Add and organise PDF files in your Endnote Library Contents Import PDF files to create new references Import a folder of PDF files to create new references Organise folders of PDFs into Groups during PDF import Automatically rename PDFs during PDF import Automatically import PDFs from a selected folder Import PDF File to Create New References This feature allows you to convert a collection of PDFs into EndNote references using the Digital Object Identifier (DOI). Please note: Documents must have been created as a PDFs and contain a Digital Object Identifier (DOI) number for this feature to work. This function will not work with scanned PDF documents. Documents without DOI will display as an attachment and you will need to add the correct citation details manually. 1. From the toolbar select File menu, select Import then select File to open the import file option. 1
2. Click on Choose button to open the file you want to import from your computer or external drive. 3. Select following options: c. Text Translation: No Translation The new reference will be appearing on your library under imported references. Import PDF Folder to Create New References 1. From the toolbar select File menu, select Import then select Folder to open the import folder option 2. Click on Choose button to open the folder that contains the PDF documents 3. Click on Include files in subfolders 4. Select following options: 2
Click on Import to import the articles. The new references will be appearing on your library under imported references. Organise folders of PDFs into separate group during PDF import 1. From the toolbar select File menu, select Import then select Folder to open the Import Folder option 2. Click on Choose to open the folder that contains the PDF documents 3. Tick Include files in subfolders 4. Tick Create a Group Set for this import 5. Select following options: 3
6. Click on Import then it will create a group set with the imported folder name and groups within that group set based on subfolders of the imported folder. Automatically rename PDFs during PDF import PDF Handling Preferences allow you to define the automatic renaming process of PDF documents that you want to import to an EndNote library. 1. From the toolbar select Edit > Preferences 2. Select the PDF handling option 3. Select how you would like to rename your PDFs from Auto Renaming Option that you import into your library. The custom option allows you to create a personalized method of renaming PDF documents when they are imported into a library. 4. Click on Apply and click OK once you have finished selecting your options. PDFs imported will now follow the new naming rules. Automatically import PDFs from a selected folder 1. From the toolbar select Edit > Preferences 2. Select the PDF handling option 3. Tick on Enable automatic importing 4. Click on Select Folder and select the folder you wish to be monitored by EndNote for new PDFs. 5. Click on Apply and then click OK 4
EndNote will regularly scan this folder and import new PDFs that are found in it. When you open EndNote, the new PDFs in the selected folder are automatically imported to the library. What will be imported: If there is no existing record for the article in your Endnote Library and the PDF has a DOI in the metadata the citation details will also be included when the PDF is imported. If the citation already exists in the Endnote Library and the PDF has a DOI in the metadata then it will be attached to the existing record instead of creating new record. If the PDF does not have a DOI in the metadata then it will not be linked to existing records or include citation details in the record. You will need to add these manually or manually attach the PDF to an existing citation in your Endnote library.
