Portfolio Reporting Guide
Portfolio Report Tutorial The following guide accompanies the Portfolio Report Template, and is intended to assist with the initial population of the spreadsheet and the production of Portfolio Reports for individual building owners and managers. This guide will help create Portfolio Reports for 2030 District building owners and managers. The guide requires the use of Portfolio Manager, as well as the Portfolio Analysis and EUI WUI Report Templates, which can be found in the on 2030districts.org.
Portfolio Report Tutorial Initial Template Customization 1. Request the following Portfolio Manger Report Templates from Architecture 2030, to be shared via Portfolio Manager, or, find them on 2030districts.org in the : a. Portfolio Analysis b. EUI WUI 2. Run and export a report using the Portfolio Analysis template in Portfolio Manager: a. On the Reporting tab in Portfolio Manager, find the Portfolio Analysis Template and select Edit This Template from the dropdown menu. b. Under Select Properties to Include, choose Multiple Properties from the dropdown menu and click Select Properties. c. Select all properties in your District for which you would like to create portfolio reports and click Apply Selection, then Save Template. d. In the dropdown menu next to the Portfolio Report Template, select Generate Report. Once a report has been generated, select Download Current Report in Excel from the dropdown. e. Open the Portfolio Report Template Excel file, and copy and paste the data from the Portfolio Analysis Report into the green PM Export tab. f. In the dark green Portfolio List tab, fill in columns A and B. Select the cells in the remaining columns (columns C-U) and drag down to copy the formulas. g. You can find Portfolio Manager IDs in column A of the PM Export tab. 3. Export an EUI WUI Report for each month that you would like historical energy and water data: a. On the Reporting tab in Portfolio Manager, find the EUI WUI Template and select Edit This Template from the dropdown menu. b. Under Select Properties to Include, choose Multiple Properties from the dropdown menu and click Select Properties. c. Select all properties in your District for which you would like to create portfolio reports and click Apply Selection. d. In the Timeframe dropdown select Single Year. e. From the dropdowns to the right, choose the month and year from which you would like to begin reporting historical data, then click Save Template. f. In the dropdown menu next to the EUIWUI Template, select Generate Report. Once a report has been generated, select Download Current Report in Excel from the dropdown. g. Repeat until you have a report for each month that you would like historical energy and water data. It is helpful to name each version of the report to
reflect its date. 4. For each EUI WUI report generated in Portfolio Manager, copy and paste the data under the correct date into the Portfolio Report Template as follows: a. Paste each Weather Normalized Site EUI (kbtu/ft²) column into the green EUI Month tab. b. Paste each National Median Site EUI (kbtu/ft²) column into the green EUI Month Bslne tab. c. Paste each Water Use (All Water Sources) (kgal) column into the green Water Month tab. d. If necessary, in each of the above tabs and the following light green EUI % Redu, WUI Month, and WUI % Redu tabs, adjust the dates in the first row and select the cells in the green columns and drag down to copy formulas. Start a New Portfolio Report 1. Update the information in each of the green tabs as necessary. 2. Go to the brown Exec Sum Info tab a. Select the first pivot table and from Excel s tool ribbon, select Pivot Table Refresh Refresh All. b. In the first pivot table, use the building type filter at the top to select the correct building type. c. In the second pivot table use the filters to select the portfolio owner and, if the portfolio has more than one building type, the correct building type. Update Orange Tabs 1. Go to the bright orange EUI Portfolio Outliers tab. 2. Using the pivot table filter above the pivot table, select the correct building type. a. Make sure that the cell ranges in the top five rows of the spreadsheet (Min, Q1, Q2, Q3, Max) encompass each row of the pivot table, excluding the final (Grand Total) row. b. In the pivot table, select the cell with the correct (focus) portfolio owner and move to the top of the list. 3. If changes were made to the cell range in the EUI Portfolio Outliers tab, go to the light orange EUI Portfolio No Outliers tab. a. Add or delete rows as necessary in the grey Percent Reduction Table in order to include data from all rows except Grand Total in the pivot table in the EUI Portfolio Outliers tab. Make sure that the green focus portfolio row is not deleted. b. Modify the cell range of the top three rows in the spreadsheet, exiting each cell by pressing cmd+enter (Mac) or ctrl+enter (PC), as these cells contain array formulas. 4. Repeat adjustments in the bright orange WUI Portfolio Outliers tab and if necessary, in the light orange WUI Portfolio No Outliers tab. 5. Go to the bright orange Portfolio Rank Data EUI tab. a. Select the contents of column F, right click and choose Paste Special, and select Paste as Values to paste the contents into columns L. Sort Descending.
