View and Enter Hours The majority of your projects, called tasks in Timesheet Professional, have already been set up for you. Because the names of the projects are very long, your view has been changed such that only the project name shows up on the left-hand side. If a project name appears more than once, it is because Projects can have different Job Codes and/or Activities. If your current view does not SHOW the entire task description (EX: project name, revision and activity code) you can extend (widen) the task column by placing your cursor on the line between the white and gray cells, holing down the left clicker on your mouse and then dragging the line to the right. To shorten the width, use the same operation, but inversely. To enter time against a task, simply type the number of hours in the cell for that day & task. If you make a mistake and wish to change the number of hours, simply type the new number in the cell. If you wish to delete the hours, type the number zero and click off the cell. Page 1 of 6
Submit hours entered BATCH SUBMITTING PERIOD HOURS: THE BATCH method ONLY works once during each period cycle. Use this BATCH submitting procedure at the end of the pay cycle to submit all hours ENTERED during the period. 1. Enter in time worked for the semi-monthly pay period. (example: April 16 th April 30 th ) 2. Using your mouse, click on ENTRY. Scroll down to PAY PERIOD INFO Page 2 of 6
The Pay Calculations Results window is returned. a. Click on the UNSUBMITTED Category so it is highlighted in BLUE (circled below). b. Click on the APPROVAL option Button (circled below). 3. The Update Entry Status Window is returned (as seen below) 4. Using your mouse, click on the Employee Submit down box. a. Scroll down and select SUBMITTED (circled above). b. Click on the OK task button (circled above). CONGRATULATIONS YOU HAVE SUCCESSFULLY ENTERED AND SUBMITTED YOUR HOURS IN TIMESHEETS PROFESSIONAL AND THE HOURS ENTERED SHOULD NOW HAVE CHANGED COLORS FROM BLACK TO BLUE. BLACK = STATUS OF HOURS IS ENTERED BLUE = STATUS OF HOURS IS SUBMITTED Note: Hours can be submitted for a single or group of entries by highlighting them on the timesheet and selecting Update Status from the Entry menu. How to Add a New Project to Your Timesheet Most of your projects, called Tasks in Timesheet Professional, have been added for you. However, as Pathfinder wins new projects, you will need to add them to your timesheet if appropriate. Click Task \ Add Task from the menu. The Add Task dialog box will appear. It is necessary to have a selection at each level of the project structure. By default, employee is the top of the structure and you will see your name. For each of the other levels, click on the bar that says <No Selection>, and the choices will pop up in a new dialog box. It is possible to see the selections by Name or by Abbreviation. It will be easier to select your projects by Name. Make your selection, and then click OK. Repeat the process at each level for Country Code, Project Code, etc. Note that if a project only has one option underneath it for Revision Code and Activity Code, these will automatically fill in by default. Click the OK button on the selection dialog box and then when you are done with all your selections, click the OK button on the Add Task dialog box. Page 4 of 6
How to turn off spell check Some users have reported that the spell check for notes takes too long over a dial-up connection. To turn off this feature, follow the instructions below. Select Setup \ Operational Preferences. o Click on the Spell Check Options button. o De-select the check box Check spelling when clicking OK in Notes dialog box. o Click OK. The change should take effect immediately. How to print your timesheet Click on FILE o Scroll down and click on PRINT Page 5 of 6
How to select your printing parameters Employee name defaults to your user name o If user name is not yourself, click on bar and select yourself. Enter in the START and END DATE range for the hours being printed Checking the ONLY TASKS WITH DATA box prints only tasks that have hours entered for the period selected. Printing can be output to four format destinations; Printer, FILE, Spreadsheet, HTML. Page 6 of 6
