4 Adding a new record 1) Select the Business or Personal Directory by clicking on the Directory Tab 2) Click on the Add button 3) Enter desired information under the appropriate tab headings (Name/Phone, Addresses, Supplemental, Comments ). 4) Select the OK button to add the record. NOTE: The record added is filed according to the current Filing option thats selected (ie Auto file on, Auto file off). Please refer to the Filing Options help topic.

5 Backup database 1) Select FILE -> Backup Database 2) Select the destination folder for the Contact Wolf database files by double clicking in the directory tree. 3) Click on the Select button NOTE: This option saves a backup copy of your Contact Wolf database files. The backup copy will insure that you never suffer a data loss. It is recommended that you perform a Backup once/month to a floppy or other media device. Be advised that saving the backup files to your C:\ drive does not safeguard your database in case of a hard drive failure.

6 Categories Categories are a powerful option in Contact Wolf. It allows you to group records by categories that you create. Records assigned to any group can then be listed by selecting the group from the drop down menu next to the SEARCH button and clicking SEARCH. Only records from the selected category will be listed. You may then TAG all the records listed to send to, print a report, etc. You can assign up to a maximum of 4 categories to each record. When you Add or Edit a record you can add a new category by simply entering a category NAME in one of the empty category data fields available. When the record is added the new category will also be added if it does not already exist for the Directory (personal business, custom) currently selected. You can also Add/Delete categories by clicking on the button. toolbar button next to the SEARCH.

7 Contact Log The Contact Log is only available in the PRO version. The Contact Log allows you to save a dated detailed contact history for any record in your database. To access the Contact Log option and Add/Edit/Delete log entries. 1) Click on the Column Header in the Supplemental window to toggle the Supplemental window to the Contact Log window. 2) Right Click below the column header to open the popup menu and select from the Add/Edit/Delete options. 3) Enter information as needed into the Contact Log window and select OK to add the entry. To View a Contact Log entry: 1) Open the Contact Log window (see above) 2) Click once on the Contact Log item listed to select it and display its Log Notes in the Comments window in the bottom right corner of the Contact Wolf window. NOTE: Double click on the Contact Log item to open the Log window to edit the entry.

8 Copy a record 1) Click on an existing record in the Record List to select and load the record. 2) Click the Copy Record toolbar button The record can now be pasted into another location in the database... please refer to the Paste Record help topic for more information.

9 Delete a record 1) Click on an existing record in the Record List to select and load the record. 2) Click the Delete button WARNING: This option deletes the record permanently from the Contact Wolf database! The record once deleted cannot be recovered.

10 Edit a record 1) Click on an existing record in the Record List to select and load the record. 2) Click the Edit button 3) Add/modify info as desired under the Name-Phone/ Addresses/Supplemental/Comments sections. 4) Click on the OK button to close the Editing window. NOTE: The record is immediately updated upon closing the Editing window. The edited record is also immediately saved/updated in the Contact Wolf database.

11 Contact Wolf can send to a single or multiple recipients. addresses for a selected record are displayed in the Display List thats entitled " " in the main interface. To access an address : 1) Click on an existing record in the Record List to select and load the record. 2) Click once on the address in the List to select it. 3) Click on the button to the left of the List Box to launch your client and access the address selected. NOTE: The address selected should automatically be entered in the "Address" field in the client. To Add or Edit an address to an existing record please refer to the Edit a record help topic. Sending to multiple recipients : To automatically address and send to multiple recipients the Tag record option must be used to "Tag" (select) records. All records that are "tagged" will automatically have their primary address added as a destination address when the is sent. The primary address for a record is the *first* address. The primary address must be a valid address to be included. To send an to multiple recipients : 1) Tag the records to include in the list 2) Click on the button on the left side of the main Contact Wolf window

12 Exporting an list The Export Mailing List option provides users with a way to export a mailing list of "tagged records" to a text file that can be imported into a multiple mailing program. Multiple export format options are included. Users should refer to their mailing list software to decide which of the Contact Wolf export formats are compatible. To export a Mailing List: ( ing list) 1) Select records for inclusion to the ing list by "tagging" the records. Please refer to the Tagging a record Help topic for more information. 2) After all records have been added to the Tagged record List click on the Export Mailing List toolbar button 3) Select the format for the list text file 4) Specify the target text file name and path 5) Click on the OK button to export the file. The records that were "tagged" are exported in the format selected to a text file with a file name and path specified by the user. The exported file can then be imported into a mass mailing program.

