Important XPLAN Client Visibility change Client Visibility within XPLAN is now driven by adviser role types, which will over-ride the group membership of the client. You are able to view adviser role types from the Service > Client Service screen. Any XPLAN user that is listed in this section will be able to view the client file regardless of the user group the client or XPLAN user are members of. This change will have implications when clients leave a practice or users leave a practice. All adviser role types must be updated to ensure privacy is not breached and visibility settings are correct. 1. What s new in 2.12? 1.1 Outlook Plugin * Recommended for Microsoft Outlook 2010 and above. Outlook plugin is used to quickly and easily save a copy of email correspondence in XPLAN as a File Note in Xplan. This feature can be download from [XPLAN] > Administration Functions > Outlook Plugin. Features of Outlook Plugin: The Note Subject in XPLAN is pre-filled with the email Subject A unique reference for the source email is stored. If the user runs the plugin on a later email in the email chain, such as a reply from a client, XPLAN will add the content of this email to the existing note You can select to Auto-run Plugin to automatically display a pop-up when the user sends, forwards or replies to an email. The user can simply select Cancel for emails they do not want to save to XPLAN Email attachments are saved as attachments to the Note in XPLAN Page 5

1.3 Dashboard New System Datafeed widgets can now be selected: Unmapped Accounts Unmapped Clients Out of Balance Accounts Clients with COA with Out of Balance Accounts. Leads widgets - monitor the effectiveness of Lead generation via campaigns, referrers other lead sources. Also provide for tracking the Status of Leads in various stages of the pipeline. Leads by Lead Source Leads by Campaign Lead Conversion by Leads by Generation Method Leads by Referrer Open Leads Pipeline by Stage 1.4 Portfolio 1.4.1 Portfolio Compare This function allows you to easily compare Portfolios, Portfolio Accounts, Target Sets or Model Trees, in any combination. Click PDF to generate a report of the comparison. You can access Portfolio Compare from [XPLAN] > Portfolio Functions > Portfolio Compare or by clicking Compare on a client's Portfolio > Position page. Page 7
1.4.2 Portfolio Analytics A new Analytics tab has been added to the Asset Allocation page and the Analysis panel in the Portfolio > Position, Model > Model and Model > Recommend pages New Portfolio reports have been added for all of these new analytical tools Portfolio Historical Performance plots the cumulative return percentage for the client's Portfolio for the selected time frame, and displays a table of key Portfolio statistics. Security Risk & Return displays risk and return statistics for the funds in the client's Portfolio. Page 8
Security Discrete Performance displays the performance of each security in the client's Portfolio over the month end or calendar year period. 1.5 Xtools+ 1.5.1 Locking Scenarios XTOOLS+ scenarios can now be locked, allowing you to refer back to a scenario in a future year and view the scenario and results as at the time it was locked, preventing any further changes When the scenario is opened, or content is Xmerged from the scenario, the same results and charts will always display even in subsequent legislative periods. 1.5.2 Unlocking Locked Scenarios Locked scenarios can only be unlocked by users with the capability to do so. Unlocking a scenario can cause significant changes to the results. Page 9
1.5.3 XTOOLS+ Import The Import Wizard has been extended to map additional data from: Client Focus to XTOOLS+. Assets (Client Focus) to Assets Retirement Income (Client Focus) to Pensions Additional fields from Liabilities Element Cashflows with ended dates are ignored Assets with Non-active status ignored There is also now only one import button to select. 1.6 Xtools Lifestyle Goals Net Assets (Interactive) chart now displays the calculated minimum lumpsum insurance required to meet expenses up to the end of the projection age. This value displays next to the Lumpsum Insured Benefit field on the Insurance tab. When modelling death, the projection age is the life expectancy of the surviving spouse. Page 10
1.7 XPLANtouch 1.7.1 Mindmap In addition to adding new financial details through Mindmap, you can now edit and delete existing data. The standard data modes will display details in a slide out panel, consistent with the Fact Find Questionnaire Wizard. 1.7.2 Push Notifications (Apple Ipad Only) Push notifications are a great way to keep you up to date with important news and prompt you to action. XPLANtouch in XPLAN 2.12 can push any new task notification to an adviser on their Ipad where it is displayed in their Ipad notification centre. 1.7.3 XPLANtouch Additional New Features Accounts and Holdings list view - both grid and list view Portfolio Research - can now be accessed by advisers in the Research widget Notes can now be sorted by Document Type Page 11
