Getting familiar with your Voipia IP Phone Buttons Line Selection Buttons: Your Voipia Office Phone has four (4) or six (6) line appearances. Each line appearance is active. All inbound calls start ringing on the first available line appearance with a Flashing RED light. When a line is in use, the Line Selection Button changes to GREEN. If a caller is placed on HOLD, the Line Selection Button will start flashing GREEN. Phonebook Button: The Phonebook Button will allow you to EDIT and SAVE Call information in to a contact list that can be accessed later for quick dialing. Action Feature Buttons: Each Voipia Office Phone comes with quick Action Feature Buttons to allow the user to easily Transfer or Conference calls, mute active calls or automatically send all inbound calls to Voicemail, managed an attached Headset, and Intercom a different Voipia Office Phone. Using the Transfer and Conference Buttons will be covered later. Muting a conversation during a call with block your side of the conversation from being heard by the remote caller. With a working Headset plugged in to the Headset button on the back of the Voipia Office Phone, you can answer and hang-up calls using the Headset Button. The Intercom Button is programed to automatically ring and open the speaker and microphone of a specific phone for your company. The Intercom Button is typically used by a Receptionist and Doctor, or by an Office Admin and Manager. HOLD, SPEAKER, and SEND Buttons: The HOLD button places an active call on hold. The associated call will begin flashing GREEN for its line appearance. You can take a call off Hold by pressing the associated flashing GREEN button. The SPEAKER Button answers a call on the phone s speaker, rather than the Handset. Pressing the SPEAKER Button again will hang-up the call. The SEND Button is the go button that tells the phone to start dialing. The SEND Button also acts as a Re-Dial Button and will re-dial the last number dialed. Speed Dial Keys: A Speed Dial Key can be preprogrammed to automatically dial a specific phone number. This programming is usually done by your Office Administrator or IT Support person. Voipia s Support Staff can assists you with the Speed Dial Key programming. To program the keys, you will need to have a computer logged on to the Phone Network and the Phone s Voipia Password. Voicemail Button and Indicator: Using the Voicemail Service will be covered later. The Voicemail Indicator will flash RED to let you know that you have a voicemail. -3 -
Making Calls with a Voipia IP Phone LINE Keys SEND / Redial SPEAKER Button You can make phone calls using the handset, speakerphone, or headset mode. During the active calls the user can switch between the handset and the speaker by pressing the Speaker button. To make a phone call. Take Handset or SPEAKER off-hook or press an available LINE key. The Phone Line will generate a dial tone. Enter the phone number Press the SEND key or wait 4 seconds. --------------------------------------------------------------------- You may also program the 24 Multiple Purpose Keys for speed-dial, or dial common numbers from your phone's Contact Address Book. -4 -
Receiving Calls with a Voipia IP Phone Inbound Call You can answer phone calls via handset or speakerphone. During the active calls the user can switch between the handset and the speaker by pressing the SPEAKER button. Incoming single call: Phone rings and the corresponding appearance LINE flashes RED. Answer the call by taking the Handset off hook, or pressing the SPEAKER Button, or by pressing the corresponding appearance LINE Button. Incoming multiple calls: When another call comes in while having an active call, the phone will produce a Call Waiting tone (stutter tone). The next available line appearance will flash RED. Answer the incoming call by pressing its corresponding appearance LINE Button. The current active call will be put on hold. -5 -
Transferring Calls with a Voipia IP Phone Holding Call TRANSFER Button SEND / Redial You can transfer phone calls to internal extensions or outside the office to Domestic US/Canadian Phone numbers. Blind Transfer: Press TRANSFER button, then dial the number and press the SEND button to complete transfer of active call. Attended Transfer: Press an available appearance LINE Button to put your active call on hold and open that new line. Dial the number you want and confirm the receiver is able to take a call. Once the secondary call is confirmed, press the TRANSFER Button and then the holding LINE button to transfer the call. Hang up the phone call after Transfer Successful is displayed in the screen. -6 -
Conferencing Calls with a Voipia IP Phone LINE Keys CONF Button You can Conference up to 5 phone calls to internal extensions or outside the office to Domestic US/Canadian Phone numbers. 1. Initiate a Conference Call: Establish the initial call connection With the Initial Call established, choose an available appearance LINE and call out to an additional person. Once the additional call is established, press the CONF Button and then press the initial holding call. Repeat previous steps for all other parties that would like to join the conference. 2. Canceling an established conference call. If after establishing a Conference Call, the user wants to break-up the Conference call, press the CONF button again or press the original LINE Button. This will resume a two-way conversation. 3. End Conference: Hang-Up or Press the HOLD key to end the conference call and put all parties on hold. -7 -
