Frequently Asked Questions How do I make a Group booking? You need to register your details with the Groups Travel Hub. We will then issue you with a Groups Travel Agreement. Once the hub has received your online acceptance of Iberia s Terms and Conditions, you will be given access to the system for booking, ticketing and servicing your group bookings online. Do I need to hold an IATA license to book Iberia Groups flights? Iberia works with IATA and non- IATA agents. When will I receive my system username and password? Once the hub has received your online acceptance of the Groups Travel Agreement, you will automatically receive your system username and password which will be sent via email. Will agents be able to complete the entire sales process online? Yes, the hub s specialist online Groups system allows the agent to fully manage the entire sales process: Get quotes Check Availability and Pricing Confirm Bookings Does the system offer immediate availability and pricing? The system will return an onscreen price where an instant quote is able to be provided by Iberia. If this is not possible your request will be acknowledged and you will receive an automated quote by email within 10-15 minutes. For more complex quotes or when there are restrictions on availability you will receive an immediate email acknowledgement. The hub will respond to you within two business days. Ticketing Date - When are groups ticketing deadlines? No later than 30 days (or 45 days for Groups with an original size of 81 or more seats) from the scheduled departure date. Naming Date - When are group passenger names required? No later than 30 days (or 45 days for Groups with an original size of 81 or more seats) from scheduled departure date What is Iberia s Cancellation/ Amendment Policy for groups? If the Group fails to maintain minimum Group size or cancels entirely, Iberia will retain the deposit amount within the following guidelines. Outbound departure date determines group size adjustment, space reduction and cancellation fees. 2

Up until 90 days before departure (or 120 days for Groups with an original size of 81 or more seats) you may reduce Group space without restriction or cancel the entire booking without penalty. b. From 90 days before departure (or 120 days for Groups with an original size of 81 or more seats) until Date of Full Commitment 10% cancellation is allowed. If take up falls below 90% you become liable for loss of Deposit for those seats cancelled below 90% only. For clarity cancellation and reduction calculations will be rounded up to the nearest whole passenger number. How do I issue groups tickets? Agents can request their groups tickets online via the hub. Will the system issue reminders on deadline dates? Yes, you will receive email reminders to advise on the deadlines for each booking, such as payments, naming, and ticketing dates etc. If you don t wish to receive reminders, there is the option to remove these email alerts. How do I make payments? MCO will no longer be a valid form of deposit, in the new process the deposit payment will be applied towards the final balance payment so there will be a benefit of improved cash flow. Payments can be made by Check or Electronic Funds Transfer (Bank Transfer). Please see our Payment Options & Service Fees download for further information. What is Iberia s seating policy for group bookings? Group seating on Iberia is assigned at check-in. What if my group needs visas? It is the responsibility of the agent to arrange the necessary documentation needed to gain entry to the destination country. Can I make changes to group bookings? You can request most changes online - adding additional flights, upgrades, increasing or reducing the group size etc. After tickets are issued, however no changes to the outbound itinerary are possible. Name changes can be made free of charge before ticketing. Once the booking has been ticketed, agents can make name changes and re-issue tickets subject to an additional fee. Can a groups passenger use a Self-service check-in kiosk at the airport? Groups passengers are permitted to use the Self-Service Check in machines at their departure airport. Business Club Spacious and Restful Business Club is available on flights between Spain and Cairo, Tel Aviv, Malabo, Moscow and Lagos. The Business Club cabin has 14 seats which are 61 wide with 50 seat pitch. The seats have adjustable backs, four position head rests, foot and leg rests, an individual coat hook and spaces for stowing personal items. Business Club offers an exclusive, complimentary toiletry kit, soft pillow and matching double-sided blanket, with a polar surface for extra warmth. The new in-flight entertainment system uses PSPs which can stand on the fold-down table. Options include 10 HD feature films, 10 channels with the latest television series and 10 audio channels.
