Welcome to JPIA s New Learning Management System JPIA is pleased to introduce this new self-service system. Through this site, you can view your training history, print certificates for classes taken January 2014 and later, register for JPIA in-person training, and access the Lending Library. So, let s get started! I. Home Page This is the home page you will see when you click on our link. From this landing spot, you can access much information. It all begins by clicking on an item in the left column. You can look at the Class Calendar, look up classes by location, or look up classes by name. Under the Certificate Program heading, you can see what classes are required under the various Professional Development Certifications offered by JPIA. At the bottom, you can access the Lending Library to check out learning materials. Let s look at these links in more detail. 2
II. Class Calendar This is one way to register. Clicking on this option, brings you to the visual calendar listing all classes open for registration. By clicking on a class (underlined) you can bring up the details. Click on the Registration button to proceed to registration. 3
Shopping Cart The next screen will show your Shopping Cart along with a notice that you must Log-In in order to proceed. (See your Human Resources or Training Coordinator to obtain your user name and password). Enter your user name and password to continue. 4
Checkout Once logged in, you will see your Shopping Cart contents, along with tabs to access your personal information (this will be covered on page 10). Click Register button to finalize registration. If you decide against registering, you must remove the class from your Shopping Cart by clicking on the red X. Confirmation When you click Register you will then receive a confirmation page, along with an email confirmation sent to the email address on your Profile. Click the Print button at the bottom to print your copy, if desired. Print 5
III. Other Methods to View Classes and Register - By District From the main screen, left column, you can click on the By District...County option to search for available classes. It will bring up a listing of classes sorted alphabetically by District name. The class listing gives basic information on date, location, time and cost. Click on the Room listed to view details and description of the class. From here you can decide to Register (put it in your cart) or return to the listing. 6
After viewing the listing you can Register directly by putting the class in your Shopping Cart by clicking the green + button. This will bring up the summary of items in your Shopping Cart and from there you will have to Log-In to Checkout. See page 3 for How To. 7
IV. Other Methods to View Classes and Register - By Course From the main screen, left column you can click on the By Course option to search for available classes. It will bring up a listing of classes sorted alphabetically by class name. This will bring up the same type of page as just mentioned, but sorted by class this time. See page 6 for next steps. 8
V. Other Methods to View Classes and Register - By Program The other option to view classes is sorted by Professional Development Program. If you are enrolled in one of the Programs, click on it to see a listing of the required classes. From the listing, click on the green + to see if any classes of that topic are currently scheduled. If there is an available class, the system will allow you to register for it by clicking the Apply button. If the class does not work for your schedule, simply click the Cancel button. 9
Once Logged In After you have signed in, you can access your personal information and training history. There are several options available from the tabs across the top. Clicking on Home brings you to the Home Page. 10
VI. My Profile Page Clicking on My Profile brings you to your personal information page. Here you can update your first name, your user name and your password. (Only fields marked with red asterisk). We recommend you create your own password when you first log in. When making any changes, click Apply button to save. Register When clicking on the Register tab, you will see the opening registration page discussed on page 1 of this manual. You would proceed the same way to register for a class. VII. My Current Courses By clicking on My Current Courses, you will see the courses you are currently registered for but that have not occurred yet, they are called In Progress. To view details or cancel out of the class, click on the course name. 12
You will see a detail screen along with an option to Drop the class if needed. To cancel the class, click on Drop. You will get a warning screen to click to OK to continue. 13
You will receive a confirmation of the cancellation. VIII. My History By clicking on the My History tab, you can view all the in-person classes taken through JPIA. Here you can look at your overall history (called General Training) or look up your progress in a Professional Development Program by clicking on the program listed on the left side. If you are not enrolled in a PDP through the JPIA, you will only see the General Training option. When clicking on that, you will see the same information you saw to begin with a listing of all classes taken. 14
IMPORTANT NOTE ON CERTIFICATES: A great benefit to this system is the ability to print your training certificate when you have attended a class. But, classes taken BEFORE January 1, 2014 will not print correctly. Though there will be a button to click for a certificate, if the class was before 2014, it will not print out correctly (see Accident Investigation class below). This is due to the way the data was migrated. It is in your history, but not attached to a physical class if the class occurred before the change over. We apologize for this and hope it is not confusing, but we have no other option unless we eliminate all certificate printing. Over time, this will not be an issue, of course. IX. Certificates For those classes taken since January 2014, you can print your own certificate for your files. Click on the Certificate button and the system will generate it for you. 15
For classes after January 1, 2014, it s a beautiful thing! From the My History page you can also sort classes by date, and print the list. 16
X. Lending Library The last item on the main menu that you will need to know about is the access to the Lending Library. Simply click the link shown and you will be brought to the Library Checkout Page. This is where you will now be able to check out items from JPIA s vast Lending Library. Hover over the Info button to read the full description of the item. Once an item is decided upon, click on the right column Submit Request. 17
You will be asked to log-in if you have not already. Click to log-in and follow steps from page 3. NOTE: Currently, once you click the Submit Request button, you have ordered the DVD or video; there is no way to cancel the order. The system does not give you a second chance. The district on your profile is the address where the item will be shipped. Please confirm that on your profile first before ordering. (If your district is listed incorrectly, your Administrator can change it or contact JPIA Training Department).
