How to FTP (How to upload files on a web-server)

Ashgate FTP Web Login You can access our FTP site very simply via our web portal or by downloading a dedicated program (see pg. 6 below). 1. In your favourite web browser go to www.ashgatepublishing.co.uk. You will be presented with this login screen. 2. Enter the username and password which we have sent to you by email in the corresponding fields. Please note that the password is case sensitive and should be entered as provided. If possible copy and paste the password into the Password field. 3. When you have entered the username and password click the yellow Login button to enter the site. If you have entered your details correctly you will be presented with the following screen. 1

4. This is the home page of your FTP account. If this is your first visit then it will be empty (as above). Uploading files: Click the yellow 'Upload' Button to be taken to an upload page. If you created a directory (see pg. 4 below) you will need to choose it to upload into that directory. To do this click the 'List' button (found at the end of the 'Upload directory form field) and choose a directory. 2

To upload files click the 'Browse' button to select the file. If you have multiple files you will need to do this to each file you intend to upload. Once you have selected your files you can then upload them. To do this you click the Green tick marked 'Upload'. Your files will now upload to our server. If the total size of all of your files is very large or your internet upload speed is pretty slow then this process may take some time. There is no indicator to show how long the process is taking so please be patient. Once the files have uploaded you will be taken to an upload completed page similar to the following. If you have more files to upload please repeat the process. Once files have been uploaded to the server an email is automatically sent to your Ashgate contact alerting them to the file upload. Please note: if you are uploading multiple files or folders it will be easier if you Zip them all up. This is an easy process and instructions follow at the end of this document. Downloading files: If you have files from Ashgate that you need to download you have two options. 1. You can click each file and download them individually. You do this by clicking the filename which is represented as a hyperlink. 3

2. You can select each file by clicking the checkbox to the left of the filename, or if you want to download all files click the ALL hyperlink above the first checkbox, and then click the yellow 'Download' button on the right of the screen. This will gather all the files, put them in a Zip container and then download them. Please note: Extract the files from the Zip container before working on them (instructions follow). Creating a directory: If you wish to create a directory on the server click the yellow 'New dir' button on the home page. You will be taken to a new page where you can enter the names of your new directories. Once you have entered the name(s) click the green tick button to create the directories. Please note that you do not need to create any directories as your files will be segregated from other accounts. 4

Creating/Using Zip containers If you are uploading multiple documents you might want to consider Zipping them. This process gathers all the files/folders together and places them in one compressed container. It makes the upload process a lot simpler as you only have to upload one file, and sometimes it makes the total size of all files smaller as a Zipped file is compressed. The following is a guide for working in Windows, specifically Windows XP, Vista, 7 or 8. To Zip files/folders you should first select them. The easiest way is to gather all of your files/folders together and place them in a new folder. Once you have placed the files in this folder right-click on the folder, select 'Send to' and then select 'Compressed (Zipped) Folders'. Your files/folders will now be compressed into a Zip folder complete with a.zip extension. It is this file that you should upload. Note: you should never work directly from a Zip folder. Most programs experience problems when you open files from Zip folders so if you receive one please ensure that you extract the contents before working on them. To do this To extract files from a Zip folder just right-click on it and then select 'Extract All'. The contents of the Zip folder will now be extracted to the directory that the Zip folder currently sits in. If you have problems with any process in this document please feel free to contact us for advice. 5

Dedicated FTP client program - WinSCP Download: WinSCP is a secure copy program that has FTP capabilities. It is easy to use and you do not need to install it onto your computer if you do not want to. Please follow the instructions to download and use this program to connect to our FTP site. 1. In your search engine type 'winscp' (without the quotes) to search for the product. 2. In the list of searches find one of the following entries: winscp.net 3. Click the link 'Go to Downloads'. 4. If you intend to install WinSCP click 'Installation Package'. Go to 5. If you do not intend to install WinSCP click 'Portable executables'. Go to 6. Installation Package 5. Download the package and install it as you would any other computer program. Portable Executable 6. Download the package and move it to a folder on the desktop. 7. Extract the contents of the package into the folder. There will be approximately 4 items. When the instructions below state 'Open the WinSCP program' go into this folder and double-click WinSCP.exe, or the WinSCP with the blue/green arrow icon. Preparing: Get your FTP details ready. These will be: Host: ftp.ashgatepublishing.co.uk Username: <as provided in email> Password: <as provided in email> The password is case sensitive. Using the Program: 1. Open the WinSCP program. You will be presented with this screen: 6 2. Before you connect to the FTP it is recommended that you change a timeout setting. Please go to Preferences (left pane), then click the Preferences button, click Transfer/Endurance

(left pane) and uncheck Automatic reconnect session if breaks while idle. Then click OK. 3. On main window change the File protocol at the top from SFTP to FTP. 4. Enter the host name, username and password which were emailed to you into the relevant fields. Click 'Save' to save the details. Ensure that 'Save Password' is checked to save you entering the password at a later date. 5. Either click 'Login' or double-click your previously saved details (which are stored in 'Stored Sessions' in the left hand pane). 6. If you have entered your details correctly you will connect to our FTP site. You will be presented with the following window: This screen is a representation of both your computer and our FTP server. On the left side is your computer, the right side is our FTP server. The first time you connect to our server the right side will be empty, except for one icon that will appear not to work. This icon is used to 'go up a directory'. Because your account is locked to a 7

dedicated folder this icon will not work. The icon will only work when present in any folders you create. Please note: 7. Once you have logged in you can now transfer files. This is a simple process: To send files to us you need to find the files on the left hand side (your computer) and drag them across to the right hand side (our FTP server) and click Copy on the dialog box that appears. To collect files from us you need to drag the files from the right hand side (our FTP server) to the left hand side (your computer) and click Copy on the dialog box that appears. 8. Once you have uploaded or downloaded files you need to close the connection. To do this just close the program and agree to terminate the connection. 1. If possible, please Zip all of your files together before uploading them. This makes the file size smaller and the transfer quicker. 2. Our FTP site is not a storage area. Please ensure that you always keep a local copy of your files and that they are backed up. 3. Any problems please feel free to contact your Ashgate representative. They will pass any details on to the IT Dept to resolve your issue as quickly as possible. 8
