Page 2 of 4 Overview The purpose of this Guide is to provide detailed step by step instructions on how to export and import your BLP Mail mailbox to and from a.pst file. The guide includes instructions for Microsoft Outlook 2003/2007 & 2010. Prerequisites To be able to export your BLP Mail mailboxes to a.pst file, you will need to connect to your mailbox using and Outlook client. If you do not have an Outlook client installed you will need to speak with your ICT co-ordinator to get this installed. Export Outlook items to an Outlook Data File (.pst) Using Outlook 2010 Folder properties such as permissions and views are not preserved when you export to an Outlook Data File (.pst). Only the content itself is exported. 1. Click the File tab. 2. Click Options. 3. Click Advanced. 4. Under Export, click Export. NOTE The Import and Export Wizard can also be opened by clicking the File tab, clicking Open, and then clicking Import. 5. Click Export to a file, and then click Next. 6. Click Outlook Data File (.pst), and then click Next. 2
Page 3 of 4 7. Select the account a top level folder that you want to export. This enables exporting all mail, calendar, contacts, tasks, and notes if available for that account. NOTE: Only information for one account can be exported information at a time. Make sure that the Include subfolders check box is selected. 8. Click Next. 9. Click Browse to select where you want to save the Outlook Data File (.pst) and to enter a file name. Click OK to continue. NOTE: If you have previously used the export feature, the previous folder location and file name appear. Make sure that you change the file name if you want to create a new file instead of using the existing file. 10. If you are exporting to an existing Outlook Data File (.pst), under Options, specify what to do when exporting items that already exist in the file. 11. Click Finish. The export begins immediately unless a new Outlook Data File (.pst) is created or the export is to an existing file that is password protected. If you are creating a new Outlook Data File (.pst), an optional password can help protect the file. When the Create Outlook Data File dialog box appears, enter the password in the Password and Verify Password boxes, and then click OK. In the Outlook Data File Password dialog box, enter the password, and then click OK. If you are exporting to an existing Outlook Data File (.pst) that is password protected, in the Outlook Data File Password dialog box, enter the password, and then click OK. If you want to export items for multiple accounts, repeat these steps for each account. 3
Page 4 of 4 Import Outlook items from an Outlook Data File (.pst) Using Outlook 2010 1. Open Outlook 2010: 2. Click on File near the top left corner of your screen. A new screen should appear. 3. Next select Open from the left column options and click on Import that appears next to it. 4

You may be prompted for the password that was given to the saved backup file. Please Enter your password and click OK 9. Select a location to import to and click Finish. The.PST file will now be imported into your Outlook 2010 profile: 6

Only the content itself is exported. 1. Click on File near the top left corner of your screen. A dropdown should appear. 7

Page 9 of 4 4. Click and highlight Personal Folder File (.pst) then click Next 5. Select the top Mailbox folder to export from. Ensure that the Include subfolders box is selected, then click Next 9
Page 10 of 4 6. Browse to the folder that you want to export the.pst file to. Under Options, select Replace duplicates with items exported, then click Finish 7. You may be prompted to enter a password to protect the file, if so enter a password you will remember. Input the same password to confirm: 8. You will be prompted again to enter your password to save the.pst file: 10
Page 11 of 4 9. Your.pst file will now begin to export to the specified folder you have selected in Step #6. Import items from an Outlook Data File (.pst) Using Outlook 2007 1. Open Outlook 2007: 11

Click Browse to save your.pst file on your Desktop. 8. A new window (see below) shows up. Navigate to your Desktop and name your.pst file 18
