1 We are pleased to announce the release of DoubleTime Version 4.0. This new release incorporates significant enhancements, as well as cutting-edge, technological advancements. It is very important that you read these notes carefully so that you can take full advantage of all the new features offered in Version 4.0. WE VALUE YOUR INPUT. We are pleased to offer more exciting electronic features to our Fund members. Now, you can not only send your title insurance forms to The Fund electronically, but you can pay the policy premium remittance electronically as well! Payment can be made for the remittance as part of the Electronic Delivery process. Or you can pay the invoice after the Electronic Delivery process has taken place. You can even pay multiple invoices in one payment transaction. Payment is made via ACH (similar to a wire transfer) for the amount of the invoice(s) from the bank account you specify. Easy-to-use wizards step you through the simple electronic process. Your office administrator controls access to DoubleTime s Electronic Payment service via FundNet User ID s, Passwords, and access rights for your office staff using The Fund s web site. So, security is in your control. To learn more about how to use esolutions features, select Run Tutorial from the Help menu. Also, please see the Electronic Payment, Premium Calculation (Rating), and Preferences sections below for more information. RA-Connect RA-Connect Import Feature. RA-Connect is a web-based, Nationwide transaction management system that is 100% agent-centric and is the product of RealAlliance. The RA-Connect application allows you to send and receive transactions through the RealAlliance Network and further allows you, your lenders, borrowers, sellers, and Realtors to order, post and pass information and documents securely through the Internet. In a typical RealAlliance transaction, a customer enters an order through the agent s web site. The agent then views the transaction and routes it through the network to an importing RealAlliance agent. The importing agent accepts the order and begins to process the transaction. Throughout this time, the original exporting agent, as well as the customer and lender, has the ability to track the progress of the order. As an importing agent, you will also have the ability to import an RA-Connect transaction directly into DoubleTime. As a member of RealAlliance, one of the first functions you will perform is to set up users for your RA-Connect account through your web site. You can limit what each user s abilities are by designating their user type. To learn more about RA-Connect and how it works, please access the RA- Connect Agent User Guide from the Help menu. 2 Clause Library 2004 Standard Commitment Clauses. The Standard requirements and exceptions clauses in Clause Library have been updated to match the 2004 SCC Handbook edition. Closing File Buyer/Seller Name Changes. You no longer have to go into the Contacts module to change the name of your buyer or seller. Just double click on the buyer or seller name, make your changes, and click OK! The name is updated automatically throughout the file. The name is also updated in the Contacts module. Signature and Notary Block Updates. Please note the following improvements to the signature and notary block (as a reminder, Signature/Notary is also available in the Documents module): Title Field. The Title field for signatories in Signature/Notary is now editable. It is no longer necessary to access the Title List in Maintenance (Lists) to add new titles to the selection list. This change has been available via web download. Trusts. The default signatory for trusts is now the same as the language that is in the Buyer or Seller Name(s) with Status field. Partnership. The signature block was building incorrectly when the partnership had a trust as a partner. This has been corrected. Unknown Signatory. For the signature block, you can now associate the unknown contact to multiple signatories for contact types other than Individuals. Closing File Number Restricted Characters. For all new closing files created in version 4.0, you may see that certain characters are no longer permitted in the file number. Most systems have some restricted characters, and, due to our integration with a variety of other systems, DoubleTime must now follow suit. Therefore, the following characters are no longer permitted in a file name: apostrophe, colon, left and right brackets, forward slash, exclamation, caret, pound, percent, ampersand, double quote, less than, and greater than. If you include any of these characters in the file name, you will receive a message upon saving to remind you to remove them. New Recording Selections. New selections are available in the Book Type list on the Recording tab on the Property tab. For example, Condominium Plat, Miscellaneous, and Unrecorded Plat are now included. A (None) selection has also been added. This selection list is also available on the Recording tab in the Master Property module. Source File. A new Source File field is located on the General tab. When a closing file is copied, the Source File field displays the closing file number which was copied. Closing Statements New Buyer s/seller s Combined Closing Statement. There s a new closing statement available a combined Buyer and Seller Closing Statement in a non-hud format. This is especially useful for commercial transactions. You can access this new closing statement under the Reports menu, or click the Print icon and select it from the Print What list. Page 2 of 11 7/15/2004

3 Closing Statement Reports Name Revisions. Some of our standard closing statements have been renamed to more accurately describe them. As a reminder, you can batch print HUD reports by clicking the More button on this window. This new feature allows you to set up HUD defaults (amounts and payees) for specific lenders. The following HUD lines are available to specify defaults: 800 section, lines 1005, 1112, 1113, and 1303 through To change the default payee, just click the Search Contact icon. If the lender changes, you can replace all the previous lender fees with those specified in the new lender s template. Initial set up of a template is done under Modules Closing Statement Template Maintenance. Postal Code. The last four digits of a nine digit postal code now flow to the closing statement reports. Surtax. Closing Statements will no longer prompt for Surtax on a Miami-Dade property if the Closing File Type is Refinance. This change has been available via web download. Contacts Contact Type Adding New Contacts. The button for adding new contacts is now disabled when the Contact Type is All. To add a new contact, you must select a Contact Type other than All. This change has been made wherever new contacts can be inserted, such as the Closing File and Closing Statements modules. Documents New Batch Feature. You ll notice a new button on the Closing Document Selection window . You can now batch documents together to send in a single ! Just select the documents you want to send by holding down the Shift or Ctrl keys (the same way the documents are selected for batch printing), and click the button. You ll be asked if you want to compress or zip the documents. Clicking Yes creates a zip file that contains all the selected documents, resulting in a smaller file attachment. The format of the document files is dependent upon the selection for Format in Preferences User Settings (TIFF or PDF). Page 3 of 11 7/15/2004