13 Exporting the database Contact Wolf can export the Contact Wolf database in the standard comma separated value text file format (.csv). This format can be imported into other database programs. To export the Contact Wolf database in comma delimited format : 1) Select FILE -> Export -> comma separated value file 2) Select the Personal or Business directory option 3) Select the fields to be exported by clicking on the data field name so that a check is next to it 4) Select a target path and file name 5) Click on the OK button to export Exporting data using the Reports option: Each Report can also be exported into multiple formats (pdf, Excel, CSV, Lotus, Rich Text, Word docs, XML and more). To export the database using the Reports option: 1) Click on the Reports button 2) Select the desired report type from the drop down selection menu. 3) Click on the Reort Export button 4) Select a Report export format

15 Importing a database Contact Wolf can import text files when they are in the standard comma separated value format (.csv). Sometimes these types of files have different name extensions (.cdf,.txt ). The file name extension is not important as long as its a text file that has each data field separated with a comma. The first line of this text file MUST have the data field names so that Contact Wolf can match the imported data fields to its own data fields. After the matching/mapping process is finished each record is imported and added to the Contact Wolf database. An example of a standard comma separated value text file: Last Name,First Name,Street,City,State,Phone Rogers,Mark,6729 Fulton Ave,Stuart,Floida, Stewart,Mary,,,, NOTE: 1) Each line should have the same number of commas 2) Each record being imported must be on a separate line 3) Line #1 MUST be the data field labels Most database software programs can export comma separated text files. If the exported file uses quotes (" ") around each data field then the file must be edited and all the quotes removed before importing. ONLY commas must separate each data field. The Windows 98 Address Book exports a comma separated text file in the format used by Contact Wolf.

16 Paste a record To paste a record into the Contact Wolf database the Copy Record option must be selected first to specify the record to be pasted. Please refer to the Copy Record help topic for more information. NOTE: Where the record is pasted into the database is determined by the current Filing option selected for the directory thats currently open. If the auto file option is ON then the pasted record is automatically filed alphabetically and added to the database. If the auto file option is OFF then the record will be pasted and filed under the currently selected Alphabet tab (A-Z) and added to the database. Please refer to the Filing Options help topic for more information. To Paste and Auto file the record : 1) Verify that the auto file option is ON by selecting Preferences -> Filing Options -> Personal or Business -> Auto file on 2) Copy the desired record by using the Copy record toolbar button 3) Click on the Paste record toolbar button to add and auto file the record to the Contact Wolf database. To Paste a record to a desired location without auto filing: 1) Verify that the auto file option is OFF by selecting Preferences -> Filing Options -> Personal or Business -> Auto file off 2) Copy the desired record by using the Copy record toolbar button 3) Select the destination by clicking on the desired Alphabet tab (A-Z) 4) Click on the Paste record toolbar button to add the record to the Contact Wolf database.

17 Phone numbers Access dialing codes and delay options : The phone number thats entered into Contact Wolf can effect how the number is dialed by the dialing client software. Inserting a comma after the access code will cause the dialer to pause. Example: Lets say the user must dial 81 or 82 or 83 or 84 etc to access an outside line. Then must wait a short moment to receive dial tone from the central office before dialing the phone number. The user should enter 81,, as the telephone number in Contact Wolf. The commas give the desired pause interval so that dialing is accomplished. Example: Some state jurisdictions require the area code be dialed even for local calls. In this case the area code should be added to the phone number thats entered, i.e., The phone number thats entered into Contact Wolf is exactly the dialing code thats sent to the default dialing client software installed on the system. Contact Wolf integrates with the dialing client to make the phone call. If the call is not being made successfully the user should check the documentation with the communications software being used on the system to dial the phone number. Most users simply use the Windows Phone Dialer thats included with Windows to dial the phone number. The Windows Phone Dialer can be installed from the Windows CDROM. Dialing options for area code inclusion, etc can be adjusted from the Windows Phone Dialer menu options.

18 Phone Log The Phone Log stores information about any phone calls that have been placed from Contact Wolf if you selected to log the phone call. A phone Log window is displayed after the phone call is finished allowing you to log the call if desired. This phone logging option can be disabled if desired, please refer to the Phone Log options help topic for more information. To view the Phone Log : 1) Click on the Display Phone Log toolbar button To print the Phone Log to a file: 1) Click on the Display Phone Log toolbar button 2) Click on the Print button in the Phone Log window. 3) Select the destination folder for the Phone Log text file. 4) Click on the Save button to save the file to the destination folder.

