What is a Dynamic List? Content lists, or automated lists of related content (e.g. a list of Council Minutes or Agenda files), are an excellent way to display and manage online content. Users can set their data to automatically appear and disappear by adding content to predefined categories in their Unity site. A user can create a Dynamic list for many of the content objects within the Unity Content Management System (CMS) - it is not just applicable to files e.g. a user can create a Dynamic list of contacts for Elected Members or a business list that displays records that have been categorised as accommodation within the Unity TM business list. can only store one type of content per list i.e. you cannot put a Business content type into a Files content list. can be created out of the following Content Objects found in Content > Global Resources, Council Data, Communication Docs, Internal Data: Businesses Contacts Controlled Files (Intranet) Employment Events Files Latest News Links Media Public Notices Staff (Intranet) Staff News (Intranet) Tenders Once a Dynamic List of a particular Content Object (e.g. Files ) and a Category (e.g. Council Agenda 2005 ) is created and then added to a page on your website, any live and active content that is added to that particular Content Object and assigned to the associated Category, will automatically appear on the page once the site has been Deployed. Also, any Content Objects of that Category that have been assigned an expiry date (i.e. a Date Inactive ) will automatically come off that page on that expiry date. In other words, you don t have to edit the web page itself once the Dynamic List is added to it: simply upload the Content Object, assign it to the relevant category, deploy your site and it will automatically appear on your web page. Creating a Dynamic List To demonstrate how to create a Dynamic List, below are step-by-step instructions on creating a Dynamic List of Files. For detailed, step-by-step instructions on creating a Dynamic List of one of the other Content Objects listed above, please refer to the relevant how-to guide on the specific Content Object e.g. Latest News or Contacts. The best way to display several related files in one list is via a Dynamic List. For example, if you would like to display all the monthly Council Minutes for 2005 in one list, create a Dynamic List of file objects and filter the Dynamic List by the correct category (in this case Council Minutes and the subcategory 2005 ). This Content List will then pick up any File objects that have been assigned the category of Council Minutes and the subcategory of 2005. To create a Dynamic List of File objects, firstly make sure you have created the category you require for your Files. 1. Creating a File Category This step is only necessary if the category you want to use has not been created yet. Under > Content Type Config > scroll to Files and click the Cats button: A File Categories pane will display all the current categories and any Subcategories that exist for Files. In this window you can edit the name of a category by selecting the Edit button. To add a new category for Files select the New Category button at the top of the pane or click the + Sub to add a Subcategory. Enter a category name and Save. 2. Create the Dynamic List Next, create a Content List by going > New Dynamic List You will be presented with the Content Type drop down where you can select a Content Type. For a Dynamic List of Files select Files and then select the Save button. The New Dynamic List pane will display where you must complete several mandatory fields in three tabs: Details, List Type and List Display. DETAILS TAB In the Details tab, type in the Content List Title. The Description field is not mandatory - if you do enter text here, this will display on your web page. Next, select the relevant Category under the Filters heading. These Categories come from the categories you created in the Content Type Config area next to Files (see Step 1: Create a File Category at the beginning of this document). If you have created a subcategory it will display directly underneath the main category. Only select the subcategory of the main category (not both) see the example below where the only files we would like displayed are the Council Profile. LIST TYPE TAB In the List Type tab and under Date Filters select All Content as this will list all your live and active Files. LGASA www.lga.sa.gov.au/goto/unityguides Page 4
LIST DISPLAY TAB In the List Display tab, and under the heading Order, select a List Order of either File Publish Date - descending (to display the files in order of the latest file at the top eg: the latest Minutes) Title order (for alphabetical order), File Publish Date - ascending (for date order with the oldest file at the top) or Display order (to display the files in a numbered order determined by the number assigned to each individual file of the same category in the Manual Sort Order field in the Admin tab of each of the file objects). Under the Display heading, click on the drop-down arrow of the Display XSL field and select one of the Files XSL display options (which determines how your files will be displayed in the Content List on the web page). The XSL display options for files are: Files No Description (only the file name will be displayed) Files No Description, Show Size (the file name and file size will be displayed) Files Show Description (the file name and description if applicable will be displayed) Files Show Description and Size (the name of the file, description if applicable, and the file size will be displayed) Files Show Description, No Size (the name of the file and file description will be displayed but not the file size) TIP It is good practice to display the file size of files so that the end user knows how large the file is and can estimate how long it may take to download the file. Once you have selected your preferred Display XSL, select the Save button. You will be returned to the listing of all with your saved one highlighted in yellow. Click Preview to verify the files are listing as you expect. Your Dynamic List of files has been created. To view this List on your website, you now have to add the Dynamic List to a page. 3. Adding the Dynamic List to a Page To add a Dynamic List to a page, first find the page you want either through the Preview, Site Structure or Page List methods of accessing pages. These methods are detailed below. a) Site Structure method From the Pages menu, select the Site Area your page is located in, then select Site Structure. Using the tree toggles, expand the hierarchy of the top level and subsequent menus to until you find your page > click on the Page and select Edit Page Content. b) Page List method From the Pages menu, select the Site Area your page is located in, then select Page List. From the page list enter a word contained in the Page Title and hit enter to initiate your search. Once your page has been discovered > click Edit LGASA www.lga.sa.gov.au/goto/unityguides Page 7
c) Preview method From the Pages menu, select the Site Area your page is located in, then select Preview or use the button from the Unity Welcome screen. Using the dynamic menu, browse to the page you want to edit, and click the Page Info button located at the top right of the screen (1.) then click Page Content (2.) 4. Page Content - Adding Files Dynamic List Finding a Page in Unity to add content Once you are on the Page Content pane of your page you can add New or Existing items to your page. When adding a Dynamic List, click on the Add Existing Item (1.) tab, then select Dynamic List (2.) from the Type of Display Item drop down When presented with the Add Element pane (below), click on the down-arrow next to Dynamic List and select the Dynamic List you created. Next to Title Visible you can elect to have the title of the Dynamic List visible on the page or not. If you do, simply select the radio button next to Yes. Finally, select the Save button. Select the Submit Page button and when presented with the Approval Page pane, select the Save button. NOTE: If your site has more than 1 step in the Page Approval process you may need to Approve the page again. To view the changes to your page click Options (1.) > Preview (2.) from the Page List Deploy your site to publish your changes to the live website (refer to the how-to guide Deploying Your Website - Unity6 ).
