1 MANAGING CUSTOMERS In RealControl you have the ability to securely store card details on the system. Card details can be stored under individual Customer profiles when adding or editing a customer. To access this service, click on Customers in the navigation menu. You can search for Customers within the Search for Customers section at the top of the screen. 1.1 ADDING A NEW CUSTOMER To add a new Customer, click on Add Customer on the Customers screen. 3

All of the fields marked with an asterisk are mandatory fields which need to be populated before creating a customer Field Explanation Format Length Customer Ref The Customer Reference is a unique identifier. If you already have a customer numbering convention you may wish to use this as the Customer Ref in order to reference the customer. a-z A-Z 0-9 _ - 1-50 First Name The Customer s First Name. a-z A-Z 0-9 _ Surname The Customer s Surname. a-z A-Z 0-9 _ Email The email address of the Customer. Field Explanation Format Length Company The company name of the Customer. a-z A-Z 0-9 _ 0-50 Address The address of the Customer. a-z A-Z 0-9 _ City The city the Customer is in a-z A-Z 0-9 _ County The county the Customer is in a-z A-Z 0-9 _ 0-150 0-50 0-50 Country The billing country of the Customer. Predefined Predefined 1.2 ADDING A PAYMENT METHOD After the customers details have been submitted, the Customer Profile screen will be displayed. 1 To add a credit or debit card to the Customer's profile: 1. Click on the Add Payment Method on the Customer Profile screen 2. Give the card a reference so that you can uniquely identify it later. You are only able to enter card details for card types covered by your Merchant Service Agreement with your acquiring bank (Visa, MasterCard, etc.). For more information on card types covered on your account please contact the Realex Payments Support Team. 3. Enter the customer s card details on this screen and click Save Payment Method. Once the card numbers have been added to a customer s profile, you can no longer view any of the sensitive card details however, you can raise payments against these stored card details at a later date. 5

2 3 1.3 USER ACTIONS Depending on your User permissions, you may have some or all of the following actions available to you at the bottom of the Customer Profile screen. Title Edit Description Click on Edit to update the Customer details. Delete New Schedule Take Payment History If you wish to delete a Customer payment method, click on Delete. This will permanently delete the Customers payment details. Please note once a payer is deleted they will be completely removed from the application and you will not be able to call on their details at a later date for reconciliation purposes. This will give you the option of setting up a Scheduled Payment. This is used to create a schedule of regular payments from a customer s stored card. By clicking on Take Payment, you will be able to process a payment using the Customers stored Credit Card details. You can view the changes to the payment method by clicking on "History" 6

2 TAKING PAYMENTS In order to take payments from stored customers you will need to first go to the Customers section within RealControl. 1. Search for the customers profile by entering criteria relating to their details e.g. First Name: John, Surname: Smith. 1 2 2. Choose from the customers returned in the results above. 3. The Customer profile will be displayed along with the payment method which is saved with the details. Click Take Payment. 4. After clicking Take Payment, the below screen will appear allowing you to process a payment. 3 7

Note: If you wish to process a delayed transaction, un-tick Automatically Settle to the Bank. More information on Delayed Transactions, please see the RealControl Terminal User Guide. (Insert hyperlink here to guide in final versions) 8

2.1 VIEWING PAYMENT DETAILS After the payment has been processed, full details on the transaction can be viewed by clicking View Payment. Alternatively, this transaction can be also viewed in the Transactions section of RealControl. The Transaction Details screen will give you a full breakdown of the transaction information. You will also have the option of voiding, settling or rebating a transaction. For more information on how to void, settle and rebate transactions please see the RealControl Managing Transactions - User Guide. 2.2 SCHEDULING PAYMENTS The Schedule payment functionality allows you to set up a payment which will automatically run daily, weekly, monthly or yearly. To set up a scheduled payment for a customer, you will need to locate the customer within the Customers section. Once you locate the customer, click into their profile and proceed to the Payment Methods section. You will have the option of adding a New Schedule to their Customer Profile. 1. Click on More on the right hand side for more options. 2. Choose New Schedule. 9

2 1 2.2.1 Monthly Schedule The following options are available when setting up monthly scheduled payments: Monthly Every two months Every three months Every four months Every five months Every six months The following options are also available: Repeat until manually cancelled Repeat until a defined number of payments have been made, e.g. after 5 payments the schedule will complete. Repeat until a specific date. Below, the screen shows a monthly payment set to run every month on the first day of each month until the schedule payment is cancelled. 10

2.2.2 Daily Schedule The following options are available for running daily scheduled payments: Repeat daily until manually cancelled. Repeat daily until a defined number of payments have been made. Repeat daily until a specific date. This example shows an on-going daily payment that will repeat every day until cancelled. 2.2.3 Weekly Schedule The following options are available for scheduling weekly payments: Repeat weekly on a specific day until manually cancelled. Repeat weekly on a specific day until a defined number of payments have been made. Repeat weekly on a specific day until a specific date. This example shows a weekly payment which will be taken every Sunday until cancelled. 11

2.2.4 Yearly Schedule The following options are available for running yearly scheduled payments: Repeat yearly on a specified date until manually cancelled. Repeat yearly on a specified date until a defined number of payments have been made. Repeat yearly on a specified date until a specific end date. This example shows yearly payment to be taken on the 1st of January of each year ending until it is cancelled. 2.2.5 Repeats - Never The following option is available for running a single scheduled payment: Select a specified date when you want the schedule payment to run. This example shows a single payment to be taken on the 8 th of January. 12

2.3 MANAGING SCHEDULED PAYMENTS 2.3.1 Finding & Editing Scheduled Payments Scheduled payments can be amended in the Customers section of RealControl. You will need to locate the specified customer and click into their Customers Profile to edit a scheduled payment. When you have done this you will need to go to the Payment Methods section of the profile as below: 1. To edit a schedule click on Edit. 2. The screen below will display allowing you to edit the schedule details. 1 2.3.2 Cancelling a Scheduled Payment Having located the relevant Customer Profile and schedule, proceed to the Payment Methods section of the Customer Profile. 1. Click Delete. 1 13

2. On the Delete Schedule screen Click Delete to remove the schedule, or click Cancel to return to the Customer Profile without making any changes. 2 14