Internal News Article styling updates - The look and feel for news articles published from document Notes has been updated. It now adopts the Notes styling for a more consistent experience 1.8 Morningstar recommendations XPLAN now supports separate Research House providers for managed funds and equities. If you have access to a Morningstar license within XPLAN, you will now be able to view the rating of each security within the Recommendation column within IPS. Licenses are allocated via the CIO and accreditation must be completed prior to accessing a Morningstar license. Page 12

2. What s Changed in 2.12? 2.1 Chat You can now view your Chat history with another user 2.2 User and Client Dashboard Client Birthday widget can now be filtered to only display birthday dates for Today 2.3 Imap IMAP Write-only mode now displays the folders for each entity, but not the notes/emails within each folder. 2.4 Document Notes When selecting to Remove & Create for purging a partner and creating them as a new client, all client Notes will now duplicate into the newly created partner record. Please note, the partner is added as a related entity in the notes so the note is still connected to the client. If a note is deleted from either profiles, then it will be deleted for both client and partner. 2.5 Email When sending an email, Override from Address now lists all Adviser Role Types as options. 2.6 Management Reports The Client Review List management report has a new option to Exclude Projected Reviews 2.7 Client Focus Time Taken - You can now pause the existing ticker to start a new one The Logout button no longer logs a user out of XPLAN while they have any unsaved Time tickers Mindmap - You can now view and add General Insurance and Medical Insurance Assets and Liabilities can now have non XPLAN entities as Owners Assets can now be linked to a Portfolio position The client Summary now shows the client's Date of Birth and Address details The Status of new Liabilities now defaults to Current Australian Drivers Licences stored for AML now have a field for recording the Date of Issue. 2.8 Employment You can now record multiple active forms of employment. The new XPLAN employment field displays all current and historic employment entries, and replaces the Current Employment and Employment History Group fields. This new employment group field has replaced the old RI Advice Description field where a client s employment detail was previously entered. However you will still be able to view anything that was previously entered into the XPLAN employment Description field. Going forward, all details will need to be entered into the new employment field option to integrate with Risk Researcher. However coded templates and advice documents will still merge out any details in the employment Job Title field. Instructions are provided in all wizards in XPLAN. If you still wanted to access data within the Description field, make sure you select employment as Other in the Occupation (Standard) field, and the Description field will then become visible. 2.9 Linking Employment to Income You can now also link Employment to income 2.10 Beneficiary details in Existing Super This section has been enhanced to incorporate more information on the status and types of nominations made Note: You can only add a beneficiary that has a profile in XPLAN. There is an enhancement request to have a free form text box added in this section. 2.11 Invoicing and Payments Invoices are now transferred when merging clients (including link to Commpay) You can now record multiple sets of options for NAB Transact billing Payments have a new Allow Auto Allocation for Existing Invoices option Payments can now be mass imported via CSV Page 17
2.12 Searching You can now view a short list of results when typing into Quick Search taking you direct to the profile. This can be used when searching: - Clients - User Groups - Professional Advisers - Referrers, Suppliers - Document Notes - Insurance - Policies The Loan Search function has been re-designed to improve visual presentation and usability Viewing a list of results in Loan Search you can now launch a Client Xport report New Quick Search prefix options been added for Client Portfolio Accounts a list of these can be found on the XPLAN Help menu 2.13 New 'In Range' search for Strings In Range search options have been added in Advanced Search. This operation searches for all matches in a sequence between two values Page 18
For example, this could be used on the [Address] Postcode field to find all addresses within a postcode range - In Range searching between 2000 and 2234 2.14 Tasks You can now add a Checklist to a Task on the Comments tab The Checklist can be added to ad hoc Tasks, recurring Tasks, Thread Tasks and Task Templates When in the comments tab, select Yes to Checklist and Add to checklist and you can add the items onto your checklist. 2.15 Threads Assets can now be linked to an existing Thread. 2.16 Portfolio There have been a number of portfolio changes such as: Security Search has been re-designed - The filters, search results, security selection and security comparison all now display in separate panels within the Security Selection page From the Security Comparison panel you can click Compare You can now override the name of a holding in the Recommend page by clicking Edit Transactions and using the Name Override field. If a recommended product is implemented, then the overridden name will also be displayed in the Position page. Performance on pages that allow searching of or filtering by Portfolio Group has been improved Page 19
