AP Coordinator Monthly Checklist Items highlighted in BLUE apply to the AP State Grant Award and districts should use the Request for Payment/Reimbursement form to request funds Items highlighted in YELLOW apply to the APIP Grant Award and districts should use the ES-2 Form to Request Payment/Reimbursement to request funds October, 2011 Verify Teacher Incentive, Bonus & Stipend Payment List & Return to A+ College Ready Verify Student Incentive Payment List & Return to A+ College Ready Plan student check celebration and report date to A+ College Ready Administer PLAN test Work with AP math, science, and English teachers to secure substitutes (at school/district cost) and to register for 2 day workshops Make sure all equipment purchases have been made and that teachers have equipment/materials/supplies that were ordered with state and A+ College Ready money APIP Schools: Work with District CSFO to request funds from the SDE for lead teacher stipend & two day travel using ES-2 form November, 2011 Attend AP Coordinator Training on November 4 APIP Schools: Work with District CSFO to request funds from the SDE for AP Coordinator travel to November 4 meeting.

APIP Schools: Work with District CSFO to request funds from the SDE for Travel for 2 day workshop using ES-2 form; make sure teachers complete travel reimbursement forms for mileage and meals at 2 day workshop Review available PLAN, ACT, EXPLORE, and other data sources to begin making lists of student names who should be recruited for AP or pre-ap classes for fall, 2012; involve AP and pre-ap teachers in this process Sign AP Coordinator letter of agreement and return to A+ College Ready APIP Schools: Ask AP teachers to create purchase list for $3,000 additional equipment/supplies and submit to A+ College Ready for approval; when list is approved by A+ College Ready, work with CSFO to request funds from the SDE December, 2011 Second Vertical Team Meeting for all three disciplines to be completed by December 31 Begin to look for State AP Grant Award to be coming to your district Work with CSFO to request AP Coordinator travel money from the State AP Grant to reimburse for November meeting Talk with AP and pre-ap teachers regarding suggestions for next year s schedule, including offering new courses that would support an increase in class enrollments Encourage attendance and check on arrangements for English Study Session 2 (administration of the mock exam) which will occur on January 7 Begin counseling individual students and parents regarding participation in AP and pre-ap courses for 2012 2013 school year Cohorts III and IV: Encourage AP teachers to register for APSI via the A+ College Ready website; Cohorts I and II: Have teachers who need to attend APSI submit a request to A+ College Ready January, 2012 Attend AP Administrator ACT/PLAN Data Training on January 17 (Birmingham) or January 18 (Huntsville); bring PLAN & ACT data; ask feeder middle schools to share EXPLORE about data with you and bring to meeting Work with English teachers regarding arrangements for mock exam on January 7 Work with CSFO to request AP Coordinator travel money from the State AP Grant to reimburse for January meeting

Make certain that ALL AP teachers have registered for APSI; open enrollment closes on February 1 and teachers are not guaranteed a seat after that date Begin proactively counseling individual students regarding AP and pre-ap classes based on the PLAN data Plan parent/student meetings where students will be recruited for AP and pre-ap classes (one parent meeting prior to registration) Encourage attendance and check on travel arrangements for math and science student study sessions Continue counseling individual students and parents regarding participation in AP and pre-ap courses February, 2012 Vertical team meeting three in all disciplines should be completed by February 28 Encourage attendance and check on travel arrangements for math and science study sessions Develop and announce plan for collecting money and having students sign up for the upcoming AP exams Birmingham, Huntsville & Tuscaloosa area schools: Impact Alabama/College First representatives will begin to contact AP Coordinators about recruitment for College First Summer Enrichment Program for preparation for AP Biology, Chemistry, Calculus, and Language to be held June 11 28, 2012 at UAB, UAH and University of Alabama. Impact Alabama/College First representatives will begin to speak to pre-ap classes to recruit students. Registration for Summer Enrichment will be on the A+ College Ready website. February 24 is deadline for submitting requests for accommodations for students with disabilities to the College Board Facilitate a parent/student meeting to recruit students to AP and pre-ap classes (one parent meeting prior to registration) Include spotlight on AP and pre-ap as students register for 2012 2013 classes March, 2012 Participate in AP Administrators call on March 7 @ 10:00 A. M. Use A+ Conference Bridge, 1.866.478.9375; access code 9947372# Order AP exams

