Overview This document describes how to add new Events to the HFRS site, and configure the online booking options for the event. Sample pages which may be copied and reused exist at: http://hfrs.build.eibs.co.uk/eibs-designarea/event-calendar/book-onto-workshop/ This guide assumes that pages in this section have been populated with appropriate content prior to new events being added. Note that the Form element on this page also requires some configuration in regard to the subject line and content of a notification email which is generated when the form is submitted. 1 User Journey The end user view the Events calendar: The user clicks on the event they are interested in: To attend the user will click Book onto the event. A form is presented allowing the user to book: Ideagen PLC www.easysitecms.net 5
Once the form has been completed, the user is presented with an acknowledgement page. A notification email is generated from the form. Ideagen PLC www.easysitecms.net 6
2 Configuring the User Journey 2.1 Creating Event pages In the Design area an example of the booking form and the acknowledgement page already exist. For each new event copy this section: Go to http://hfrs.build.eibs.co.uk/eibs-design-area/event-calendar/book-onto-workshop/ -> Copy -> To -> select the Events section and click Copy section. Note: each page will require publishing. 2.2 Adding new Events To add a new Event go to Administration -> Apps -> Modules -> Events. Select the Events calendar and click Add: Note: that users with Write permissions for the calendar will be able to add new events via the page. Note: on the information tab you will see: This allows creation of the Book onto this event link. Enter appropriate linking text, and enter the URL of the booking form page as created in 2.1. 2.3 Configuring the Booking Form For each new event the booking form needs to be configured to detail this event. Go to Administration -> Apps -> Modules -> Forms. Select Event Booking Form (original), and go to Options -> Copy Form. Name the form for the new event and go to Options -> Template: Configure the Event element: Click Change to select the new event, then save the Form. 2.4 Configuring the Booking Form page Go to the Booking Form page as created in step 2.1. Edit the page and double click on the Form element: Select the required Form Name and enter the URL of the acknowledgement page. Save the form and Publish the page. 2.5 Form Browser The booking form will generate a notification email once the form is submitted. This is currently addressed to: csprotection.admin@hantsfire.gov.uk By default, this email does not contain data from the form: In order to view data from the form a link may be included in the email to a Form Browser page. This page will have been created when copying the section in step 2.1. On the Form element click Choose to select the Form Browser page: Edit the Form Browser page and double click the Form Browser page element: Ideagen PLC www.easysitecms.net 9
Select the required Form Name. Note that as the Form Browser page contain end users personal data it is ESSENTIAL that the Everyone read permission is removed from the this page. Go to Page -> Permissions. Click Disinherit, and uncheck the Everyone read permission. Click Update to save the new permissions. Ideagen PLC www.easysitecms.net 10
