ensure that his or her remote access connection remains as secure as his or her network access within the office. It is imperative that any remote access connection used to conduct Wayne Public Schools business be utilized appropriately, responsibly, and ethically. Therefore, the following rules must be observed: Privacy: Remote access is to be used only for accessing, managing, and maintaining Wayne Public Schools systems and applications for relevant business or educational purposes. By using Wayne Public Schools Remote Access Service, the user assumes personal responsibility for their appropriate use and agrees to comply with this policy and other applicable Wayne Public Schools Acceptable Use Policies for Internet and computer use, as well as City, State, and Federal laws and regulations. Secure remote access procedures will apply, as follows: Eligibility: Employees will use encrypted strong passwords in accordance with Wayne Public Schools password policy. Employees will keep account information private and never share account information with other individuals or family members. Employees agree to never disclose their passwords to anyone, particularly to family members. Timeouts for session length and inactivity will be applied. All access is monitored and/or recorded, to include the times, dates, and duration of access. Patterns of unusual activity, which may indicate a compromised computer or account, may result in immediate account termination and further detailed investigation. This is a voluntary service which full-time staff can choose to use if they find it useful in performing and executing their professional duties. All permanent, full-time Wayne Public Schools staff are eligible for this service. Each user must complete, sign, and submit a Remote Access Service Agreement and attend mandatory training before access can be enabled for the service. Procedures: The Technology Department will provide accounts. With the receipt of the appropriate signed agreement, approvals, and attendance at mandatory training, a remote access account will be created and the required installation instructions will be provided to the account holder (see Remote Access Manual). remote access acceptable use agreement V1.5 Page 2 of 5
Systems and Services: Remote access provides a limited set of systems and services within the Wayne Public Schools network. These systems and services include your network user folder and files and the Microsoft Office Suite applications. Notes: Support: Printer services and support are restricted and limited (see end-user documentation for more information) External Internet connections are redirected back to the remote user s PC and opens a new browser window on the remote user s PC in order to connect to an external website There is limited desktop and network support for this service. Remote users are responsible for the support, configuration and operation of their own personal computers. Remote users are responsible along with their selected ISP (Internet Service Provider) for maintaining and operating their public Internet service. Every attempt will be made to ensure that the Wayne Public Schools Remote Access Service components remain stable and operational. However, there will be times when the service is unavailable due to system maintenance, or when the number of users logging in exceeds the number of available user licenses, or when there are other unforeseen events or circumstances. Please place a help desk ticket in the Help Desk system with the problem type Remote Access for problem resolution assistance. Requirements: Internet Connection (DSL, cable, etc.) Dialup connections are not supported. Minimum recommended platform is Microsoft Windows XP with Internet Explorer 7. How to obtain Remote Access: 1. Complete and sign the agreement on the last page of this document. Note that the agreement requires your supervisor s signature, approving your request for Remote Access. 2. Submit a Help Desk ticket with the problem type Remote Access. Each person requesting Remote Access must submit their own ticket. If you have previously submitted a ticket requesting Remote Access, you will need to resubmit a new ticket at this time. 3. Attend a mandatory training session.* You must bring your completed and signed Remote Access Acceptable Use Agreement to the training it is your ticket of admission. If you do not bring the Agreement with you, you will not be allowed to attend the session. *Note: Training session dates and times are announced via e-mail.