2.17 Risk Researcher Risk Researcher now offers: Revised Action functionality within Premium Modelling Qualitative Analysis Package Type Filter. You can narrow down your product comparison to one or more of the package types: Ordinary, Super-Owned, Industry Fund, Direct, Investment Platform and Super Platform. Premium Modelling - ability to price model the inclusion of AIA Vitality, a wellness program that rewards clients when they make changes to their health choices Global and User Group Report Logos - reports now support logos set globally and against User Groups. The global report logo will apply to all reports if a user's Primary User Group does not have a logo set and they have not set a logo in their User Preferences > General > Logo. A User Group logo takes precedence over the global logo, and a logo set in User Preferences will override all logos. Page 20
Premium Modelling Inside/Outside Superannuation Premium Disclosure Increase/Decrease Recommendations The process of recommending increases or decreases to existing insurance cover has been improved with a more intuitive screen flow. Flagging an existing policy for increase or decrease will display a popup to enter the changes to cover value and premium. These values are then added to the Policy Recommendations for the scenario You can now set your default Commission Frequency Adviser Default Settings You now have the option in Adviser Defaults to select the Commission Frequency for Quotation details and the Package Type in Compare Features Ratings. 2.18 Xtools+ There are a number of Income Tax Calculation enhancements in Xtools+ such as: All taxation offsets and levies for a scenario are now set on a new Tax Details page Tax Details also contains a new option Tax Withheld - Earned Income Taxation results now display in greater detail, allow you to see a breakdown of taxes, deductions and offsets. XTOOLS+ now assumes that the individual's income began at the start of the financial year Year to Date Employment Income Termination Payments July 1 Aged Care changes Aged care calculations have been updated to support the new Aged Care income assessments for 1 July 2014. 3. Using New Features 3.1 Outlook Plugin XPLAN offers an Outlook plugin that allows you to quickly and easily save a copy of email correspondence in the XPLAN Document Library as a Note. In Outlook you select an email then activate the plugin. A pop-up displays where you set the details for the Note to be created, including the related clients, visibility settings and Note Type and Subtype. The Note Subject is pre-filled with the email Subject, while the content of the email is saved as the Note contents. When the Note is saved, a unique reference for the source email is stored. This allows XPLAN to track subsequent correspondence in the email thread. If the plugin is run on a later email in the thread, such as a reply from a client, XPLAN will add the content of this email to the existing Note. This allows a single Note to hold the entire contents of an email conversation between multiple parties. Note: Outlook Plugin can be used for your clients that have their Entity Status set as Client. If a client is set as Prospect, Archived, etc, then Outlook Plugin cannot be used. 3.1.1 Auto-run Plugin The Outlook plugin can be set to automatically display the pop-up when you send, forward or reply to an email. You can select Cancel for emails that you do not want to save to XPLAN. 3.1.2 Attachments Email attachments are saved as attachments to the Note. Page 22
3.1.3 User requirements The Outlook plugin requires Windows Microsoft Outlook 2010 and above. 3.1.4 To install the Outlook plugin 1. Click [XPLAN], then choose Administration Functions > Outlook Plugin. 2. Click Install Outlook Plugin. You will be prompted to download and save the plugin file. 3. Run the downloaded file and install the plugin. 4. If Outlook was open while you installed the plugin you must restart Outlook. 5. In the Outlook ribbon select Settings > XPLAN Settings. 6. Enter your XPLAN Site details. Note: Please ensure that you enter the full URL of your XPLAN site https://riadvice.xplan.iress.com.au in the Site URL field. 7. In Document Settings you can set the default Note Type and Subtype and visibility Permission of created Notes. 8. Select if the plugin should automatically ask to file every time you send, forward or reply to an email. 9. Click Ok. 3.1.5 To upload an Outlook email to the Document Library In Outlook: 1. Right click on the email, then select File to XPLAN. The Select Clients To File Email Against dialog box displays. Note: When using Windows Microsoft Outlook 2013, there is a slight difference in how you activate Outlook Plugin whereby instead of selecting this from the main inbox, you will need to open the email and then select to move the email to XPLAN using Outlook Plugin. 2. Select the clients that the Note will be linked to. 3. In the Document Settings section set the Note Type and Subtype, and the access Permissions. 4. Click Ok. 3.2 Dashboard Adding new Widgets The widgets that are shown on your home page are customisable to each user. There are a number of options for you to select from which display different data from within Xplan. Adding new widgets To add a new widget onto your home page, click the arrow on the Main tab and select Add Widget. The Add New Widget box will then be displayed. From the drop down box, select the widget that you want to apply to your home screen, and select OK. Page 24
