What is FEYWA for JIRA about? Born as Resource management tool Few years ago, EEA has released an application called FEYWA, which was designed and built to help organization with their allocations, utilization and managing resources for projects. This standalone application was able to communicate with some other Project Management tools using API or external plugins. In 2013, our long time experience with FEYWA resulted in the decision to change our approach to this application. Contemporary trends in project management demand to execution of the entire managing process in one environment. We decided to take this path, and changed the whole concept from standalone application to plugin for one of the bestselling project management tools on the market, Atlassian JIRA. Project Manager Project manager is able to setup project details and role requirements and when the project goes live he/she is able to handle and review its execution. FEYWA for JIRA ensures that the right person is assigned on right tasks to avoid any potential issues. Resource Manager Resource manager is always informed about the availability of each role so he/she can take appropriate steps if there is lack or surplus of certain roles. Resource manager sees utilization of each resource so he is able to manage reservations and allocations more effectively. Team Leader Team leader is able to assign tasks and ensure that project will be executed on time with required costs. Project planning module contains easy Drag&Drop interface. Project setup & Role requirements Usually the business analysis is the precondition to setup the project on professional way. With the outcomes from analysis you can setup project with Start & Due date, select project priority and define roles & resources you will need to fulfill targets and deadlines, select predefined task (tasks you have already defined to be reused in multiple projects) or create new Work Breakdown Structure item(s). 5
Resource reservation When the Project setup is finished, Resource reservation is the next step. What does resource reservation exactly mean and how does it differ from resource allocation? Resource reservation this is ONLY REQUEST for role(s) / resource(s) as project was not approved or prioritized for realization yet; there is no need to create resource requirement on role level during setup phase Resource allocation this is CONFIRMATION of REQUESTED role(s) / resource(s) after approval or prioritization of project 6
Project prioritization Portfolio management interface is the environment where you deal with prioritization of your project pipeline with respect to your resource capacities and business strategy. In other words this is the place where you make decisions about next release, next month / quarter / year the time frames or development cycles are fully under your control. You are able to model different alternatives to find the WIN WIN solution for business and delivery. You can play with pipeline and save versions upfront and load them and continue whenever you want. You can transparently present resource limitations and ask stakeholders for decisions. When you achieve your goals you can start projects just with the press of a button. 7
Team management & Resource allocation Once you start project, an easy and effective Drag&Drop interface is at your disposal to assign tasks related to the project. Team leader / project manager / responsible person sees the calendar with resources with roles and skills required for tasks fulfillment. Resources already chosen during project setup are highlighted in calendar and also tooltiped. This exercise is finished when you assign all tasks to resources while minimizing over-allocation. Task assignment & execution After finishing, Drag&Drop tasks are automatically assigned to resources you have chosen. Each resource will have all tasks in personal work calendar the component we have added to personal profile for managing resources. Logging the progress on task will allow appropriate cost handling, continuous monitoring handled by system,... 8
Reporting - resources / project progress As mentioned, work-logging on tasks will offer accurate data for reporting. This means not only the progress of task(s) and project(s), but also important trends can be revealed from ongoing projects. For example, tasks assigned to specific role(s) or resource(s) are often fulfilled in overtime so where is the issue? The answer can be that either we underestimated the role(s) or resource(s) or the resource is over-allocated or needs some training? Another important question that can be answered by FEYWA for JIRA - which role is permanently the bottleneck within the delivery process? 9
