Transcription:

To add a representative or gain access to a client account, the client and representative will both require: ONe Key ID: Your unique username and password, used to access ONe-Source. ONe Source for Business or Individuals: The first step in the account creation process. This account allows companies to access various Government of Ontario services, including those provided by the Ministry of the Environment and Climate Change. Ministry of the Environment and Climate Change (MOECC) account: The second step in the account creation process. It is where you will gain direct access to MOECC services including EASR registration and ECA applications. NOTE: Both the business and representative must have a unique ONe-Key ID/ONe-Source for Business profile in order to create a MOECC account and access to Ministry services. This will require a unique business name, accountable person name, and Single Business Number (if applicable). Through the MOECC Client Account Management System (CAMS), clients can add representatives to their account. This will allow the representatives access to the MOECC client account and be able to act on behalf of the business. Depending on the permissions set by the client, the representatives are able to apply for services on behalf of the business. The three types of permissions are: Delegated Authorities, Authorized Representatives and Financial Authority. A Delegated Authority is an individual with assigned permissions that has access to all services associated with the client account and can perform any actions on their behalf. They cannot edit business information. An Authorized Representative is an individual with custom permission levels who can oversee and manage the client s registrations and applications. They cannot edit business information. A Financial Authority is an individual that has customized permission levels that only allows them to perform payment-oriented actions on the client s behalf. In order for a representative to gain access to clients accounts, they must first be added to the client account and given permission. For the purpose of this process, please go to the pages indicated below that best reflect your situation for direction on how to either add a representative to the client account and assign permissions, or to request permissions and gain access to a business s MOECC client account. Client: Adding a Representative and Setting Permissions..Pages 2-11 Representative: Gaining Access to Client Accounts.. Pages 12-19 Page 1 of 19

Client: Adding a Representative and Setting Permissions 1. Go to ontario.ca/onesource and click on Log in. NOTE: To add a representative, you must know their first name, last name and email address as it appears in their ONe-Source account. To complete this process of adding a representative, there will have to be communication between you and the consultant that will be the representative acting on the business behalf. Please ensure you set a time that is convenient for both you and the consultant to complete the upcoming tasks seamlessly since information needs to be passed back and forth a few times. Page 2 of 19

2. From the ONe Source for Business profile, click the Ministry of Environment and Climate Change Tools link. Page 3 of 19

3. Click the MOECC Client Account Management System link. Page 4 of 19

4. From the Client Management Page, click My Authorized Representatives. Page 5 of 19

5. Click Add Authorized Rep. Page 6 of 19

6. Enter the first name, last name, and e-mail address of the representative. Click Search. Page 7 of 19

7. Once the system finds the representative s account, click Generate PIN. You will need to provide this 6 digit PIN to the consultant who will be acting as the business s representative. Write down the PIN and give it to the representative via phone or email. They will need to log into their account and redeem the PIN before you will see them in your list of representatives and be able to grant them permissions to the MOECC client account. Click My Authorized Representatives to go back to the list of representatives and wait for the consultant to complete their step in the process. Page 8 of 19

8. Once the representative has advised you that they have redeemed the PIN, you must now set permissions for them. They will now appear in the My Authorized Representatives list. Select the representative you want to set permissions for and click Manage Authorized Rep. Sztella Rep now appears in the list and has been added as a representative but does not have permission yet. Page 9 of 19

9. Permissions for EASR and Sites must be set. By default, EASR is the selected service in the drop down. Set permissions for the representative for EASR first then change the drop down to Sites to set privileges for it. The permissions a client account holder can give a representative are as follows: Delegated Authority: a representative with these permissions will have full access to all services associated with the client account and can perform any actions on their behalf (create, update, view, assign, attest and delete EASRs). They will not have the ability to modify client information Authorized Representative: a representative with this permission will have their permissions further customized by the business. The business has the ability to choose what permissions the consultant can have (create, update, view, attest and/or delete). For example: the business can choose to give create and edit permissions but not delete and attest permissions. Therefore, the consultant can view all EASRs, create and edit them but cannot attest, pay for or submit them that part of the process still resides with the client. Financial Authority: a representative that has customized permission levels that only allow them to perform payment-oriented actions on the client s behalf NOTE: When assigning a representative as an Authorized Representative, you must also select the specific action(s) that you want to grant to the representative (create, update, view, assign, attest, and delete). The view permission is automatically enabled if you choose any other permission. Page 10 of 19

10. Once you have set permissions for the representative, Click Submit. You have now added a representative to the MOECC client account! Repeat steps 5 through 7 to add additional representatives. There is no limit to the number of representatives that you can have on your account. Please always remember to obtain the representative s first name, last name and email as it appears on their ONe-Source account so that you can search for them and add them to the MOECC client account. The representative can now act on the business behalf depending on the permissions that have been set. You can also go back to the Manage My Authorized Representatives page at any time in order to change these permissions or add/remove representatives from the MOECC client account. Page 11 of 19

Representative Gaining Access to Client Accounts 1. Go to ontario.ca/onesource and click on Log in. NOTE: Before you can access the client s account they must provide you with a PIN. You will need this PIN for the next step. If you do not have the PIN or lost it, you can ask the client to generate it for you again. Page 12 of 19

2. From your ONe Source for Business profile, click Ministry of Environment and Climate Change Tools. Page 13 of 19

3. Click MOECC Client Account Management System. Page 14 of 19

4. From the Client Management page, click Redeem PIN. NOTE: You will only be able to redeem the PIN if you have provided your first name, last name and email address to the business you are working with and they have logged into their OneSource account and searched for your information, successfully returned your account information and provided you with the PIN. Page 15 of 19

5. Enter the PIN and click Validate PIN. NOTE: If the PIN won t validate, contact the business who gave it to you and request a new PIN. If you enter the PIN incorrectly too many times it will become obsolete and a new PIN will be required to access the client s account. Page 16 of 19

6. Client information will be returned. Confirm that the client information is correct. If it is, click Submit. Page 17 of 19

7. Your representative account is now linked to the client s account. Please advise the client that you have redeemed the PIN and request that they set permissions for you to access their account. NOTE: You will not be able to create EASRS or Sites until the permissions for both are set. To access multiple client account s you must repeat steps 4 through 7 for each client you want to be associated with. Click OK. Page 18 of 19

8. When switching between clients, and accessing My Sites and My Services for the clients you represent, be sure to select the appropriate Business Name (client) from the drop down list at the top of the screen. Page 19 of 19
