Education Backpack Overview The Education Backpack is a web-based file management system that provides each user with access to a personal Internet storage space. With the Education Backpack, students, teachers and administrators can store documents and access them from any Internet-connected computer; teachers can assign work for students to retrieve from the Education Backpack; and students can submit completed assignments to teachers. Teachers can also turn graded work back to the student s personal Graded folder. Figure 1 - Education Backpack Home View Auto-Folder Hierarchy The system will automatically build the folder hierarchy as described below when account is created and when any classes are created. My Files the user s private folder Public Files 1 - graphic & file storage [Teacher & Admins ONLY] Test Builder folder 2 Created to store any graphics used to create Custom Questions 3 Teacher Pages folder 4 Created to store any graphics or files posted on Teacher webpage 5 My Classes all class folders viewed only the Teacher & Students of their class New Assignments each Class folder has its private assignments folder to give to student Completed Assignments each Class folder has its private folder to turn in work Students Link allows teacher to see only students associated with the class folder to turn Graded work to student privately [Teacher & Admins ONLY] Graded Folder folder used for Teacher to upload graded work All Accounts view all user s private Folder [Admins ONLY] 1 This folder cannot be deleted, it is a system folder 2 The folder will only appear once there is graphics used in the Custom Test Question 3 Files removed from this folder will also remove the graphic in the Test Question 4 The folder will only appear once there is graphics or files used on the Teacher Page. 5 Files deleted from this folder will remove the graphic or file on the Teacher Page website. 1
Hitting the Storage Limit Once you have reached the maximum storage allotted, you will receive a message stating so. You will be shown the list of suggested files to remove to open more space in your Education Backpack. If you would like to just purchase more storage, please contact LearningStation at 1-888- 705-3276 or email LSCsupport@learningstation.com. You may buy extra storage per user level, Teacher, Admin or for a specific Grade if you do not want to purchase for all users. Storage Monitor Each time you add a document to a folder in the Education Backpack, it takes up a portion of your allotted storage space. The circular meter located in the upper right corner, above the toolbar, shows you and tells you exactly how much space has been used and how much is remaining. 1. Click on the Education Backpack tab. 2. View the storage meter to make sure you have space remaining. 3. If you attempt to upload a file that's too large or that takes you beyond your Education Backpack limit, a message will pop up to let you know. 4. If you do not have enough storage to add the file, either delete an unneeded file in one of your folders or reduce the size of your file by removing graphics or formatting, and click the Add File icon again. 5. Basic Tasks Login the Education Desktop and click on the Education Backpack Tab to open it. Upload files When a user uploads a file, the Education Backpack will leave the original file on the computer. The next time this file is downloaded, the copy will be saved to the computer in the location selected. If there is a file with the same name in the folder you are uploading it to you will have to rename the file you are uploading. 3. Navigate to the folder the file is to be saved in; open it 4. Click on the Add File Icon in the toolbar of the Education Backpack window 5. Click on the Browse button 6. Navigate to the file that will be uploaded. Click Open 7. Click the Upload File button 8. The selected file will begin transferring to the Education Backpack. When the transfer is complete 6, a copy of the file will appear in the File Name column. If you don t see the file in the list, click the Refresh button Download files Download a Single file 3. Navigate to the folder that the file resides in 4. Open the appropriate folder 5. Click the desired file s 6. Click Save 7. Navigate to where it will be saved 8. A copy of the file still remains in the Education Backpack until you Remove it Download Multiple files 3. Navigate to the folder that the file resides in 4. Open the appropriate folder 5. Check the box next to each file 6. Click the Download Selected Items button 7. The files will be downloaded in a Zipped Folder 8. Open the Zipped Folder to view the files downloaded to your computer 9. A copy of the file still remains in the Education Backpack until you Remove it Renaming Files After you add a file to Education Backpack, it's Name, Size and Date appears with a Rename button [a Pencil Icon to the right side of the table's row] for renaming the file. You may click on the Pencil Icon at any point thereafter to rename the file. 1. Click on the Education Backpack tab. 2. Navigate through your backpack to the file you'd like to rename. 3. To the right of the Name, Size and Date columns, click the Rename Icon. 4. An Explorer User Prompt box will appear, asking you to type the name of the new file in the field 5. Click OK, to create the new file, or Cancel, to return to the Education Backpack screen. 6. The Education Backpack will automatically refresh to show the new file name. 6 Wait until the file transfer is complete before closing the Education Backpack. If not, the file may not be fully loaded. 3