19 Phone numbers and Dialing Telephone numbers for a selected record are displayed in the Phone Display List thats entitled "Phone" in the main interface. To dial a telephone number: 1) Click on an existing record in the Record List to select and load the record. 2) Click once on the phone number in the Phone List to select it. 3) Click on the Dial button next to the Phone List to launch your phone dialing client and dial the phone number. NOTE: The phone dialing client is your systems default dialing software. On most Windows systems the default will be the Windows Phone Dialer. (can be installed from your Windows CDROM) 4) After your call is completed, close your phone dialing client. 5) The Phone Log window will be displayed where you can enter a comment about the phone call and then log the call into the database for future reference. Please refer to the Phone Log help topic for more information. NOTE: To Add or Edit a phone number to an existing record please refer to the Edit a record help topic. To Add or Edit an extension for an existing phone number: 1) Click once on the phone number in the Phone List Display to highlight and select it 2) Click on the Ext button below the Dial button 3) Add or Edit the extension 4) Click the OK button

20 Record Viewer The Record Viewer allows you to quickly view all the records in your database. All data associated with each record is displayed in a table format that can be sorted by clicking on the column header. Records can also be Tagged from the Record Viewer (multiple records can be selected by holding down the ctrl key). To open the record Viewer: 1) Click on the Record Viewer toolbar button.

21 Reports The Report option allows viewing or printing of a formatted report of user data. Several report options can be selected from the report selection menu. To view or print a report : 1) Click on the Reports button 2) Select the desired report type from the drop down selection menu. NOTE: to print the report click on the Print icon at the top of the Reports window. TIP: Each Report can also be exported into multiple formats (pdf, Excel, CSV, Lotus, Rich Text, Word docs, XML and more). To export the database using the Reports option: 1) Click on the Reports button 2) Select the desired report type from the drop down selection menu. 3) Click on the Reort Export button 4) Select a Report export format

22 Searching Contact Wolf uses a powerful dynamic relational database to store records. The Search function accesses the database with a search algorithm that provides quick and accurate search results. The results of the search performed are always displayed in the Record List Box. The record can then be quickly displayed by simply clicking on the record in the Record List Box.. How to perform a search: 1) The Search box will accept keywords or phrases typed in by the user or you can optionally click on the small arrow at the right side of the search box to open a drop down list to quickly select a category of records to search for. 2) Click on the Search button to search the Contact Wolf database and display the results in the Record List Box. NOTE: The search performed is always directory dependant... i.e. ONLY records in the currently selected directory (Personal or Business) are searched. NOTE: For more information on how to add/edit Search categories please refer to the Search Categories help topic. Search Speed : Contact Wolf stores alot of information, searching all data fields in a fairly large database can be time consuming. To speed up search results the "Search Criteria" can be controlled. To configure what fields are searched click on the button labeled with a "?" next to the Search button. the fields that are relevant for the search. Select only

23 Search categories Search categories are assigned when a record is created or edited by clicking on the Category drop down list and selecting a specific category. Categories can be added or deleted for a directory (personal or business) by selecting the Add/Edit category button next to the Search button displayed in the main interface. The Search box will accept keywords or phrases typed in by the user or you can optionally click on the small arrow at the right side of the search box to open a drop down list to quickly select a category of records to search for. To add or delete search categories : 1) Click on the Add/Edit Category button to the right of the Search button. 2) Add or delete categories as desired. 3) Click on the OK button.

24 Tagging a record Tagging a record identifies individual records for printing, multiple deletion or exporting to an list.. This option is often used in conjunction with the "print only tagged records" option in the Print Options window. This allows the user to specify exactly which records in the Contact Wolf database to be included in the printout. Records may be tagged in both the Personal and Business directories. To tag a record: 1) Click on an existing record in the Record List to select and load the record. 2) Click on the Tag button 3) A message is displayed verifying the tag. NOTE: To display a list of the currently tagged records please refer to the Tagged records display help topic. To tag multiple records in the Record List : 1) Click on the TAG ALL button NOTE: Clicking again on the Tag button for a record that is already tagged will un-tag the record.

25 Tagged records display To display a list of the currently Tagged records: 1) Click on the Display tagged records toolbar button NOTE: records may also be un-tagged from the Display tagged records window. For info on how to tag a record please refer to the Tagging a record help topic.

26 Upgrading Contact Wolf provides free updates to all registered users. To check for new versions of the software click on the Upgrades menu option. Our direct download center will then be checked for any available updates for Contact Wolf. If a new update has been released you then will be given an option to download and install the update. NOTE: Please connect to the internet BEFORE using the Upgrades option.

