2 Purpose of this Document Important This document guides you or your IT staff through setting up your computers to use with CareTracker EHR. To ensure that all computers in your practice are operating according to the Network Readiness Form you completed during your Practice Management implementation. To ensure that all computers installed or upgraded in your practice are operating with the same application versions and set up information to have consistent functionality that supports CareTracker EHR. 4 Computer Requirements - Setup Redundant Internet Connection All practices must have a redundant (secondary, backup) internet connection in addition to the primary internet service provider (ISP) Example: T1 and DSL or DSL and Cable CareTracker is web based, so if your primary service provider line fails, your redundant internet connection can provide access to the internet and CareTracker which allows you to continue working and still have the ability to access the patient s electronic health records. Note: An Air Card is not considered a secondary or redundant internet connection because more than one computer, such as laptop and desktop computers in the practice may need to connect to the internet. 5 Computer Requirements - Setup Set your screen resolution to 1024x768 Right click on your desktop and choose Properties Click on the Settings tab to update Ingenix, Inc. 5

6 Computer Requirements - Setup Speakers: You need a computer with speakers to listen to CareTracker s recorded and live WebEx training sessions Microphones: Microphones are only necessary on computers if you intend to use voice recognition or directly dictate into CareTracker Ingenix, Inc. 6

7 Computer Requirements - Hardware Desktop, Laptop & Tablet Computers Operating System: Windows 2000/XP/Vista/ Windows 7 (with all current service packs & updates) CPU Processor: Pentium 4, 1 GHz or greater Physical Memory: Windows 2000 & XP: 1 GB Vista: 1.5 GB Windows 7: 1.5 GB Ingenix, Inc. 7

20 Computer Requirements - Internet Explorer Internet Explorer 8 Compatibility View Compatibility View must be turned on to display pages in CareTracker correctly You may experience any of the following symptoms in Internet Explorer 8 if not using the compatibility view Menus, images, or text are in the wrong positions on some Web sites Some Web site features do not work You receive script error messages on some Web sites Internet Explorer stops working or crashes on some Web sites Ingenix, Inc. 20

22 Computer Requirements - Software Active X CareTracker is a web based application and uses Active X controls as part of its web functionality Update internet settings to allow for Active X When prompted by the information bar, install Active X Ingenix, Inc. 22

23 Computer Requirements - Software Adobe Reader CareTracker uses Adobe Reader to view and print prescriptions, orders, and some on screen reports Once installed, the report appears in PDF format for printing or saving If you do not install Adobe Reader, you cannot view or print these documents Note: Navigate to Adobe.com to download/install the latest version of Adobe Reader Ingenix, Inc. 23

26 Computer Recommendations - Hardware Printers Consider the number of printers and placement of printers in your practice. Will each room have a printer? Will the printer be in a centralized area? Will you need to share printers? Label the printers to help your staff select the correct printer Ingenix, Inc. 26

Is a separate printer needed to print prescriptions for controlled substances using secure Rx paper? If using the same printers for various functions then establish which paper drawer of the printer is used for... plain paper that prints lab orders or other documents secure Rx paper that prints controlled substances Ingenix, Inc. 27

28 Computer Recommendations Internet Explorer Toolbars Un-Install Extra Toolbars Toolbars such as Google, Yahoo, AOL, Norton takes space on your internet viewing screen and will interfere with CareTracker functionality. It is recommended you remove extra tool bars and change them to Favorites in Internet Explorer to maximize screen viewing in CareTracker Right click on Toolbar to un-check links for the toolbar Click Lock the Toolbar when complete Ingenix, Inc. 28

30 Other Things to Think About Additional Accessories Have extra batteries and power cords in exam rooms if using laptop or tablet computers Have extra stylus pens for tablets Ingenix, Inc. 30

31 Other Things to Think About Security Dedicate a secure area to charge laptops or tablet computers each night Secure your computer: when not in use during the day if accessible to patients if accessible to other members outside your practice Secure your web browser by using Ctrl-ALT-Del or use other ways of securing your web browser How will you move your computers from room to room? 32 Other Things to Think About Sharing Computers and CareTracker Will each provider carry their own laptop or tablet from room to room? Will providers share computers or tablets and use a cart with wheels to push from room to room? CareTracker recommends using multiple user logins on a shared computer; check if your network supports this set up This allows each user to log into a shared computer using their own password Ingenix, Inc. 32

33 Other Things to Think About If you have a single Windows login, then each operator must log into Windows and open their own CareTracker session; Remember to log off Windows before leaving the computer unattended A new user must log into Windows and CareTracker with their own username and password Warning: If you open a second Internet Explorer Browser under the same Windows log in you run the risk of entering data under someone else s username by selecting their CareTracker session instead of yours Always view top right corner of your CareTracker session to confirm operator logged in is the actual user Ingenix, Inc. 33

34 Additional Printer Types - Dymo Printers Need to Print Specimen Labels? If your practice writes out specimen labels, consider using a Dymo Label printer Computers hardwired to the Dymo printer: Adjust print settings Use the drop down for printer selections to display all printer types Select the appropriate printer for the Dymo printer Ingenix, Inc. 34
