2 Wissahickon School District Districtwide Phone System Addendum #2 May 20, 2013 Vendor Questions and District Responses 1. Q: Is wiring for every building CAT5? A: Yes, every building is CAT5 or higher. 2. Q: Can the proposed solution be a distributed architecture versus primary and secondary? A: The desired solution is a centralized architecture with high availability/redundancy vs. a distributed architecture. The desired solution will have a single point of systems management for each function (e.g. call processing, voic ). The only distributed equipment should be for remote site survivability as noted in Section Q: What is meant by a hybrid solution? A: A system that may use components that are not VOIP/IP Telephony based such as digital handsets, dedicated non-ip based system interconnects, etc. 4. Q: Remote Site Survivability - At remote sites this will require some trunking capability, how will this be accomplished? A: WSD will provide several two (2) POTS lines at each site that will be dedicated specifically to remote site survivability. 5. Q: What is the PECO damages item on page 10? A: This will be removed via an addendum/amendment. 6. Q: What about maintenance and service? A: An addendum may be issued for block of hours to provide pricing for ongoing maintenance and service. 7. Q: Where is labor to be itemized? A: An addendum will be issued to clarify where labor/professional services costs are to be shown on Attachment A - Pricing Worksheet. 8. Q: Who is responsible for phone setup (e.g. soft keys, any physical labels? A: WSD will perform all phone programming such as soft keys. WSD will print any labels required for phones. 9. Q: What specific functions are required with the Enhanced 911 feature? A: WSD wants to be able to be able to identify down to individual rooms within a building. Make sure to provide all functional capabilities of your proposed E-911 solution.
3 10. Q: Section 1.4 Gateways - are they currently in use or spares? A: They are spares. 11. Q: Section PoE - does the bidder need to verify PoE capacity of the existing switches? A: No, WSD will assume that responsibility. WSD will provide any additional information regarding current switch PoE capacity if requested by bidders. 12. Q: 1.11 SIP support - does this need to be day one? A: Only basic support needs to be day one, not a specific quantity of concurrent SIP trunk calls. 13. Q: Will an addendum specify how many analog lines are available and what gateways are available? A: Yes, this addendum specifies that WSD will have 2 analog/pots lines per building for option 2 remote survivability. 14. Q: What is connectivity between buildings? A: Dark fiber - 2 pair currently in use. 15. Q: Are PoE requirements outside the scope of the bid? A: Yes, WSD has specified what the existing PoE switches are, and the response must be able to leverage the existing PoE switches. Vendors must confirm their solution works with the District s existing PoE switches which are specified in the bid. In your proposal, please include your PoE requirements for each phone model. 16. Q: For IVR, is voice response truly a requirement or is touch tone acceptable? A: Touch tone is acceptable. Voice response is not a requirement, but can be an optional feature identified in the bid response. 17. Q: Will WSD extend demarcs for PRIs, analog, paging system, etc.? A: Yes, WSD will be responsible for extending any demarcs as needed. 18. Q: Is rack space and UPS taken care of? 19. Q: For survivability, how many licenses should be included? A: Three (3) minimum in each building. 20. Q: For SIP, do you want licensing included? 21. Q: IPv6 - is this a requirement? A: While IPv6 support is not a requirement for a bid response, it is a requirement from a strategic perspective for WSD.
4 22. Q: IPv6 requirement - what is WSD s implementation timeframe? A: Not relevant to the bid response. 23. Q: Is the 5 year total cost of ownership being included (e.g. warranty, software license fees, technical support, etc.)? A: An addendum will be issued to request a not to exceed value for a 5 year life cycle projection of support related costs. 24. Q: Does WSD want the system tied into AD for admin? 25. Q: Is WSD using Exchange? A: Yes, 2010 currently, planning migration to Q: Is WSD interested in using Exchange for voic ? A: No Voic as wave file 28. Q: Which Lync CALs does WSD currently have? A: Both Standard and Enterprise 29. Q: What about financing? A: Not interested. 30. Q: What about video integration? A: Not at present. 31. Q: IVR - is a simple call tree or does it require database integration support? Note that Auto-attendant vs. IVR has different licensing and different support from a Cisco perspective. Database integration - providing information on lookup of calling party information, previous interactions, etc. A: Auto-attendant is acceptable. IVR is not a requirement, but can be an optional feature in the bid response. 32. Q: Paging System are all systems linked together? How many are there? How many interfaces are required and what type are they? A: Paging System is a Telecor system. There are 5 locations, Middle School, Lower Gwynedd, Blue Bell, Shady Grove, and Stony Creek. The current phone system connects via IP over a Telecor VIP-800 network connection. Please contact Telecor if you have not connected the proposed phone manufacturer s system to a Telecore PA system before. Attached is a PDF of the document from the VIP-800 equipment. 33. Q: Can you provide more detail on the existing inter-building connections? A: 1 in use for data, 1 for phone system, 1 spare; currently have 1 Gbps will have 2 Gbps to each building after disconnect the old phone system, MS and HS have 10 Gbps.
