Frequently Asked Questions for New Electric Mail Administrators 1 Domain Setup/Administration 1.1 How do I access the records of the domain(s) that I administer? To access the domains you administer, you first need to log in to the portal as an administrator. Next, navigate to Administration > Domains. 1.2 How do I change the location where my passed mail is sent? To change the IP or named server where your clean email is delivered, you first need to log into the portal as an administrator. Next, navigate to Administration > Domains > Domain Setup, enter your new IP / named server under SMTP Next Hop, and save your changes. Please allow up to an hour for your changes to propagate to all of our inbound servers each time you change your SMTP Next Hop. Go to Administration > Domain Setup > Domain Options and in the Primary Server text box you can enter the IP address or host name of where you would like you mail delivered to. 2
1.3 Where can I make additions to my recipient verification list? You can add users to your recipient verification list by going to Administration > Protection Setup > Recipient Verification > Add a user. As soon as you make the correct additions you can click Update Live Recipient Verification List. It takes 20 minutes to update. You can add users to your recipient verification list by going to Administration > Protection Setup > Recipient Verification > Add User. You can also import a list of users from a CSV file. 3
1.4 How do I add a new user? To add a new user, you first need to log in as the portal administrator. Next, navigate to Administration > Users > Add a User. In this field you may enter the user s email address and then a confirmation email will be sent to the user s mailbox. Go to Administration > Users > Add a User and enter the user s email address and passwords. The default privileges check box will use the domain s default privileges when creating this user. 4
1.5 How do I add multiple users? To batch add users, you first need to log in as the portal administrator. Next, navigate to Administration > Users > Batch Tools > Add New Users. In the text box enter the user names with a password comma separated and each new user on a new line. Go to Administration > Users > Batch Tools > Add New Users. In the text box, enter the user names and passwords, separated by commas (alternatively, you may upload a CSV file). If no password is used, a random password will be assigned. 5

2 SpamSMART/VirusSMART 2.1 How do I change the frequency of my users blocking reports (quarantine summaries)? Go to Administration > Users > Find/Edit/Delete User. Once you have found the user you'd like to modify, choose Blocking Report Prefs from the pull down menu below their name. Simply change the frequency of the blocking reports and select Update Blocking Report Preferences. 7

2.2 How do I whitelist a sender's email address and/or domain? To whitelist an address, either an email address or the entire domain, go to Administration > Business Rules > Quick Tasks > New User (or) Domain Pass Rule. If you select a user rule, this will only affect the user you are assigning it to. If you select a domain rule, this will affect all users at the domain you are assigning it to. You may then enter in the sender's email address, or domain and then add it to the pass list. To whitelist either an email address or an entire domain, go to Block & Pass and then select new pass (Allow) or new block (Deny) rule. You can now enter an email address or a domain name in either the Allow or Deny box depending on which rule you choose to make. Once the correct text has been entered in the box, then click on Allow or Deny to add the rule to the system. Once the rule has been added you be able to view it in the list below. 10

SPAM QUARANTINE 2.3 How do I release or forward a message from the portal? Go to Messages > Review Messages, then filter for the message that you wish to forward or release. Once the message is located there will be 2 links: one that says Forward and one that says Release." The release option will send the message to the original recipient s mailbox; the forward option will allow you to choose a new destination for the message. Go to Messages > Review Spam Messages, then filter for the message that you wish to forward or release. Once you have located the message you will need to click the link above it that says Report/Deliver/Allow Once you have clicked the link you will have the option to Deliver To Original Recipient or "Deliver To New Recipient. 12

3 Miscellaneous 3.1 Where can I monitor messages hit by sender authentication? Go to Administration > Protection Setup > Sender Authentication. You can filter for a messages based on the sender s name, sender s domain, sender s IP or IP block, receiver, and requested authorization date. Go to Administration > Protection Setup > Sender Authentication. REPORTS 3.2 Where can I view and export data about my domain? To view data based on your domain, go to Administration > Reporting > Report Generator. This tool allows you to choose report type, format, and a time from for the search. Once these criteria have been chosen then you have to option to display the information on your screen or to download the material. To view data based on your domain, go to Administration > Reporting > Report Generator. This tool allows you to select a report type and messages that are passed, rejected, low spam, high spam, and viruses. You can also specify a report format and date range. Once the criteria for the report have been selected you can display or download the report. 15
