Hatco Lead Management System User Guide General Notes: The Hatco Lead Management System (HLMS) is designed to work with modern web browsers, such as Internet Explorer 9 or newer, Firefox, Chrome & Safari. Older versions of Internet Explorer may not function as expected, and are not recommended. The new HLMS is built with a "responsive" design, allowing easy access from most mobile devices. Login: To login to the HLMS site, you may visit the URL below, and login with the same credentials used on the Hatco Registered Users site. Hatco Lead Management System: http://hatco.scangroup.net/ Figure 1 - Hatco Lead Management System Login Screen View Sales Leads: Once you have successfully logged in, you will be redirected to the "All Leads" page, which shows all the leads assigned to you. You may also return to this list from anywhere on the site by selecting the "View Sales Leads" link under the "Lead Management" menu located at the top of the page.
Figure 2 - All Leads List Page & View Sales Leads Menu Option Leads are initially sorted by Lead ID in descending order (newest leads at the top). You may click on any of the column header labels (Contact Name, Company, Event Date, etc) to sort by that column. You may use the colored tabs at the top of the page to filter leads based on their status: All, Open, Pending, Closed, Blacklist, or Duplicate. You may search for a lead by entering a keyword in the search box at the top of the page. Only the leads with the selected status will be searched. To view the details for a specific lead, you may click on a record in the list. Lead Status: When new leads are entered into the HLMS, they have an initial status of "Open". Once a lead has been viewed, the status is automatically updated to "Pending", as shown in figure 3 below. Leads will remain with a "Pending" status until they are deliberately specified as "Closed".
Figure 3 - Open Leads Automatically Change to Pending When Viewed Closing a Lead: To mark a lead as CLOSED, you must select a Rep Action, or specify Comments, and select CLOSED from the Lead Status section. If a Rep Action and/or Comments are specified, and the status is still set as PENDING an alert like the one shown below will be displayed. The goal is to have all the leads in a CLOSED status. However, there may be situations when you aren't able to CLOSE the lead right away, the status will go into PENDING and you will have to go back into the lead and complete your follow up and then CLOSE the lead. You can always go back into a CLOSED lead if necessary. If the lead remains in OPEN status, and no action has been taken, you and your Hatco Territory Sales Manager will receive a WEEKLY reminder email letting you know there are open leads that need be addressed. You may also choose the "Blacklist" or "Duplicate" status for a lead if applicable. Figure 4 - Alert Shown if Rep Action is Specified and Lead Status is set to Pending
Lead Details: When viewing the details screen for a lead, there are additional links & buttons located at the top of the page. The "Back to Lead List" link on the left can be used to return to the list page you were previously on. The two buttons located on the right side provide you with additional ways to share the information for the selected lead. By clicking on the "Email Lead Details" button, a text box will appear allowing you to enter an email address. By default, the email address associated with your login will be entered. Clicking on the "Send" button will email the lead details to the provided email address. Clicking on the "Text View" button will display a popup window containing the lead details in a format that can be easily copied & pasted into an email or Microsoft Word document. Figure 5 - Back to Lead List, Email Lead Details & Text View Options on Lead Details Screen You may edit or update the contact information for a lead by clicking on the "Edit" link in the Lead Contact Information section. When you have completed your edits, click the "Save" button at the bottom of the edit form. Figure 6 - Edit Lead Contact Information Export Leads: You may export leads from the HLMS by selecting the "Export Sales Leads" link under the "Lead Management" menu located at the top of the page.
If you leave all options as their defaults, all leads will be exported. If you do not want to export all leads, you may choose one or more Lead Source(s) from the dropdown provided. You may also select a specific Lead Status to further filter the exported list. Checking the Include Links option will include a "View Lead Details" link in the exported spreadsheet. Clicking this link in the spreadsheet will automatically sign you in to the HLMS and take you to the Lead Details for the selected lead. Click the "Export" button after selecting your options to export the leads to an Excel spreadsheet. Depending on the options selected, and the number of leads found, the export process may take a few moments to complete. Please be patient. Do not leave the page or click your browser's back button until the export process has completed. Note: When links are included, anyone with access to the spreadsheet will be able to use those links to sign into the HLMS using your credentials. Do not share these links with others. Figure 7 - Export Sales Leads Additional Resources: You may use the "Resources" menu item located in the top toolbar to access additional Hatco resources. These resources include the Hatco Registered Users Site. In addition, links for the Hatco Document Library & Order Literature sites are included, as well as a link to this document. The Document Library & Order Literature links will attempt to redirect you to the appropriate region based on your country.
Figure 8 - Resources Menu Logout: You may logout of the site at any time by clicking the "Logout" button at the top of the page. You will be logged out automatically after 15 minutes of inactivity.