27 Viewing a record Indivdual records may be viewed by clicking on one of the Name Fields in the Record List Box.The records displayed in the Record List Box correspond with records currently filed in the Contact Wolf database under the Directory and Alphabet Tab (A-Z) thats currently selected. To view a record in the database: 1) Select the desired directory by clicking on either the Personal or Business Directory Tab. 2) Click on the Alphabet Tab (A-Z) where the record is filed. NOTE: Alternatively you could use the Search option to find the record and load it into the Record List Box so it can be selected for viewing. 3) Click on one of the Name Fields of the record currently listed in the Record List Box. 4) The record selected is immediately loaded and displayed in the Contact Wolf main interface.

28 Website addresses Website addresses for a selected record are displayed in the Website Display List thats entitled "World Wide Web" in the main interface. To access a website address : 1) Click on an existing record in the Record List to select and load the record. 2) Click once on the website address in the Website List to select it. 3) Click on the Go button to the left of the Website List Box to launch your web browser and access the website address selected. NOTE: The Website address selected should automatically be entered in the "Address" field in the web browser. To Add or Edit a website address to an existing record please refer to the Edit a record help topic.

29 Filing options 1) Click on the Preferences menu option 2) Select Filing Options 3) Select Personal or Business 4) Select the Auto file on or Auto file off option. Personal -> Auto file on : Automatically files the added record in the Contact Wolf personal database alphabetically by Last Name. Personal -> Auto file off : Automatically files the added record in the Contact Wolf personal database under the currently selected Alphabet tab (A-Z). Business -> Auto file on : Automatically files the added record in the Contact Wolf business database alphabetically by Company Name. Business -> Auto file off : Automatically files the added record in the Contact Wolf business database under the currently selected Alphabet tab (A-Z).

30 Phone log options The Phone Log stores information about any phone calls that have been placed from Contact Wolf if you selected to log the phone call. A phone Log window is displayed after the phone call is finished allowing you to log the call if desired. This phone logging option can be disabled if desired. To enable the Phone Log Option: Select : Preferences -> Phone Log -> Log all phone calls To disable the Phone Log Option: Select : Preferences -> Phone Log -> Log all phone calls For more information on the Phone Log Display please refer to the Phone Log Display help topic.

31 Security Contact Wolf includes a Password Security option for each individual directory (Personal or Business). This option allows the user to password protect a directory and forbid access to viewing,adding,editing or deleting from the database. If the password protection is turned ON for a directory, the user will be required to enter the password each time the directory is accessed. If the user enters a non valid password, access will be denied. NOTE: Do NOT forget your password! If you forget your password the directory thats protected will be inaccessible! To enable password protection for a directory : Select: Preferences -> Security -> Personal or Business -> Password protect To disable password protection for a directory : Select: Preferences -> Security -> Personal or Business -> Do not protect

32 Display The Display menu option allows the user to change the display font and background color in the Name/Address, Supplemental, and Record List windows. (The Name/Address menu also includes an option on how to display the information in the window). NOTE: The font used for display in the Phone, and World Wide Web display windows cannot be changed. Selecting a font thats too large can cause the records information to be unreadable in the display window.

33 Show splash Contactk Wolf displays a Splash window when the program is first launched.only registered users can disable the display of the Splash window. To enable display of the Contact Wolf Splash window: 1) Select Preferences ->Show splash at launch -> Show Splash To disable display of the Contact Wolf Splash window: 1) Select Preferences ->Show splash at launch -> Do not Show Splash

34 Tray Contact Wolf allows the user to run the application from the system tray if desired. When Contact Wolf is executed from the system tray, it continues to run in the background in an idle state even when its window is closed. A small Contact Wolf icon will appear in the Windows system tray alerting the user that Contact Wolf is running. To run Contact Wolf from the system tray: 1) Click on the Preferences menu 2) Select Run from tray. NOTE: Contact Wolf will be executed from the system tray when next launched. To OPEN, CLOSE, or SHUTDOWN Contact Wolf when its running in the system tray: 1) Right click once on the Contact Wolf icon in the Windows system tray to open the tray menu. 2) Select OPEN to display the Contact Wolf window or Select CLOSE to close the Contact Wolf window or Select SHUTDOWN to terminate Contact Wolf. NOTE: Contact Wolf can also be opened when running in the system tray by double clicking on the Contact Wolf icon displayed in the Windows system tray. To stop Contact Wolf from running in the system tray: 1) Click on the Preferences menu 2) Select Do NOT Run from system tray. NOTE: Contact Wolf will NOT be executed from the system tray when next launched.

