Referral and Registration Process www.gru.edu/conservatory The GRU Conservatory Program offers Private Instruction in all the standard performance areas, including: Piano & Organ Voice Strings (violin, viola, violoncello, double bass, guitar, mandolin, banjo) Woodwinds (flute, oboe, clarinet, bassoon, saxophone, recorder) Brass (trumpet, horn, trombone, euphonium, tuba) Other selective instruments may be available upon request If you are interested in taking private lessons with our Conservatory faculty, please contact the Director, Tayler Norwood at tkitlan@gru.edu, consprog@gru.edu, or call (706)731-7971 for a referral Referral Process Call or email the Conservatory Director Know what instrument, the age and level of the student, and what you what to acheive in mind when you contact for a referral Contact the Instructor The Director will provide you with contact information to touch base with the instructor paired with you Call and discuss what you would like to acheive and arrange a lesson time that will work for both you and the teacher on a regular, weekly basis. Procedure Details Registrations and Tuition Tuition is due in full before the beginning of all classes, ensembles, and camps with the Music Conservatory Program. All private lesson students are required to make a deposit on their lessons, if not paying tuition in full up front. This deposit is due the first day of the semester for more information on private lessons payments, see the Private Lesson Tuition section. Failure to provide the down payment will cause a delay in receiving lessons which will not be made-up. If at any point the student fails to make previously agreed upon and arranged payments, the student s account will be charged a late fee of $25.00. The $25.00 late fee will not apply until after the student had registered and made the first payment. If the balance on the account is not paid one week after the due date, the instructor will be notified to discontinue lessons effective immediately, until the student has made the payment including the added late fee. Any lessons missed during the time the student is discontinued from lessons, until the payment is made, will not be entitled to make-up lessons. If at any point, personal matters affect your ability to make a payment, contact the Director immediately. For cancellation procedures please refer to the Cancellation section below. Please visit the Appendix section on how to register. Registration Semesters Semesters will coincide with the University calendar as well as the local school district calendars. Please note that in the case of severe weather and campus closings at GRU, lessons are subject to cancellation. Any lessons missed due to campus closing will be allotted a make-up at no fault to the student or the instructor. All private lesson semester schedules are based on 18-20 calendar week periods. Students during these 18-20 weeks are guaranteed a certain number of lessons which accommodate for campus and school holiday/closing, as well as personal schedule flexibility between the instructors and students. Extra weeks are built in between semesters to accommodate for lesson make-ups. Summer Semester 2015 Students choose the right number of lessons for them based on the student and instructor s summer schedules. Fall Semester 2015 (14 lessons) Begins: August 2015 Ends: December 18, 2015 Spring Semester 2016 (14 lessons) Begins: January 4, 2015 Ends: May 20, 2015 Midterm Registration If you wish to register after the first month of the semester has come to a close, the option to register at the Midterm will be available. For the fall semester, the midterm will be October 5-16 th. Midterm additions will not be made after October 16 th, 2015 for the fall. For the spring semester, the midterm will be March 21-April 1, 2016. MUSIC CONSERVATORY PROGRAM PRIVATE LESSON HANDBOOK EFFECTIVE AUGUST 2015 4

Midterm additions will not be made after April 1 st, 2016. When registering at the midterm, the student will be registered for 7 lessons instead of the full semester 14. Rates at the midterm are half of the semester rate. If students registering at the midterm cannot pay tuition in full, the payment will be broken into two halves. The first payment will be due at the time of registration and the remaining balance will be due December 1 st, or May 1 st respective to the semester. Registration Confirmations When registering for lessons you will either receive you receipt confirming your registration either in person, or via email. In some cases you may receive it by mail. You will be required to bring a copy of this confirmation page to your first lesson of the semester. Your private lesson instructor will not conduct lessons until the student has proven registration. Private Lesson Schedules When scheduling private lessons with instructors, your lessons need to be scheduled as a regular, weekly commitment. You are expected once you make a commitment to a day and time, to stick with that date and time. Instructors cannot guarantee that they will be available when you wish to reschedule a lesson. Cancellation Semester Registration If the student wishes to cancel their registration, the Director and Instructor need to be notified immediately. Failure for the student to notify the Music Conservatory Director will cause cancellation and late fees to accumulate on the account. It is not the responsibility of the private lesson instructor to notify the Director of a student s drop from registration. Private Lessons Lessons should be cancelled by the student with at least 24 hours notice. Failure to notify the instructor within 24 hours, or not showing up for a lesson, will result in a loss of that lesson without the option for a make-up or refund. All scheduling changes to the agreed upon private lesson schedule, must be coordinated between the student and the private lesson instructor. The Music Conservatory Director, and Professional and Community Education Office staff will not be responsible for communicating private lesson schedule changes with your instructor. Private Lesson Make-Ups Lessons wishing to be made up need to be verified and approved by the private lesson instructor. Lessons that do not qualify for a make-up include cancellations and no shows made in less than 24 hours to the instructor. It is between the student