E-mail :m.vashist@nic.in TENDER FOR DESIGN AND CONSTRUCTION OF INDIA STAND AT XXXIVVitrina Turística ANATO Bogota from 24-26 February 2016 The XXXIVVitrina Turística ANATO is being held from 24-26 February 2016 in Bogota, Columbia.. India Tourism, New York would be participating in the Exhibition by taking a space of 36 sq mts for setting up India Tourism booth. India Stand No. 2126-2128-2225-2227. A copy of the floor plan is enclosed. Besides, India Tourism, New York, there would be 5 Indian tour operators participating in the exhibition as co-exhibitors in the India Tourism booth. All in all there would be 6 participants including India Tourism Office. India Tourism, New York invites from interested stand construction agencies, a unique, user friendly and innovative design for India booth and cost (s) for construction of the same. The scope of work and requirements are given below: 1. Scope of Work i) To design a unique, user friendly and innovative stand for India at the Exhibition. The stand design must have elements of Indian theme and flavour. ii) iii) iv) Fabrication of India Tourism stand strictly following the specific guidelines of the Exhibition Organisers. To provide all required furniture and lighting, etc. for the entire duration of the Mart. To dismantle and dispose of the stand after the Exhibition is over. 2. Requirements for India Tourism stand.
i) Storage chamber with sufficient space to store cartons of brochures and a small fridge for storing drinks and food items. The Storage requires electricity supply for running fridge. ii) Each of the 5 co-exhibitors in the India stand will get a booth with a table having lockable storage, two chairs each on either side of the table, Small waste paper bin, proper lighting and power point to charge laptop and mobile phone. There must be sufficient privacy to enable them to conduct meeting at their booth. iii) There must be sufficient space within the booth for the co- exhibitors too move in and out of their booth. iv) India Tourism, New York is the main stand holder and must get more space in the centre of the stand with broader table for keeping brochures. In addition, in the middle of the India booth, there must be a rectangular / squarish table with at least 4 chairs to make presentation. v) The stand must have large format graphics portraying myriad tourism products of India (High resolution images would be provide by India Tourism). vi) A small fridge for storing drinks and eatables. vii) Carpeting of floor, if required. viii) The design of the stand must be attractive, appealing and user friendly. It should not give a cramped look. ix) Names of the co-exhibiting agencies along with their company logo to be printed on their booth. x) Design should include some kind of partition between the exhibitors to provide them privacy while conducting their business. xi) A large Incredible India Logo must be mounted on top of the India booth, which must be visible from a distance. xii) Agency must also indicate wattage of power required for the stand. The above are a few broader requirements. However, India Tourism would be happy to get more ideas and suggestions from the agencies. 3. Submissions i) Interested agencies may submit a short profile of the agency, details of jobs undertaken for other tourism boards / events, design (s) and concept for India stand as per the above requirements along with cost for design, construction and dismantle of the stand. VAT and Taxes should be indicated separately.
ii) All costs involved must be clearly indicated. iii) iv) Mode of payment must be clearly indicated. Design of the stand and the detailed quotes for stand construction may be submitted on or before January 10, 2016. 4. Award of Contract Award of contract for building India stand would be awarded to agency, which submits best design and lowest quote for the construction of stand. 5. Other information i) 100% payment in advance will not be given. However, India Tourism will consider, advance payment upto 50% before the construction of the stand. Balance payment would be given after the exhibition and after dismantling of the stand. ii) iii) It is the responsibility of the agency to strictly comply with the guidelines of the show organisers, in regard to material to be used for construction of stand and procedure for construction and dismantle of stand. India Tourism, New York will provide all graphics and Logos in high resolution files for use on the stand. 6. Enclosure a) A floor plan of XXXIVVitrina Turística ANATO 2016.