35 Display tagged records Tagged records are specific Contact Wolf records that have been selected. Tagging records is useful for printing specific records, deleting multiple records, or exporting records to an ing list for import into a mass mailing program. To print tagged records you must select the Print Tagged Records Only option in the Print Options window. Users may tag as many records as desired in any directory (personal or business). The Display Tagged Records option allows users to view all currently tagged records and un-tag them if necessary. To view the Tagged Records : 1) Click on the Display Tagged records toolbar button 2) To un-tag or tag a record click once on the record in the list to select it. 3) Click on the Tag-it or un-tag button 4) Click on the OK button For more information on how to select the Print Tagged Records Only option please refer to the Print Options help topic.

36 Label printing Contact Wolf can print one address repeatedly on all the labels or selected addresses that have been tagged on each individual label. Currently Contact Wolf supports several label formats specified in the label formatting window. The label format selected controls the number of labels printed per page and the label geometry. To print one address on all the labels: 1) Click on the Print Options toolbar button 2) Select the "Print labels" option in the "What to print" group. 3) Click on the Format labels button 4) Select the label type 5) In the "What to print on labels" group select the "Print one addrerss on all labels" option. 6) Enter the Address to print on all the labels 7) Click on the Select labels font button to select the font used to print the labels. 8) Click the OK button to close the label formatting window 9) Click OK to close the Print Options window. 10) Click on the Print toolbar button To print selected addresses (tagged records) on individual labels : 1) Click on the Print Options toolbar button 2) Select the "Print labels" option in the "What to print" group. 3) Click on the Format labels button 4) Select the label type 5) In the "What to print on labels" group select the "Print tagged records on labels" option. 6) Click on the Select labels font button to select the font used to print the labels. 7) Click the OK button to close the label formatting window 8) Click OK to close the Print Options window. 9) Tag the records that you want included in the label printout. 10) Click on the Print toolbar button

37 Print The Print toolbar button is used to make print-outs of Contact Wolf record data. The data printed is formatted according to the current options selected in Print Options. Users should first use Print Options to select "what and how" the record data will be printed, then select the Print toolbar button to send it to the printer. Please refer to the Print Options help topic for more information on formatted printing. If ONLY the displayed record is to be printed please refer to the Quick Print help topic. To make a formatted print : 1) Click on the Print toolbar button or

38 Print options The Print Options window is where the user specifies "what" prints and "how" it prints. All formatted type printouts are controlled by using the Print Options window. What to print : Print entire directory -> Print tagged records only -> Prints ALL records in the currently opened directory (personal or business) Prints ALL records designated as tagged using the' Tag button. Print records beginning with -> Prints All records in the currently opened directory that begin with the text entered. Personal directory uses Last Name for matches Business directory uses Company Name for matches. Print Labels -> Prints Labels for all "tagged" records or same label repeatedly. Note: Use Format Label button to select correct label type and change label options How to Print : Single column -> Prints data in one column. Double column -> Prints data in two columns Condensed -> Prints data in two columns in condensed format using a smaller font. NOTE: User selected font is not used in this format. Select Font button -> Allows user to select the desired font used in the printout. Select Fields button -> Allows user to include/omit specific data fields from the printout. Fields with a check mark next to them are included while fields without are omitted from the printout. # of Lines per page -> Defines the number of lines printed per page. If the Disable Auto Lines option is checked then the value entered is the max # of lines printed per page. Spacing between printed lines -> Defines the vertical spacing (in % font character height) between printed lines. Increase this value to add space between printed lines. If the Disable Auto Spacing option is checked then the spacing used is the value entered in % character height for the specific printing font currently selected. if the Disable Auto Spacing option is unchecked Contact Wolf calculates the spacing based on the printing font currently selected. Margin Settings:

39 Margin 1 -> Left margin - Defines where characters begin printing on the page. Enter margin value (1-100) in % page width (ie a value of 50 is the middle of the page). Margin 2 -> 2nd column margin - Defines where characters in two column prints begin printing. Enter margin value (1-100) in % page width (ie a value of 50 is the middle of the page). Margin 3 -> Top and bottom margin - Defines distance from top of page where characters begin printing and bottom of page where characters stop printing. 40 Quick print The Quick Print option is used to print out only the currently displayed record. NOTE: The Quick Print option does not format the print out using the inclusion/exclusion settings, ie. everything in the displayed record is printed.