Deleting Files After you add a file to Education Backpack, a check box appears to the left of the file name. You may delete the file at any point thereafter. 1. Click on the Education Backpack tab. 2. Navigate through your backpack to the file or files you'd like to delete. 3. To the left of the file(s) Name, click the check box. [Check all boxes of the files in the folder that you would like to delete] 4. Click the Delete Selected Items button below the check box (es). 5. You will be asked to verify that you want to delete the file(s); this act is permanent and cannot be undone. 6. Click OK, to delete the file(s), or Cancel, to return to the Education Backpack screen. 7. The Education Backpack will automatically refresh to show that the file(s) was successfully deleted. Create new folders Users may create individual folders within the Education Backpack in order to organize their files. 3. Navigate and open the folder you want the new folder to reside in 4. In the Education Backpack s Toolbar click on the New Folder icon 5. Type the name of the new folder in the field and click the OK button 6. The Education Backpack will automatically refresh to show the new folder Renaming Folders After you add a folder to Education Backpack, it appears with a Rename button [a Pencil Icon] to the far right. You can click Rename Icon at any point thereafter to rename the folder. 1. Click on the Education Backpack tab. 2. Navigate through your backpack to the folder you'd like to rename. 3. To the right of the Name, Size and Date columns, click the Rename Icon (Pencil) to rename the folder. 4. A pop-up prompt box will appear, asking you to type the name of the new folder in the field. 5. Click OK, to create the new folder, or Cancel, to return to the Education Backpack screen. 6. The Education Backpack will automatically refresh to show the new folder name. Deleting Folders After you add a folder to Education Backpack, a check box appears to the left of the folder name. You may delete the folder at any point thereafter. 1. Click the Education Backpack tab. 2. Navigate through your backpack to the folder or folders you'd like to delete. 3. To the left of the folder(s) name, click the check box. 4. Click Delete Selected Items button. 5. A warning message will appear to verify you want to Delete the item(s) - click OK 6. The Education Backpack will automatically refresh to show that the folder was successfully deleted. *(Green Bar stating the number of items that has been removed) 4
Teacher Task To prepare the Education Backpack to use for Assigning, Retrieving and Turning work between Teacher and students in a class you must first setup your classes. Once a class is created the Class folder will automatically be created in the My Classes folder NOTE: If you have classes created in the LS Test Builder their folder is already created in the My Classes folder Create a Class Folder The class folder is only seen by the Teacher & Students of the class. 1. Login the Education Desktop 2. Click on the Teacher Tool Tab 3. Click on the Manage your Classes link 4. Click on the Create a new class link 5. Type the Name of the Class 6. Click the OK button 7. Click on the Add More Students link (bottom of the Class table that is on the right side of the screen) 8. Select the students from the list 9. Admin Task To limit the file types a user account can upload to the Education Backpack there is a setting that will allow you to enter a Block List of file types. (See Figure 3) Blocking specific types of files 1. Click the Education Backpack tab 2. Click on the Settings link 3. In the Education Backpack Settings section enter the extension of each file type you would like to block. [Do not type the dot only the extension name, such as exe] 4. To enter several extension names at once separate each with a comma such as: exe, jpg, gif Figure 3 - Admin View for Settings of Education Backpack 6
New and Completed Assignments folders The New Assignments and Completed Assignments folders may be used by teachers and students to exchange new and completed homework assignments and other types of files. Teachers create folders within the New Assignments and Completed Assignments folders submit files to students in the New Assignments folder and retrieve student work from the Completed Assignments folder. Students retrieve files from New Assignments and submit files to Completed Assignments. New Assignments folder Each Class Folder has its own private New Assignments folder that is only seen by the Teacher and Students that are associated with the class. Student Rights: Download only Teacher / Admin Rights: Upload, Download & Edit Download a Single file 3. Navigate to the folder that the file resides in 4. Open the appropriate folder 5. Click the desired file s 6. Click Save 7. Navigate to where it will be saved 8. A copy of the file still remains in the Education Backpack until you Remove it Download Multiple files 3. Student Rights: Upload only Teacher / Admin Rights: Upload, Download & Edit Post files (Assignments) Students may access the folders within Completed Assignments 7 to submit a document to their teacher. 3. Navigate to the Class Folder that the work needs to be turned in for 4. Click the Completed Assignments folder open the appropriate folder 5. Click on the New File icon 6. Click the Browse button to navigate to the folder where the file is located 7. Select the file name and click Open 7 Files in completed assignments folders may not be read or saved by students. 7
8. Click Upload File 9. The selected file will begin transferring to the Education Backpack 10. Once the transfer has completed, a copy of the file will appear in the File Name column 11. Click the Refresh button to view new files that were uploaded Turning Graded work back to Students Each Class Folder allows the Teacher to view all the students who belong in the class to view the student s private folders. There is also a Graded folder in each student s MY Files folder for graded work to be turned privately back to the student Student Graded Assignment Folder is for Graded work only. It will allow students to download only so they cannot alter the file content and upload it back to the graded folder. Graded Assignments Folder: Student Rights: Download only Teacher / Admin Rights: Upload Download & Delete Files and Create & Delete folders Students Link Student Rights: none they do not see this link in their class folder Teacher / Admin Rights: Upload, Download & Edit 1. Navigate to the Class Folder 2. Click on the Student Link 3. Student s My Files Folders will be displayed 4. Open a student s folder 5. Open the Graded folder 6. Upload the file 7. Click on the Student Link 8. Open the next Student s folder 9. Upload the file 10. Continue this process until all graded work is returned to each student 8

Open My Files folder 4. Open Graded Assignments folder (see Figure 4) 5. Download the file (save to the computer) 6.