Work with CSFO to request funds from the State AP Grant for AP exams using the Purchase Order submitted to the College Board for AP Exams Birmingham, Huntsville and Tuscaloosa area schools: Impact Alabama/College First representatives will contact parents of students who are enrolled in College First Summer Enrichment program June 11 June 28. Encourage attendance and check on travel arrangements for all Saturday study sessions Facilitate a parent/student meeting to recruit students to AP and pre-ap classes (one parent meeting prior to registration) Include spotlight on AP and pre-ap as students register for 2012 2013 classes Develop plan & administer the science and math mock exams during the AHSGE week, March 19 23. Math and science mock exams must be administered by March 23. Facilitate substitutes for math and science teachers attendance at the mock exam scoring the first of April April, 2012 AP Biology mock reading April 2; AP Chemistry mock reading April 3; AP Physics and Environmental Science reading April 4. AP Calculus and AP Statistics mock reading April 10, 11, 12. Specific dates for specific subjects TBD Birmingham, Huntsville and Tuscaloosa area schools: Impact Alabama/College First representatives will contact parents of students who are enrolled in College First Summer Enrichment program June 11 June 28 Birmingham, Huntsville & Tuscaloosa area schools: Deadline for registration for College First Summer Enrichment program is May 1 Participate in webinar on April 24 for specifics about administration of each of the math, science, and English AP exams Vertical team meeting four in all disciplines should be completed by April 30 Encourage attendance and check on travel arrangements for all Saturday study sessions Make final arrangements for the administration of the AP exams coming in May Cohorts III and IV: Encourage ALL pre-ap teachers to register for Laying the Foundation (LTF) summer training via the A+ College Ready website

May, 2012 Facilitate the administration of all AP exams (May 7 11; May 14 18) Monday, May 7 AM Chemistry & Environmental Science Tuesday, May 8 AM Computer Science Wednesday, May 9 AM Calculus AB and BC Thursday, May 10 AM English Literature Monday, May 14 AM Biology Monday, May 14 PM 12:00 Physics B & Physics C-Mechanics Monday, May 14 PM 2:00 Physics C Electricity & Magnetism Wednesday, May 16 AM English Language & Composition Wednesday, May 16 PM Statistics Submit preliminary registration numbers for AP math, science, and English courses to A+ College Ready Ask AP teachers to complete the A+ College Ready equipment/materials/supplies inventory and to create purchase list for needed items; submit inventory and purchase list to A+ College Ready for approval (should be done after the AP exams) Cohorts II, III, and IV: Once equipment purchase list is approved, work with district CSFO to request equipment money from the State AP Grant Award using completed purchase orders Cohort III & Cohort IV non-apip Schools: Work with the district CSFO to request money for Pre- AP Training Registration for LTF (invoiced by A+ College Ready) and AP Teacher PD (create purchase order to University of Alabama and/or Auburn based on registration) from the State AP Grant Award using the invoice & P.O. s as documentation APIP Schools: Work with district CSFO to create purchase order for APSI registration for the University of Alabama and/or Auburn and request money for summer training (Travel & Registration for APSI & LTF Workshop Travel) from the Federal APIP Grant Award using the ES-2 form Cohorts III and IV: Make sure all pre-ap teachers are registered for LTF training before they leave for school Meet with all teachers attending APSI and/or LTF training and discuss how travel expenses will be handled; disseminate PD forms and any other reimbursement documents APIP Schools: Determine how much of the $500 teacher stipend each of your teacher s has earned and work with the CSFO to request that money from the SDE using the ES-2 form; work with CSFO to disburse the stipends to AP teachers

June, 2012 June 11 June 28 College First Summer Enrichment program @ UAB, UAH and University of Alabama; Monday Thursday each week from 8:00 AM until 12:15 PM each day for AP Biology, AP Chemistry, AP Calculus, and AP Language June 18 21 APSI at Auburn University Calculus (all levels), Computer Science, Language, Literature, Biology, Chemistry, and Physics (Environmental Science teachers will need to go out of state for APSI) APIP Schools: Work with district CSFO to make sure teachers are reimbursed for travel to Auburn APSI. Request funds for APSI travel from SDE using ES-2 form. Cohort III Schools: $550 of meals, mileage, and lodging expenses for APSI will be covered by A+ College Ready. The same allocation will apply to teachers from cohorts I and II who submit a request and are approved for APSI attendance by A+ College Ready. Cohort IV non APIP schools/districts are responsible for teacher travel expenses to APSI. July, 2012 July 9 12 APSI at University of Alabama Calculus, experienced and Statistics, experienced July 16 19 APSI at University of Alabama Calculus, inexperienced; Statistics, inexperienced; English Language and English Literature Cohort III Schools: $550 of meals, mileage, and lodging expenses for APSI will be covered by A+ College Ready. The same allocation will apply to teachers from cohorts I and II who submit a request and are approved for APSI attendance by A+ College Ready. August, 2012 As students return to school, guard against drops from AP classes and encourage enrollment into AP classes for new students and students changing schedules APIP Schools: Work with district CSFO to make sure teachers are reimbursed for travel to Laying the Foundation Training. Request funds for LTF travel from SDE using ES-2 form. Submit date for all four vertical teams in all three disciplines to A+ College Ready by August 31 September, 2012 Vertical team meeting one should be completed by September 30 Send final AP math, science, and English enrollment with demographic breakdown to A+ College Ready
