The Operations Manager provides daily leadership and supervision of employees and ensures customers are satisfied and retained. They do this by contributing towards a safe, productive, and profitable environment. Working closely with the other key members of management in the areas of training, documentation, employee development, and company policy enforcement the Operations Manager helps achieve and maintain the maximum levels of safety, productivity, and quality for the services provided to customers. Operations Manager is responsible for initial and ongoing training of approximately 15+ employees and for developing and implementing company operations and policies. Operations Manager will be assigned to work in the Tree Care Operations which include Tree Pruning/Removal, Ornamental Pruning. Department Specialties within Tree Care Services include: Plant Health Care, and Firewood Sales. ESSENTIAL DUTIES & TASKS: Assists in planning, organizing, directing activities within Tree Care Operations. Cross training in other areas of operations divisions to allow for smooth operation during necessary seasons and/or in absence of one or more employees. Assumes core responsibilities of other Managers as needed. Employee Management & Development. Maintains department morale, works on employee development, motivation, and retention. Responsible for the development, discipline, and advancement of assigned employees. Maintains documentation in order to report on employee progress and provide supported recommendations. Spends times on crew visits: Includes answering crew questions or assisting with any needs they may have. Identifying, developing, administering, maintaining documentation and tracking training as needed. Completes regular skill evaluation and compensation review of employees. Assists in completing employee evaluations and performance reviews. Interviews with prospective employees. Conducts new hire orientation as assigned. Monitors and assists with time off requests. Deals promptly and consistently with crew issues such as safety violations and insubordination and takes appropriate disciplinary action up to termination with proper documentation. Fiscal Management responsible for helping ensure profitability of departments.
Assists in establishing department objectives to include budgets, projections, and goals. Resource Management includes daily check-out and check-in of production crews, helps perform field work and/or act as a Foreman when needed. Establishes and maintains relationship with vendors and suppliers and regularly investigates new techniques and equipment as relevant to operations. Supervise training of specialty equipment and applications. Capital/Equipment includes daily check-out and check-in of equipment, tracks gas usage for all department vehicles monthly. Keeps office, yard, and equipment organized, clean, and safe, supervising vehicle organization and inventory, checking trucks/equipment for needed repairs and cleanliness, inspecting safety gear, both company issued and production crew's personal items, supervises equipment maintenance; Responsible for locking buildings; establishing and tracking daily production targets, incentives, safety records and compares to revenue targets and past records, tracks replacement of products. Customer Service Answers and/or returns calls, phone calls and emails from customers. Enters redos, leads, and calls as needed. Completes courtesy visits including quality control checks of production crew. Enforcer of standards, ensures high level of customer satisfaction maintained, and understands company programs, services, and knowledgeable enough to answer customer questions. Resolves customer complaints while trying to maintain a win/win solution for customer and company. Systems and Processes Develops, is familiar with, and enforces Standard Operating Procedures of the company including Safety, Appearance, Customer Service, etc. Assists in emergency situations and storm damage operations. Safety incident investigation and resolution including investigating and reporting on wrong properties, vehicle accidents, personal injuries, property damage, complaints, formal complaints, etc. Finds ways to run departments more efficiently and safely. Internal Communications Participates professionally in assigned meetings (including crew, supervisor, and company meetings). Communicates effectively with many different leveled employees within the organization, from unskilled/skilled labor level, to Sales, Administrative and Management Team
Members. Assists with and answers questions for routing as needed. Public Relations Manage communications with and professional involvement in the appropriate government, community, and industry related associations (Department of Agriculture, TCIA, ISA, etc.), and continuous networking and building of professional relationships on behalf of the company. NECESSARY SKILLS, ABILITIES, AND COMPETENCIES: Maintain strong customer service, problem solving, decision making, and strategic planning skills. Ability to handle difficult situations with diplomacy. Able to stay calm, even tempered, and not take things personally during stressful situations. Must also be able to respond quickly and stay composed in potential hazardous areas/situations. Be committed to high quality performance including accuracy and thoroughness while working safely and efficiently. Commitment to maintaining safe workplace environment and awareness of surrounding environment in order to identify potential hazards. Have the ability to balance individual responsibilities and contribute to teamwork. Must also be a strong leader and have the ability to motivate a team. Flexibility and ability to adapt to a constantly changing workplace is important. Acceptance and ability to work with and for diverse groups. Employee must be fluent in reading, writing, speaking and understanding the English Language. Intermediate math and calculator skills are required. Ability to operate standard office equipment and IT systems and programs (including but not limited to copier, fax machine, network computers/printers, Internet, and email). This includes being knowledgeable with Microsoft Word and Excel minimally at an intermediate level. Employee will also be asked to learn software. EDUCATIONAL BACKGROUND, EXPERIENCE, AND/OR ADDITIONAL REQUIREMENTS: High School graduate Associates Degree in General Studies or horticultural related field A minimum of 1-3 years working the Tree Care Industry is required.
A minimum of 2-4 years supervisory experience and/or training preferred. A valid Driver License with a clean motor vehicle record is required. CDL preferred. The ability to drive an automatic and/or manual transmission is also required. Department of Agriculture Industry related professional certifications and licenses (CTSP, TCIA, ISA certifications, Utah Department of Agriculture, etc.) considered a plus. SUPERVISORY RESPONSIBILITIES: The Operations Manager directly supervises 15+ hourly employees and carries out supervisory responsibilities in accordance with the organizations policies and applicable laws. Responsibilities include interviewing, hiring, training employees; planning, assigning, and directing work; managing time off requests, rewarding and disciplining employees, addressing complaints and resolving conflicts. PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. While performing the duties of this job, the employee is regularly required to sit, drive, stand, and/or walk for prolonged periods of time. Employee must have full range of body movements including use of his/her hands and fingers, to handle and feel objects such as computer equipment. The ability to bend the body, to reach for objects, and to crouch when needed is required. The employee must also have the ability to lift up to 25 pounds with regularity. WORKING ENVIRONMENT/SCHEDULE: This position will be working both indoors in a smoke-free office environment with a moderate noise level as well as working outdoors as well as on customer s properties; while working outdoors this position will encounter varying, sometimes adverse, weather conditions, temperatures, and environmental factors possibly including dust, pesticides, smoke, debris, sawdust, and loud noise. In this position the employee will be required to work some assigned Saturdays throughout the year. A Saturday schedule will be assigned depending on the workload each week, notice for required Saturdays will be given in advance when possible. This position also includes opening the building and evenings for closing the building. This requires an Operations Manager to be available to open the building as early as 6 a.m. during assigned weeks and potentially working as late