Depending on what widget you have selected, an Edit Widget Setting box may then display. Each Edit Widget Setting box will be different depending on which widget is selected. Enter in the relevant details and select OK Page 25
Your new widget will now be displayed on your home screen. To make a change to your widget, select the on the widget you are wanting to change In here, you have the ability to: Page 26
Edit Settings you have already set Delete the widget Minimise the widget You can also arrange the order of widgets shown by clicking on the widget s heading bar, and dragging and dropping in the preferred order. 3.3 Quick Search Prefix Options When searching for Clients, by default the entered search term is used to search for clients by name. You can use the following prefixes to search using other client details: You just need to enter the prefix into the search box followed by what you are looking for. 3.4 In Range Search for Strings When adding advanced Search criteria, a new In Range operation is available for String fields. This operation searches for all matches in a sequence between two values (inclusive of the entered values). Page 27
In Range can be used on the [Address] Postcode field to find all addresses within a postcode range. For example, In Range searching between 2000 and 2234 would return all postcodes within metropolitan Sydney. To create your own advanced search, from the Advanced drop down and select Advanced Search to add your own search criteria. Alternatively, if you are in your client list, on the left hand menu under Search, select Criteria and this will take you to create your own advanced search. The screen will appear as per the below. To add criteria to a search, select Add. Once in the Add Search Criteria if you have selected a string field, such as [Contact] Postcode, you will have the option to select the operation In Range for your search. Once the Value has been entered, select Save and run the search against your clients. Page 28
3.5 Risk Researcher premium comparisons of policies that include Flexi-linked or Superlinked structures Risk Researcher premium comparisons of policies that include Flexi-linked or Super-linked structures now disclose the splitting of the premium to show the amounts that are payable inside and outside of Superannuation. To Display Premiums for both inside and outside of Super, the following options will need to be applied. The inside/outside super display will appear where you select a super-linked or flexi-linked option as part of your scenario. For example, if you edit the Life & TPD (any) details and select Super-linked TPD as the TPD definition, you will be able to see the split in the premium display screen. For flexi linked display, you will need to flag flexi-linked to yes for TPD and/or Trauma. This selection is made via the drop-down boxes that appear in the details area (next to premium type i.e. Stepped, Level) when entering the sum insured details. Page 29
3.6 Next Disclosure Statement Date Some changes were made in the Services page of your client s XPLAN profile if your client s file contains a date in the Next Disclosure Statement Date field. Going forward, the Opt-in Required and Disclosure Statement Date will now default to No when adding this for a new client. You will need to change these fields to Yes in order to enter in the dates required. Due to this change, there have been some slight changes made to the current completed fields in XPLAN. Currently, if a client has a date entered in the Next Disclosure Statement Date field, the Disclosure Statement Required field has been changed to Yes. If there is currently no date in this section, the Disclosure Statement Required field has been changed to No. Page 30
Going forward, to ensure that the search criteria used when generating the client search for the FDS is correct, you will need to include the below criteria in the search. The criteria will ensure that only the client s that need an FDS are populated in the search results. If this is not used, then the results can show clients who do not require an FDS but have a date entered in the Next Disclosure Statement Date field. In addition, if you are running the Next Disclosure Date Management Report, prior to running the report you will need to run the above search criteria against your client base to generate the list of your clients that have Yes selected., This additional criteria is now required because the Next Disclosure Statement Date cannot be deleted post upgrade. This change is to ensure the date that was last entered is retained for auditing purposes. Page 31
