Changes to the Griffith Portal Employee Self Service From 28 August 2008, Griffith staff will be able to update their bank account details and amend the net distribution of funds to selected bank accounts directly online. This is part of the upgrade of the Employee Self Service functionality within the Griffith Portal. 2
Why are we doing this? Employee Self Service is designed to give you on line access to disburse your net pay into your bank accounts. Until now, to enable Remuneration & Benefits to distribute your net pay into your nominated bank accounts, you have been required to submit a paper based form providing your bank account details and instructions as to how you want to have your net funds distributed to your selected bank accounts. 3
What are the benefits for me? This means you will be able to manage your own bank account and update details yourself, through the Griffith Portal rather than sending a form to Remuneration and Benefits staff for processing. The process will be much quicker and you have control over ensuring the correct the information is being entered on your behalf. 4
FAQ S Who can see this information? The only change as to how this information is handled is that you the Staff member can now see the information. How many accounts & distributions can I have? You should limit your accounts & distributions to 4. When can I make my changes? At anytime except during payroll process lock out period Monday to Wednesday of the pay week. What if I make a mistake? It is up to you to correct the mistake if a systems mistake you will be prompted to make the correction. How often can I make changes? You can make changes whenever there is a requirement to change your banking details. 5
Who can do this? All staff, fortnightly, fractional and casuals will be able to access this new self service functionality via the Griffith Portal, under the new look Employment Folder to be released on 28 August 2008. 6
What am I required to do? In the first instance, log into the Griffith Portal page and check your bank account details; you should clean up any outdated bank account details that you no longer use. You will only need to make alterations if your bank account details have changed; or You want to change how you disburse your net salary. 7
Where can I get help? The Job Aid which will available on the Griffith Portal, from the 28 August. It provides step by step information, including screen shots. Remunerations and Benefits can assist with Bank & BSB numbers that are invalid, and how to work through the process. EIS Assist ext: 55544 can assist you with Portal queries. 8
How secure is this? You will log into the Griffith Portal by using your staff number and your confidential password. You are responsible for ensuring that your passwords are adequately secured. The PeopleSoft system has inbuilt security that ensures your data is secure and cannot be accessed by unauthorised persons. 9
Why doing this is straightforward The Employee Self Service functionality has been developed to provide staff with the opportunity to manage their own bank account and nets funds distribution, without having to involve Remunerations and Benefits. There is a job aid provided, and other avenues of assistance should you require it. 10
The responsibility is yours You will continue to be responsible for the information entered regarding your bank accounts and disbursement of your net funds. This is why it is important that you check the information regarding your banking details is correct. Your funds will automatically distribute according to this information. 11
