EVENT DATE & TIME RULES & REGULATIONS Saturday December 12, 2015 Launching: Parade Participants will be between 12:00 5:00 p.m. - participants will be notified of load-in times following acceptance of application. Parade begins: 6:00 PM ENTRY FEE & APPLICATION DEADLINE SUNDAY, NOVEMBER 22, 2015 AT 5:00 P.M. Motorized Entries Only $30 for Individual or Community $525 for Commercial Boat Specifications TYPES OF BOATS ACCEPTED Motorized boats only: Single engine electric, 2 or 4 stroke gas engines. No jet skis or human powered entries are permitted. HEIGHT RESTRICTION All watercraft have a maximum height of 18 feet for participation, including masts. Watercraft exceeding a height of 14 feet will be assigned a boat to aid in undocking. GENERATORS The use of generators is permitted, given the following requirements are met: 1. Generator weight cannot exceed 150 lbs 2. Spark arrestors are mandatory on all generators (absolutely no exceptions) 3. Gas and fuel cans are not permitted on any boat. Please make sure your generator has ample fuel before casting off DECORATIONS Required lighting minimums for participation is 2,000 lights. Inflatable decorations will be allowed as long as they are secured and will not blow off the boat. THEME It s time for one of the most longstanding and cherished holiday traditions in Tempe: the Fantasy of Lights Boat Parade Presented by SRP! The idea is simple create a dazzling display of lights designed to inspire holiday cheer. Bring the lights and make them bright! Your imagination and creativity (and lights!) are paramount in making this parade truly a Fantasy of Lights. 2 7
UNIT NUMBERS (BURGEES) The Fantasy of Lights Boat Parade Presented by SRP will provide a 2 x2 burgee displaying your unit number at check-in the day of the parade. Unit numbers must be displayed for the duration of the parade. Unit numbers must be displayed prominently on the PORT side of the boat PROHIBITED 1. No live Santas are allowed on any participating boats 2. No towing of any kind is permitted 3. No throwing candy to the crowd 4. The entire lake is a NO WAKE ZONE 5. No music can be played from boats LOAD-IN LOCATION Boat load-in will take place on the north side of the lake at Tempe Town Lake Marina - 550 E. Tempe Town Lake, Tempe, AZ 85281. Awards and Judging A panel of local community members will use the following criteria to determine the winners: originality, technical design, and entertainment value. Judging location will not be announced in order to maintain the parade route integrity. YOUR UNIT NUMBER MUST BE VISIBLE on the PORT SIDE for your unit to be judged. PRIZES Cash Prizes will be awarded to boaters in the following FOUR categories and amount: Grand Prize - $1500 Runner Up 1000 Kids Choice - $1000 Most Sustainable- $500 Judging Criteria Evaluation is based upon imaginative use of design, costuming, color, people/characters, movement, activity, and props. Please design for entertainment value, to maximize the parade theme. Overtly commercial units that do not conform to the entertainment theme will be disqualified. 3 7
IMPORTANT DATES AND TIMES Sunday, November 22 nd - Registration Deadline at 5:00 p.m. December 12- Fantasy of Lights Boat Parade Presented by SRP NOTE: emails will be sent to all registered participants that detail each unit s specific load-in time: Noon 5:00 p.m. Participants launch watercraft - you will be notified of your specific load-in time, which will be assigned based upon the final parade lineup and order of show 5:00-5:45 p.m. Participants gather in designated area to prepare for parade lineup, as directed on site 5:45pm Parade launches at Town Lake Marina 6:00 p.m. Parade reaches Mill Avenue Bridge and official parade begins 6:45 p.m. Parade concludes 7:30 p.m. Event closes in Tempe Beach Park Awards winners names announced via email after the event concludes. Prizes will be mailed by the following Friday. RULES The Fantasy of Lights Boat Parade Presented by SRP has become a favorite, fun holiday tradition throughout the Valley of the Sun. To ensure the best experience for viewers and participants alike, the following safety precautions apply: 1. The Parade will provide a Lead Boat to set the pace of the parade. Absolutely no passing the Lead Boat. Boaters who deviate from the new parade route will be barred from future participation. 2. All units must stay in line order 3. All boaters must follow Tempe Town Lake rules and obey City of Tempe. Anyone not adhering to such rules and authorities will be barred from participation 4. During sunlight hours, boats must stay East of the Marina Entrance no farther east than Rural Bridge when not docked at the marina (sailboat classes are held during daylight between Mill and Rural) 5. Please follow all Arizona Game and Fish boating rules. 6. No alcohol consumption will be allowed on board any participating boat 7. Navigation lights must be on at all times after dusk 8. Due to the number of entries and limited space on the docks, please do not walk on the docks unless needed for boat access 9. Restrooms are available East of the boat launch area 4 7
10. City of Tempe Police have ultimate authority over boater conduct on Tempe Town Lake. Any boater reported by them to the Event for failure to cooperate with their authority will be barred from future participation. PHOTOGRAPHY Boats may be photographed by the event for promotional purposes. These images are the property of the event and by participating in this event you automatically authorize the use of any of the images that include your boat, passengers, etc. The event will post any images online for retrieval by skippers. Not all boats may be photographed. INSURANCE REQUIREMENTS All boats must be fully covered by insurance during the full period of production and performance. The Parade does not provide liability insurance for the protection of parade participants, spectators, vendors, or merchants engaged in these activities and does not assume or accept responsibility for claims filed as a result of them. Proof of insurance must be present in the boat at all times during your participation in this event. INDEMNIFICATION: Boat Entrant and Event hereby agree to indemnify and hold each other harmless, along with our respective officers, directors, agents, members, and employees, from and against any and all claims, demands, obligations, causes of action and lawsuits and all damages, liabilities, fines, judgments, costs (including settlement costs), and expenses associated therewith (including the payment of reasonable attorney fees and disbursements), arising out of: (1) the failure of Boat Entrant or Event, their employees or agents, to comply with the terms and conditions of these terms; (2) the negligent acts or omissions of Boat Entrant or Event and their employees, agents, or subcontractors; (3) the services performed or actions taken by Boat Entrant or Event and their employees or agents, including the operation and management of any event or activity incidental thereto. Each of our obligations to indemnify contained above will survive the expiration or termination of our sponsorship and the attached letter agreement.
