2013 South Georgia Registration and Show Information Purpose of Exposition The purpose of the show is to showcase the products and services of our participating vendors. Our show sets itself apart, as we are the largest trade show of this kind in the South Georgia region. We offer the largest number of vendors in all aspects of the home, hobby and outdoors under one roof for one fabulous weekend. Booth Size and Prices Booths are 10 wide x 10 wide and 8 wide x 8 wide. There are booths outside on the covered area as well. Please see floor plan. The following is the cost structure: HBA Non- Members: Members: 10 x 10 $400.00 $500.00 (1st Booth) 8 x 8 $300.00 $350.00 (Limited Amount) Table Top SPECIAL PRICING Table Top Only: $125.00 Table Top, Pipes & Drapes: $200.00* *Alternative booth setups as well as outside displays are available. Please call for additional information & pricing at (229) 247-8422.* Registration Each booth is allowed up to four representatives included in booth cost. All booth representatives must be registered and wear a name badge in the booth. There will be a $5.00 charge for each additional Exhibitor badge above the four badges provided. The badge is good throughout the show. Assignment of Space Each application must be accompanied by a deposit check. HBASG will strive to locate by Exhibitor s preference, and to provide distance from the direct competition. However, HBASG reserves the right to make changes in the floor plan and assignment at its discretion in order to best serve the interests of the Show and its collective Exhibitors. Subletting or Sharing Space To ensure proper presentation and operation of the Show, Exhibitors must contract individually to exhibit. Subletting or sharing of space is strictly prohibited, unless approved by HBASG. Failure to abide may result in termination of contract and ejection from the Show. Shipping Information & Conference Center Rules The James H. Rainwater Conference Center will not accept shipments prior to the Show! (NO SMOKING ALLOWED anywhere inside the building, on the outdoor patio, or near any building entrance. Smoking is allowed on the outside dock area near the parking lot.) Booth Furnishings Each booth includes piping and drapes for 10 back or 8 back and 3 sidewalls, 1 table with skirting, 2 chairs and 1 trash can are available if requested (please see your utility order). Utility order forms MUST be submitted & booth furnishings clearly marked to ensure proper booth setup. Installation The James H. Rainwater Conference Center has a loading dock. Dollies will be available at an additional charge for those who need it for set-up. Installation and set-up will begin at 8:00 a.m. until 5:00 p.m. on Friday, March 22nd. These hours will be strictly enforced. All exhibitors must have booths ready before 5:00 p.m. Booth/Display Stipulations The James H. Rainwater Conference Center imposes special stipulations for those vendors needing to use Propane Gas Tanks or Cylinders at their booth/display. Please contact HBASG to find out what stipulations will apply to your usage. NO VENDOR will be allowed usage without prior approval from HBASG! DEADLINE FULL PAYMENT DUE BY February 28, 2013 If payment is not received by this date, your booth selection cannot be secured. INSTALLATION & SET UP Friday, March 22nd, 8:00 a.m. 5:00 p.m. BREAKDOWN & REMOVAL Sunday, March 24th, 4:01 p.m. 6:00 p.m.

Dismantling/Removal NO DISPLAY MAY BE DISMANTLED OR PACKED PRIOR TO 4:01 P.M. SUNDAY, March 24, 2013 To do so voids any opportunity to exhibit in any HBASG shows for one calendar year. All exhibit materials must be removed Sunday, March 24th, between 4:01 p.m. and 6:00 p.m. It is the exhibitor s responsibility to pack and remove or consign for shipment of all items prior to leaving your booth(s) unattended. If a display cannot be removed prior to 6:00 p.m. on Sunday, March 24th, arrangements must be made directly with the conference center. HBASG and the conference center will not be responsible for any items left unattended. The exhibitor may be charged additional fees for removal of any display items that had to be removed. During move-out, no vehicles will be allowed at the back loading gate until your booth is completely disassembled and ready to be loaded. Space Limitations All booths must be confined to assigned space, and will not encumber the visibility of adjoining booths. HBASG reserves the right to remove any exhibit not conforming to all federal, state, local and Rainwater Conference Center s requirements and laws. Advertising HBASG provides the necessary advertising to promote the show as a whole. However, you have the option to promote your business individually throughout the show s exclusive media outlets. If you are interested in doing so, please contact the HBASG Office, Davy Shelton with The Valdosta Daily Times, Craig Pennington or Kells Faulkner with Rivers Radio, Eric Staley with WALB Valdosta or WALB Valdosta. These will be the primary media sources for the 2013 Show. (Additional contact & pricing information can be obtained from the HBASG Office (229) 247-8422 should you not find it in this brochure) Booth Staffing Only registered Exhibitors are allowed to work booths. Booths must be staffed during all show hours. You are not allowed to roam the aisles and hand out business cards, etc. You are absolutely not allowed to go into the aisles and recruit people from someone else s booth to come into yours. Food and Beverages No products may be given away or sold in booths that are available through the Conference Center s Concession Area. Any vendor that is wanting to give away or use any type of food or beverage must receive prior approval by the Home Builders Association. No exceptions! If you continue without approval a fine will be imposed on the vendor. Door Prizes Exhibitors may provide door prizes. Any signage must be professionally printed and any prizes must maintain the