Overview One widely-used Microsoft Outlook feature is offline access to a user s mailbox folders. The offline folders (OST) file is stored on a user s computer and keeps a local replica of the corresponding folders in the user s Exchange mailbox. Each OST file is associated with only one Exchange mailbox and cannot be used with any other mailbox. Therefore, a user cannot continue to use the same OST file with the new mailbox after mailbox migration to another Exchange server. However, you can migrate remote and laptop users transparently using Quest Exchange Migration Wizard or Quest Migration Manager. You can preserve offline folder (OST) files during migration by grouping the mailboxes of the remote users in Remote Users Collections and processing them separately from other mailbox collections. To find out which mailboxes store their offline data in OST files and which do not, system administrators can use the Quest Offline Folder Wizard. The wizard analyzes the mailboxes of the selected servers and provides three lists: one containing the Distinguished Names (DN) of the mailboxes storing their offline data in the OST files, a second containing the Distinguished Names of the mailboxes not storing their offline data in the OST files, and a third containing a list of the errors that occurred when the wizard attempted to logon to mailboxes. The wizard can analyze both Exchange 5.5 and Exchange 200x servers. Once you have a list of mailboxes that store data in OST files, you can add these mailboxes to Remote Users Collections and migrate them transparently. In the remainder of this document, Exchange 200x denotes Exchange 2000, Exchange 2003, and Exchange 2007 organizations, servers, mailboxes, etc 5

Quest Exchange Migration Wizard Installation It is recommended that the Offline Folder Wizard be installed on the Exchange Migration Wizard or Quest Migration Manager console computer. This will enable the wizard to retrieve the list of source servers directly from the SQL database where migration project is stored. 6

Offline Folder Wizard Usage Start the wizard either by using the Start menu or by running the OfflineFolderWizard.exe file. Then complete the following steps: Step 1. Select Servers for Analysis This step allows you to specify servers from which the wizard will retrieve the data about mailboxes. For the wizard can retrieve the required information, all the servers you add for analyzing should be available with their private information stores running. You can select the servers to be processed using the following methods: Import from SQL If the Offline Folder Wizard is installed on the Exchange Migration Wizard or Quest Migration Manager console computer, you can simply import the list of source servers running either Exchange 5.5 Server or Exchange 200x Server from the database, after the source servers have been already registered in the product SQL database. To do that, click the Import from SQL button. The list of source servers will be displayed by the wizard. The check boxes next to the server names will be selected by default. Clear the check boxes next to the servers that should not be analyzed by the Offline Folder Wizard. 7

Quest Exchange Migration Wizard Add Servers Manually If you want to analyze just a few of the source servers involved in migration process, you can add them manually. To do that, click the Add Server button. In the displayed dialog box, specify the name of the server, and the credentials for accessing this server, and click OK. The account you specify on this page should have administrative rights on the server you specified. To make the wizard add all other servers from the organization to which the specified server belongs, select the Add all servers from organization check box. In this case, you should select whether the specified server is running Exchange 5.5 Server or Exchange 200x Server, and specify the port number and credentials to connect to all servers in the organization. The account you specify should have administrative rights on all the servers to be added. If your organization is running Exchange in a mixed mode (that is, both Exchange 5.5 servers and Exchange 200x server are present in the organization), you will need to add those servers separately. Take the following steps to add both Exchange 5.5 and Exchange 200x servers: 1. Click the Add Server button. 2. Type in the name of the Exchange 5.5 server. 3. Select the Add all servers from organization check box. 4. Select the Exchange 5.5 option. 5. Specify the port to connect to all Exchange 5.5 servers in the organization. 6. Specify credentials to connect to all Exchange 5.5 serves in the organization. 7. Click OK. 8. Click the Add Server button. 9. Type in the name of the Exchange 200x server. 10. Select the Add all servers from organization check box. 11. Select the Exchange 200x option. 8

Offline Folder Wizard 12. Specify credentials to connect to all Exchange 200x serves in the organization. 13. Click OK. Import Servers List from File To import a list of servers, click the Import button and select a file containing the list of servers. The file should be a tab-delimited text file containing one server per line. Each line should contain the following information: Server_name the name of the server to be added. User_name the account name used to connect to the server, in the format domain_name\user_name. 9

Quest Exchange Migration Wizard Password the password for the account specified. If migration is performed using Exchange Migration Wizard, the passwords can be encrypted using Password Manager. For more information about Password Manager, refer to the Exchange Migration Wizard Resource Kit User Guide. When selecting a file you should also select whether this file type contains the encrypted passwords or plain passwords: Port the port used to connect to the server (optional). Here is an example of a valid import file: Additional Features Once you have added servers using any of these methods, you can do the following: 10 Export a list of the servers already added for later use. To export the list of files, click Export. To edit the settings made for the server already added, select the server and click Edit. To remove a server from the list, select the server and click Remove.

Offline Folder Wizard Step 2. Save Reports After analyzing the servers, for each analyzed server the wizard will create three files containing the following information: A list of mailboxes storing information in offline folder (OST) files, A list of mailboxes not storing information in offline folder (OST) files, A list of errors that occurred while analyzing the servers. This step allows you to select where the wizard will save these reports. By default, the Save to field will display the path to the folder where the OfflineFolderWizard.exe file is located. Step 3. Wait while the Wizard Analyzes Mailboxes Wait while the wizard analyzes the mailboxes of the selected servers. 11

Quest Exchange Migration Wizard Step 4. Complete the Wizard When the wizard completes analyzing the mailboxes of the selected servers, for each analyzed server it creates the following three files: ServerName_OST_USERS ServerName_NO_OST_USERS ServerName_ERROR_USERS If there are no mailboxes that store data in offline folder (OST) files or no mailboxes that do not store data in OST files, the corresponding file will not be created. To view the details, click the View Log button, which will open the OfflineFolderWizard.log file. The ServerName_OST_USERS file can be further used to create a Remote Users Collection. The ServerName_NO_OST_USERS file can be used for creating regular collections. Both Remote Users Collection and regular collections can be created using Import Mailbox Collection Members Wizard. 12

Offline Folder Wizard Importing a List of Mailboxes to a Remote Users Collection Take the following steps to create a Remote Users Collection. The procedure for creating a regular collection is similar. Step 1. Select a File to Import To create a collection, right-click the appropriate mailbox synchronization job and select the Import Members command from the shortcut menu. This will start the Import Mailbox Collection Members Wizard. The first step will prompt you to select a file containing the list of mailboxes to be imported. Browse to the ServerName_OST_USERS file, verify that the Export format check box is selected, and that the, (comma) character is selected as a separator. 13

Quest Exchange Migration Wizard Step 2. Import a List of Mailboxes In the next wizard step, select Distinguished name from the list of Matching attributes. The list of mailboxes will be displayed. Make sure that The first row of the file is the column header check box is cleared and click Next. Step 3. The next step allows you to select either the server on which the mailboxes are hosted or the recipients container. Step 4. Select or Create a Collection The next step allows you either to create a new collection or to import a list of mailboxes to an existing collection. Select the appropriate option and click Next. The wizard will import the list of mailboxes to the collection you select or specify. For more information about the Import Collection Members Wizard, refer to the Exchange Migration Wizard - User Guide. 14

Offline Folder Wizard Step 5. Modify the Properties of a Remote Users Collection Now you need to verify that the collection you created will be processed as a Remote Users Collection. To do that, right-click the collection and select Properties from the shortcut menu. Verify that the Switch mailboxes and preserve offline folder (OST) files check box is selected and modify other properties of the collection to suit your needs. Click OK, and the Remote Users Collection will be created. 15
