Introduction Rx Systems have teamed up with an SMS text service provider (24x) to offer this new service which enables you to keep in touch with your patients by sending them text messages directly to their mobile phone using the application. This will enable you to advise them of various things such as when their prescriptions are ready for collection or when a repeat is due, or maybe even just a seasonal greeting. The feature can also be configured to allow your patients to reply to text messages which are converted to email by 24x and sent to an email address of your choice. How does it work? To set up the SMS feature, you will need to contact the RxSystems admin team. They will then send you a sign up form, and once completed and returned via fax or post, an account will be created for you and an electronic update will be sent to your system to enable the SMS feature in. A username and password will be sent to your email address and mobile phone number which will be required for you to purchase SMS bundles online using a website created specifically for Rx Systems SMS users. As well as purchasing bundles of texts, this website also allows you to view a full audit trail of texts sent/received, view your remaining messages, and several other useful features which will be explained later in this guide. 3 2010
SMS control panel The SMS control panel is a website (http://www.24x.com/rxsystems) created by Rx Systems for SMS users. This website allows you to: a) View the price of SMS bundles b) Purchase SMS bundles c) View statistics such as remaining credit, texts sent today/this month/last month. Tip: You may wish to add the above link to your favourites... Logging in to the SMS control panel When navigating to this link, you will be required to enter your username and password. Enter your username and password here, and then click on the Login button. Note: This is the username and password that you should have received to the email address and mobile number specified on the sign up form. If you have not received it, please contact the Rx Systems Admin department who will be able to assist you. 4 2010
After entering the username and password, the following screen will appear. As you can see there are several features on the screen that are offered by 24x.com, but for now we will concentrate on the main features which are purchasing SMS credits, viewing stats, and viewing the audit trail. Purchasing SMS credit/viewing Bundle prices Initially you will need to purchase SMS credit. This can be done by clicking on the Top Up Credit link (highlighted in RED on the screen below). Here, you can view the offers available on purchasing SMS bundles, and enter the amount in the number of credits required box at the bottom of the page. Enter the amount of credits you wish to purchase and click the [Calculate Cost] button. 5 2010
The total price of the credits will be shown at the bottom of the page (highlighted in RED above). If you would like to enter a different amount of credits, simply re-enter the amount you require and click [Recalculate]. Otherwise select [Buy Now], to purchase the credits. The next two screens simply require your details and payment details. Enter your details in the first form shown, and enter your payment details on the next. Once your payment has been accepted, a confirmation will be shown on the screen at which point you are ready to send text messages from. 6 2010
Sending Text Messages from There are three areas within where text messages can be created and sent to patients: 1) The Patient Details screen. 2) At the end of a dispensing. 3) The RMS screen (if applicable) Note: Before being able to send text messages using any of the above methods, you will need to ensure that a mobile number exists in the patient s records. 1) To send a text message to a patient from within their Patient Details screen, select the [Alt+F1 Send Text Message] button at the bottom of the Patient Details window (highlighted in RED below). Once this option is selected, the Send Text Message window will appear. See the heading Send Text Message Window for information. 2) To send a text message to a patient immediately after dispensing, place a tick in the Send SMS (highlighted in BLUE above). After ticking this option, the Send Text Message window will appear after every dispensing for this patient. See the heading Send Text Message Window for information. 3) To send a text message to a patient registered on the RMS module, enter the RMS module, highlight the patient you wish to send the message to, and select the [Send SMS] option. Send Text Message Window Selecting any of the methods above to send a text message displays the following window. Follow the options shown below to send a text message to the patient selected. Enter the message you wish to send here. can also be preconfigured to auto populate this section with a preconfigured text message, so you don t have to enter one each time. To enter a preconfigured message, please contact our helpdesk. The text message can be scheduled and sent at a later time if required by placing a tick in the checkbox, and entering the date/time you wish to send the message. By default it shows today s date and time. This section shows the reply email address you provided to us in your sign up form. If you wish to change it, you can do so here. Once you have configured the screen, press [F10 OK] to send the message. Predefined messages By default is configured to display the message Your prescription is ready for collection. However, it can also be configured to allow users to select from a list of your own pre-defined messages. This can be useful if you need to send a handful of different messages. The process of sending Pre-defined messages is very similar to sending the default message with only difference being that the user selects one of the predefined message from the list. The Other option allows free-typing of messages in instances where none of the predefined messages are applicable. The other option can also be removed if you prefer your users not to be able to free type messages. Please contact Rx Systems helpdesk if you wish to enable pre-defined text messages. 8 2010
