With the appropriate security access, users have the ability to view activity within the interfaces and address any potential problems due to cancelled or failed results delivery. They can also query the system for information, as well as monitor scheduled delivery and various audit logs. As shown in the diagram on the previous page, Copia integrates seamlessly with all laboratory departments including clinical and anatomic pathology, hematology, chemistry, microbiology, and other specialties such as molecular diagnostics. This robust interoperability provides a single electronic patient record for all laboratory results that can be automatically transmitted to any provider s EMR via an electronic interface. Copia is capable of handling multiple EMR interfaces from a variety of EMR vendors, and with the proper training and knowledge, Copia provides you with the tools to complete these interfaces on your own as you desire. Automated Order Routing Within a laboratory network with multiple lab locations, ordering tests can be a complicated process. In many cases, order entry involves multiple lab systems, even multiple workstations, and the user has to review patients insurance before routing the test. With Copia as the central test management system and master patient index, users place orders in their EMR or in a single order entry screen from any web-enabled PC, and Copia handles the location-dependent test codes, patient insurance, and lab routing preferences automatically.

4 Configurable Screen and Report Formats by Client Copia enables system administrators to configure screens and reports to fit the needs of individual clients. You can design Copia s order entry screen to appear in many ways, even down to what individual users see when they sign in. And, the laboratory can brand the system as their own portal product for marketing and business growth. In addition to the order entry screen, you may also configure column views seen throughout the program. This is a huge benefit to reference laboratories with multiple customers and types, allowing the reference lab to control what each of their customers see. Orchard Copia allows you to configure the look and functionality of many different screens in order to fit the needs of each of your clients. Flexible Rules-based Decision-making Technology Flexible rules reduce errors and aid in communication and decision-making, and they exist throughout the system for order entry, splitting orders, auto-approval of patient results, reflexing to additional testing, automatic comments, clinical follow-up recommendations, result delivery, and billing/cpt codes. You can define rules based on numerous data fields, such as by user, order location, test, or day of the week. Automatic Diagnosis Code Checking For those clients ordering via the Internet portal, during order entry, Copia reviews each order and identifies potential issues with reimbursements. Copia checks medical necessity, frequency, and ICD-9 codes for acceptability and flags questionable orders for review. When necessary, Copia prints an ABN in either English or Spanish. These checks happen automatically, saving time and maximizing reimbursements. During order entry, users can find valid diagnosis codes using an easy-touse search feature. This feature shows the user the previously used diagnosis codes for that patient as well as frequently used codes. Once selected, Copia will inform the user if it will pass ICD-9 screening by highlighting the code in either red or green.

5 Safe and Secure As for security, various settings in Copia provide all the necessary flexibility for maintaining HIPAA compliance. Username and password protection, along with the industry s highest level of data encryption, protect information from unauthorized access. Access To Results 24/7 Copia can be configured to automatically notify your providers by when new results are available. If necessary and with proper security clearance, results can be viewed outside of the EMR from any PC with web access. Providers can view the current result, the result with previous history, or even display a graph comparing all current and past results. Patient results display in an easy-to-use location inbox for anyone with appropriate security clearance to review, acknowledge, or print. Improve Access, Link Your Labs, Keep Your LIS Copia is designed to work with most existing laboratory information systems, allowing your organization to capture all the advantages of web-based outreach and EMR integration without investing in a new LIS. For multiple lab locations with different LISs, you can also use Copia to link the disparate lab systems and create a single depository database for patient results. Data Mining & Management Reports Copia s integrated data browser tools allow you to create ad hoc statistical and management reports directly from your PC without the requirement of a third party report generator. You can schedule reports to run automatically, as well as save specific criteria for future use. Additionally, the user-friendly interface does not require complex programming or the help of the IT department. Create reports in PDF format for printing or save them as a delimited file for further manipulation in spreadsheet or database applications. And because Copia utilizes a SQL database, if you choose, you can use any compliant third-party data mining tool. Using Copia s robust data browsers and built-in reporting tools, maintaining administrative reports is quick and easy. Browsers can be built and saved to run automatically on a pre-defined schedule to minimize user interaction. Additionally, you may run browser reports and deliver them directly to a provider s inbox to save time.

6 Accurate Remote Sample Collection With Copia, your phlebotomists can review patient orders from any PC with web access, and preview a draw list, generate a worklist, produce bar code labels, or complete a shipping manifest. Clinical questions, container type information, and personalized comments are presented on-screen or printed for each order, reducing errors and expediting collection. Sample collection can happen at any remote location with access to the Internet and valid security access to the Copia system. From the sample collection screen, users can print ABNs, labels, and requisitions, as well as add items to a collection list. Configurable Patient Report Formats and Consolidated Reporting Copia also offers configurable patient report formats to help distinguish your lab from that of competitors. You may also configure your reports to the needs of specific clients. Within a lab network, Copia automatically combines patient test results from one or more laboratories into a single report. With authorized access, providers may review current and historical results, both in quantitative and line graph formats. This improves the quality of reporting and facilitates informed decision-making. Report formats within Copia are configurable at the client level to fit their needs. Printed result reports may include colors, graphs, logos, and even patient photos. Historical result graphs within the system are configurable to show exactly what the client needs and can change on the fl y depending on the criteria selected.

7 Patient Portal Copia s Patient Portal module allows patients to sign into the system via the web and view a PDF of the report showing their laboratory results. To ensure patient privacy, patients must be given a unique user name and password to access their reports, and providers select which results may be released to the patients on the reports. Monitor Supplies, Client Services, and Activity Orchard Copia provides the ability to track supplies with its Client Services module. This module assists reference laboratories in maintaining regulatory compliance by managing client supply inventories in accordance to the Stark Law s provisions against improper inducements. Additionally, Copia Client Services allows you to track inbound calls, collect data, monitor the quantity of supplies provided to clients, run reports, and schedule phlebotomy and courier routes. Using Copia s robust data browsers, administrative staff can create report templates and run reports on client calls, supply orders, courier routes, and many other vital pieces of information regarding client services support.