professional nature of the Show. Door prize winners must be drawn prior to the end of the Show, Sunday, March 24, 2013 at 4:00 p.m. Failure to comply with above stipulations will result in non-acceptance to future shows. Payments/Cancellations A deposit in the amount of $200.00 per booth or $75.00 per Tabletop is required with completed applications. Balance is due by February 28, 2013. Refund requests will be considered by the HBASG and absolutely no refunds will be made after February 28, 2013. Reach your potential customers in Valdosta and all of South Georgia using the power of television, WALB-TV, and WALB.com. WALB-TV Reaches OVER 400,000 households in South Georgia. Is the number one source for South Georgia news, weather and sports. Will work with each advertiser to customize an advertising plan that will meet your marketing goals and fit your budget. Advertising opportunities include spots that will run during the month of February. Package will include commercials that will air on WALB-TV, WALB- Thomasville, WALB-Valdosta and 24/7 Weather Channel. You will receive 158 :30 commercials for a total cost of $800. Application to Exhibit It is understood that the parties, as shown by their signature below, are to comply with the following conditions and pay schedule: 1. The undersigned Exhibitor does hereby apply for the booth(s) at the James H. Rainwater Conference Center in accordance with their terms and conditions of the application and show brochure. The exhibitor also agrees with the solicitation of material by the Home Builders Association of South Georgia (HBASG) and all other published rules and regulations concerning use and occupancy of such booth(s). The terms and conditions of all such printed matter are incorporated by specific reference and are made a part of this application by which the exhibitor agrees to abide. HBASG reserves the right to refuse any application. 2. This Application shall not become binding upon HBASG until HBASG has received payment in full for said booth(s). 3. Water and electricity, which the Exhibitor might desire for said booth(s) are the direct responsibility of the Exhibitor upon arrangement with the HBASG. HBASG will coordinate these needs with the Conference Center. 4. Carpeting, tables, chairs, and other amenities, which the Exhibitors might desire for said booth(s) are the direct responsibility of the Exhibitor upon arrangements with the HBASG office. HBASG will coordinate these needs with the Conference Center. 5. Each Exhibitor is free to arrange their exhibit as they desire, as long as they do not extend beyond the allotted space (this includes carpet). Exhibitors will not be permitted to use loud speakers or other mechanical devices in a manner that might disturb others, unless it has been approved by HBASG. 6. HBASG shall not be responsible for loss by fire, theft, or damage to materials, merchandise, or equipment. 7. Set-up must be between the hours of 8:00 a.m. and 5:00 p.m. on Friday, March 22, 2013. Exhibitors should have all displays in place and completed no later than 5:00 on Friday, March 22, 2013 due to exhibitor judging. 8. Move Out will NOT be permitted to begin until Sunday, March 24, 2013 at 4:01 p.m. The scheduled Move Out Hours are 4:01 p.m.- 6:00 p.m. and will be Strictly Enforced! Vendors will NOT be permitted to leave any remaining items for pick up on Monday, No exceptions! 9. Show Hours: 9:00 a.m. to 5:00 p.m. on Saturday, March 23rd and 11:00 a.m. to 4:00 p.m. on Sunday, March 24th 10. Total number of booth(s) requested. Interested in membership information? Yes No 11. Upon acceptance by HBASG, this application becomes a contract under the laws of the State of Georgia, enforceable by its terms. 13. Exhibitor does hereby release and hold HBASG harmless from any and all action, claims, and demands for, upon or by reason of any damage, loss or injury to person or property suffered or incurred by Exhibitor, its agents and guests, in consequence of Exhibitor s participation in the 2013 Home, Hobby & Outdoors Show. Again, exhibitors are liable for all damages incurred. Please make necessary arrangements for any special provisions in your exhibit area! A deposit of $200.00 per booth/$75 per table top must accompany application with balance due no later than February 28, 2013. Absolutely NO REFUNDS will be made after February 28, 2013. Registration and Show Information Restrictions and Security Security is provided by HBASG to provide normal protection against loss, although the Home, Hobby & Outdoors Show officials assume no responsibility of lost or stolen items. Exhibitors are urged to take the necessary measures to prevent such temptations. No distribution of promotional materials outside of booth space will be permitted. All Exhibitors are responsible for collecting any appropriate taxes on products sold. Any restrictions for use of purchase must be printed and visible for public view. Liability Insurance HBASG, its agents, and the James H. Rainwater Conference Center will not assume any responsibility for the safety of the property of Exhibitors from theft, damage by fire, accidents, acts of God, or other causes. Exhibitors are encouraged to ensure any products presented at their own expense. The James H. Rainwater Conference Center The James H. Rainwater Conference Center is a wellmaintained building, operating under strict codes and regulations. Its policies and regulations must be adhered to. NO SMOKING ALLOWED. Show Tabloid, Radio & Television Advertising HBASG will print and distribute an official tabloid of the South Georgia Home, Hobby & Outdoors Show. The Best Visual Design and Best of Show awards are judged and chosen by the attendee s (the public) on Saturday, March 23, 2013. The Rookie of the Year is judged and chosen by the show committee. These awards will then be announced and presented at the end of the show on Saturday or at the beginning of the show on Sunday.