b. Change the correct row in column H to the name of the focus owner. 6. Repeat in the bright orange Portfolio Rank Data WUI tab. 7. Go to the bright orange Portfolio Bldg Comp tab. a. Using the pivot table filters at the top, select the correct portfolio owner and building type. b. Select the cell with the correct (focus) building and move it to the top of the list. c. Go to the white Peer Buildings tab. 8. Using the pivot table filter above the pivot table, select the correct building type. a. Find the focus building in the list and move it to the top. b. Select the contents of columns C and D, right click and choose Paste Special, and select Paste as Values to paste the contents into columns F and G. c. Click the filter arrow and sort column F in ascending order (from smallest to largest). This orders the buildings in terms of size, from closest in size to furthest. d. Use the list to select 5-10 of the buildings closest in size to the focus building, creating its peer building list. 1 9. Go to the light orange EUI Bldg Outliers tab and use the pivot table filter to select the correct building type. Then use the row labels filter to select the focus building and each of its peers. Make sure that the focus building is at the top of the list. 10. Repeat step 9 in the light orange WUI Bldg Outliers tab, with the same list of peer buildings. 11. Go to the bright orange Bldg Rank Data EUI tab. a. Use the row label filter in the pivot table to select the focus and peer buildings. b. Select the contents of columns F, right click and choose Paste Special, and select Paste as Values to paste the contents into column L. Sort Descending. c. Change the correct row in column H to the name of the focus building. 12. Repeat step 11 in the bright orange Blgd Rank Data WUI tab. 13. Go to the bright orange EUI tab. Use the row label filter to select the focus building. 14. Repeat step 13 in the EUI Bslne tab. Cover Sheet One for each portfolio 1. Go to the dark blue Cover tab. a. Type in the correct portfolio owner name and make sure the names of all buildings in the portfolio are displayed. b. Include individual building information: i. To add buildings highlight existing building names. Drag down to add new buildings. ii. To delete extra cells, highlight, right click, and Clear Contents. 2. Add your District s logo to the top if necessary. 1 The goal is to strike a balance between a large enough group of peer buildings to both ensure anonymity and increase the accuracy of the data, and a small enough square footage bracket to ensure an apples-to-apples comparison. Choose the best 5-10 peer buildings to strike this balance.
Summary Sheets One for each building type in the portfolio 1. Go to the dark blue Summary tab a. Change all relevant cells to include correct portfolio owner and building type. b. Include individual building information: i. To add buildings highlight existing building name and square footage cells. Drag down to add new buildings. ii. Manually enter/update square footage. iii. To delete extra cells, highlight, right click, and Clear Contents. Portfolio Charts One set (four charts) for each building type in the portfolio 1. Go to the dark blue Portfolio EUI Redu Bslne tab, name the correct portfolio owner in the title and if necessary, change the building type and adjust the chart scale/axes. 2. Adjust the grey gradient background to darken when the number of portfolios decreases. a. Right click on the chart and select Format Plot Area. b. Select Fill, Gradient and add, subtract, and move the gradient sliders as necessary. 3. Repeat steps 1-2 in the dark blue Portfolio WUI Redu Bslne tab. 4. Go to the dark blue Portfolio Rank EUI tab. Name the correct portfolio owner in the title and if necessary, change the building type and adjust the chart scale/axes. 5. Add a data label and change the format of the focus portfolio s bar to dark orange, by clicking until the bar is isolated and selecting Format Data Point. 6. Repeat steps 4-5 for the dark blue Portfolio Rank WUI tab. Building Charts One set (eight charts) for each building in the portfolio 1. Go to the light blue Bldg EUI Target tab. Change the title to the correct name, the square footage bracket to encompass the square footage range of the peer buildings, and adjust the chart scale as necessary. You may need to move the data labels if the chart scale is adjusted. 2. Repeat step 1 in the light blue Bldg WUI Target tab. 3. Go to the light blue Building Rank EUI tab. Name the correct building in the title and if necessary, change the building type and adjust the chart scale/axes. 4. Add a data label and change the format of the focus portfolio s bar to dark orange, by clicking until the bar is isolated and selecting Format Data Point. 5. Repeat steps 2-3 for the light blue Building Rank WUI tab. 6. Go to the light blue Bldg EUI Redu Bslne tab, name the correct building in the title and if necessary, change the building type, the square footage bracket, and adjust

Go to the light blue Cost tab and if necessary, change the building type and adjust the chart scale/axes. Printing Portfolio Reports Print/Save each of the following charts as a PDF, and combine: 1. One Cover per portfolio 2. One Summary per building type 3. One Portfolio EUI Redu per building type 4. One Portfolio WUI Redu per building type 5. One Portfolio Rank EUI per building type 6. One Portfolio Rank EUI per building type 7. One Building EUI Target per building 8. One Building WUI Target per building 9. One Building Rank EUI per building 10. One Building Rank WUI per building 11. One Building EUI Redu Bslne per building 12. One Building WUI Redu Bslne per building 13. One Building EUI Month per building 14.