and the instructor as to how the lessons are made up. The instructor may add on a few minutes to following lessons to make up the time, or schedule an additional lesson during the semester. Any questions about make-up lessons should be directed to the private lesson instructor. It is not the responsibility of the Conservatory Director to oversee lesson make-ups. Payments Private Lesson Tuition Private lesson tuition is broken up into two payment options. All semester balances must be paid in full before the 1 st day of the final month in the semester to avoid late fees. Up-Front Students wishing to pay for their private lessons up-front will owe their balance in its entirety before the first lesson of the semester. Once student s make their tuition payment in full, no further payments to the Conservatory Program will be necessary until the start of the following semester. Bi-Monthly Students may choose to pay their semester balance every other month with due dates at the beginning of August, October, and December for the fall semester; and January, March, and May for the Spring Semester. The payment amounts due each month are specified in the Tuition layout section in the following paragraphs. The final payment must be paid by the first day of the last month in the semester to avoid additional late-fee charges. Additional Lessons Students reaching the guaranteed number of lessons prior to the end of the semester are encouraged to continue private lessons where additional lessons are available to be purchased and added on to the current semester once the guaranteed number of lessons have been reached and confirmed by the private lesson instructor. Private Lesson Semester Tuition Rates Private lesson tuition is broken up into two payment options. For details on the procedures related to these options, see Private Lesson Tuition above. If not paying in full, you will automatically be placed on the payment plan below with three payments due through the semester, the first at the time of registration. Appendix Ways to Register There are 3 ways to register and pay for lessons. Online By Phone Please visit www.gru.edu/conservatory On the left menu panel, please choose Register for Classes o At this point your computer will try to connect to the GRU server and you will receive an internet safety alert. Please select proceed anyway to aceweb.aug.edu to continue connecting to the GRU server. Find and select the course group Music Conservatory Click on the course named Music Conservatory Lessons Choose Enroll Yourself OR Enroll Someone Else o You will be prompted to Log On, or Create an Account. Please create an account if you have not already done so. The Enrollment page will now prompt you to choose your instructor and the lesson length you have agreed on with the instructor. This page will also list the Total Fees Due for the semester. Please choose the desired selection At this point in the registration process you may save and add additional courses (enroll multiple students or a student in multiple classes), Cancel, or Proceed to Checkout. Once selecting proceed to checkout you will see a summary page of your registration. From here there are two options. o If you are wanting to pay in full, please choose SUBMIT under pay by credit card, use our on-line payment service. From there you will continue with your online payment and your account will be free of balance until the next term. o If you are wanting to utilize a payment plan, please choose BILL After choosing this selection, the Music Conservatory Director will be notified of your registration and you will then be contacted to setup your payment schedule whether it by bi-monthly or monthly. Congratulations at this point once you have received a confirmation email, your registration has been fulfilled! Please call the Music Conservatory Office at (706)731-7971 or the PaCE office at (706)721-2329 When calling be sure to know/have the following information on hand: o The student s name o The instructor the student will be receiving lessons from o The lesson length agreed upon by you and the instructor o Payment information By Mail Please visit www.gru.edu/conservatory and on the left menu panel, choose Private Lessons At the very bottom of the webpage you will find a registration form which you may print out for completion and mail along with payment to the Music Conservatory office at the following address: Music Conservatory Program 1120 15 th Street, Augusta, GA 30912 Once the student is initially registered, the registration form does not need to be completed when sending additional payments. Conservatory Online Registration Account If you have never utilized our online registration system before, please create a new account You will be prompted for the following information. Please choose an email address you regularly utilize as very important information will regularly be sent here. Also use a password you ll remember, or write it down where you can access it later. You will need this information to routinely check and pay your balances on your account. Your email is also how you will receive payment and registrations confirmations. If you have registered in the past, please first try the password recovery option online before creating a new account. If you have utilized the system previously and create additional accounts, your information will be entered multiple times in the system which causes confusion when invoicing and registering students. You can monitor settings on your account and view your past and current registrations along with payments by choosing My Account. From here you can change interest areas you may receive notifications from, the notifications you receive, change your password, and view your registration history. Private Lesson Registration Form The registration form only needs to be completed if the student is new to the Conservatory Program. New registration forms are not necessary when sending in tuitions payments, instead please return the payment voucher along with mailed in payments. New registration forms are not necessary if the student is continuing study from a previous semester or registration unless the student s contact information has changed. All private lesson schedule changes are to go through the instructor, not the Director or the PaCE office staff.
