RFP No. DPS FY15 UC 1. The RFP states that the agreement will be effective for up to 36 months. Are you willing to have 2 additional 1 year extensions if everyone agrees? ANSWER: Yes, each annual extension would be contingent upon approval by school board 2. Are you asking for a Priority 1 Cloud Based Solution or a premise based solution? (With a Cloud Based Solution all of the common equipment located in the Cloud will qualify for Priority 1 funding. The phones/gateways and POE still fall under Priority 2. With a premise based solution, everything including the common equipment falls under Priority 2) ANSWER: Yes, we are seeking Priority 1 Cloud Based solutions. 3. Cabling Specifications: Is this a request for new cabling? Or is this a statement defining the existing cabling infrastructure? Answer: The proposed solution should include any additional cabling that would be needed to successfully implement the design. If our existing 62.5 MM fiber backbones are adequate for the proposed design then then additional cabling may not be necessary. Any new cabling should support at least 10 Gb/s up to distances of 500m. 4. How many fax lines are at each location Answer: Anywhere from 1 to 5. 5. Do you have Centrex/B1 lines that are used for connections to Alarm Companies and or/elevator Circuits? If yes how many per location? Answer: 2 per locations for fire alarms. Four location with elevator 1 per location. 6. Do you have external paging systems that will need to connect to the system? If so can you specify the location(s) and the type of equipment being used Answer: We have typical Bogen wall-mounted paging amplifiers at each site of various wattages. These are accessed by dialing a 4 digit extension in the PBX that connects to the PBX paging port. These amps will need to be reconnected to the new system. 7. Are you interested in leasing the phones vs- a capital purchase?

System Requirements: Call Traps (Ex: 911) please define Call Traps Answer: When a 911 call is placed then a pre-defined location inside the school that also gets notified. 9. DPS POE Switch requirements for IP Phones: The number of 48 port POE s adds up to 49 vs- 37? Please verify the number required. Answer: Correct count should be 49. 10. What type of email system is used by Dalton Public Schools? Answer: Microsoft Exchange 11. Does Dalton Public Schools have an established backbone WAN between all locations listed in the RFP? 12. If yes to 2 above, what is the bandwidth of this WAN? Answer: 1Gigabit/s to all major locations 13. Does Dalton Public Schools has assigned DID numbers, which can be used for new communications platform? 14. Is Dalton High School the primary data center for Dalton Public Schools, or is there a central data center which would support a centralized communications solution? Answer: Dalton Middle School 15. How many analog stations must be supported at each location? Answer: Currently we have up to 16 available at each location. 16. Is a centralized fax solution of interest to Dalton Public Schools? Answer: Please include as a separate line item. 17. Will Dalton Public Schools consider a hybrid solution, delivering digital, VoIP, and analog station services? Answer: We will consider all solutions that meet or exceed our requirements 18. Does Dalton Public Schools currently have structured cabling in each classroom? 19. Do you have diagrams for each site which requires structured cabling to be installed? Answer. Yes

20. Does Dalton Public Schools have any structured cabling standards in place, other than requirements as listed in the RFP? (i.e. cable and jack manufacturer) Answer: Panduit and Belden are preferred. 21. Will structured cable work be allowed to be completed during normal business day, with school in session, or will this occur during times when no school is in session, i.e. afternoons, summer break, etc? Answer: Structured cabling work must be scheduled to begin after the instructional school day (4:30 pm). In some situations the work can be done during the school day but only upon approval by the Director of Technology. Answer: Not while students are present. 22. Can you provide the type of paging systems at each school? Answer. Bogen TPU series wall amplifier. 23. The bid deadline is January 20th, MKL Jr. Day. Will Dalton Public Schools be open and on hand to receive submitted proposals this day? Answer: New deadline is January 27 th at 2014 24. Will Dalton Public Schools identify which component of the pricing erate and non-erate components, based on our itemized pricing schedule? Answer: No this will 25. In addition to data switches listed for each location, is there adequate space for rack-mountable equipment for telecommunications equipment allocated at each location? Answer: Dependent on number of rack spaces needed. 27. My VOIP integration partner is based out of Loganville, GA, which is just at the border of your 100 mile range requirement of offices. Will you consider a proposal with this in mind? 28. Can we get clarification on exactly how many phones, the RFP states, 1500, 1000 and 878. Phone count and location are as follows: Technology Annex: 21, Blue Ridge Elementary: 67, Brookwood Elementary: 65, Central Office: 38, City Park: 91, Dalton High: 154, Dalton Middle: 180, Morris Innovative High: 55, Maintenance: 15, Park Creek Elementary: 73, Roan Elementary: 64, Westwood Elementary: 55. These include standard phones and administrative phones for use by receptionists. Answer: The number handsets listed for each location is accurate.

29. Would you like to see the price for each bundle or a specific quantity that would fit the administrators vs. basic users Answer: Please submit pricing for each bundle 30. Which type of phones should we quote? Answer: The proposed handsets should have the capability to display a company directory that can be centrally managed and maintained. Administrative phones should have multiple lines with shared accessibility. 31. Is the district buying the phones outright or do they want to pay for them monthly? Give the choice if you want. Answer: Please submit a separate line item for but you have the option to submit the cost of phones as part of the monthly payment. 32. On page 13, what do you mean by call traps and customizable prefixes with 10 digit dialing? Answer: Refer to question 8 33. Is local survivability required? Answer: In the event of outage affecting WAN connectivity, the requirement is that all locations maintain the ability to send and receive calls both inside and out of the organization. 34. Are you currently using Option-11 Telephone system 35. How many Fiber pairs are connected between closets? Answer: One 36. Will all new Fiber need to run to exiting phone locations. In the event all PBXs go down during an emergency situation is there any other form of communication available? ANSWER: Each Principal has a single B1 in office 43. Are you using VLANS? ANSWER: Somewhat flat VLAN-1 - different subnets at each site with traffic routed between sites 44. Do you do call tracking or call recording? Answer: NO 45. Will the vendor install the rack and stack the switches or will DPS? ANSWER: Provide a line item for racking, stacking and patching. 53. Which sites will need new fiber installed? ANSWER: All sites with the exception of Dalton Middle School will need new Fiber installed. 54. Does DPS require encrypted UC communication within the LAN? ANSWER: This would be optional 55. Will the vendor do switch configurations and if so, how many VLANS? ANSWER: Vendor will install voice VLAN configuration in the switches. 56. Will DPS provide existing switch configurations as needed where a new switch is to be installed? ANSWER: YES 57. Which schools have digital phones connected directly (not through the cat 6 infrastructure)? ANSWER: Dalton Middle School, Park Creek, and City Park are connected directly with CAT3 Cabling or similar.