4 Updated Non-Foreign Certification Language for Entities. The language in the Non- Foreign Certification for Entity Transferor master document has been updated to reflect changes to the Internal Revenue Service regulations. Suggested language was published in the October 2003 edition of the Fund Concept and that language is now incorporated in DoubleTime s version. For more information, please see the October and December 2003 editions of the Fund Concept. New Master Document Attachment to Mortgage Payoff (Refinance). This new Master Document has been added and should be used for payoffs in a refinance file. You can continue to use the existing Attachment to Mortgage Payoff document for sale transactions. Endorsement Dates. In order to match The Fund s paper endorsement forms, the dates have been removed from the bottom of all endorsements, with the exception of the Assignment of Mortgage, Construction Loan Update, and Form E (General) Endorsements. Please contact The Fund s Underwriting Department if you have any questions. Fund Branch Order Form. This form has been updated to include new delivery options. What s more, you can choose to receive a Fund Data File for the Title Search Report and Commitment branch products when they are delivered via ProPel or . This option allows you to import product data into a DoubleTime file. For more information, please see the Import Fund Data File Branch Products section. Addition to Mortgagee Policy Documents. The Loan Number field is now in the footer on Schedule A of the Fund Mortgagee and Mortgagee Leasehold policies. The Loan Number field was already on the Schedule A of the Mortgagee Short Form Policy. View Field Names. The View Field Names option is now turned off when opening the Documents module. In order to view the field names, you can click the View Field Names icon on the secondary tool bar, select the View Field Names menu option, or hit the hot key ALT F9. For printing, even if you have the View Field Names option turned on, the data, rather than the field names, will print. Picture Menu Item. An important, behind-the-scenes change was made to the Insert Picture menu item. For those who insert their company logo or other pictures into documents, if the picture file size was very large, performance could be impacted, and the database size could grow very large. Now, when using Insert Picture, the file will not actually be embedded in the document, which will keep the size of the document small and not impact performance. For network users, the picture file must be stored on the network and accessible to all DoubleTime users on the network (as opposed to on your own hard drive). If you copy and paste a picture file into a document (as opposed to using the Insert Picture menu item), then the file will be embedded in the document. This method should not be used for the above reasons. This change has been available via web download. Spell Check Changes. The following changes were made: Replace All. When using spell check, Replace All was only correcting the first occurrence of the error and ignoring the remaining occurrences. This has been corrected. Saving Changes. When making revisions to a document and then using Spell Check, if no changes were made during the spell check process, there was no prompt to save changes when closing the document. Now, you are always prompted to save changes upon exiting after using Spell Check. This change has been available via web download. Page 4 of 11 7/15/2004

5 esolutions Electronic Payment DoubleTime Version 4.0 New esolutions Electronic Payment Feature. While electronic payment is available as part of the Electronic Delivery wizard (see the Premium Calculation (Rating) section below), there is also a new Electronic Payment selection available on the esolutions menu. What s the difference? In the Electronic Delivery wizard, payment can only be made for the policy premium for the transaction that was just delivered. In the new Electronic Payment option, you can pay for multiple invoices across closing files, as well as for individual files. This new function should be very useful in firms where only some users are designated as being able to make payments, such as bookkeeping staff. Invoice Selection. Once the appropriate access rights are set in FundNet (see the Electronic Delivery Tab Enable New Users for Electronic Payment Here section under Preferences User Settings), just select Electronic Payment from the esolutions menu. You can select invoices by Title Agent, Agent Branch Address, Closing Date or Invoice Date range, and Closing File Number. The default is by Invoice Date. The default To date is the current date, and the From date is a week prior to the current date. Only invoices that have not been paid electronically are displayed. You can select the invoices you want to pay by clicking the Select check box for each invoice, or, if you want to pay for all the displayed invoices, you can use the Select All icon. Electronic Payment Wizard. Now that the invoices are selected, just click the Payment icon to open the Electronic Payment wizard. The first panel displays the total number of invoices that were selected, as well as the total payment amount. After logging in with your FundNet User ID and Password, enter the bank account information, which is the bank account number, the nine-digit routing number, and the name of the bank. You can use the Get Accounts button to select a bank account from those that are set up in Account Maintenance in Preferences. You can also specify a default bank account for electronic payment in Account Maintenance by checking the epayment check box (for more information, see the New Electronic Payment Fields in Account Maintenance section below). Once your bank account information is entered, click the Submit Payment button and you re done! Just print the Invoice Payment Confirmation for your records. You can also print the invoice(s) with the payment Confirmation Number from Fund Policy Premium Invoices in the Reports module. Help. The are available under Help. You can use the handy bookmarks on the left to quickly access the section in which you re interested. New Feature Check for DoubleTime Update. Periodically, updates to the current DoubleTime release are made available on When an update is made available, a broadcast is sent to DoubleTime News subscribers. Instead of going to The Fund s web site and logging into FundNet to download the update, now it s faster and easier to obtain by using the Check for DoubleTime Update menu option. You can use this feature to check for an update at any time. If there s no new update, you ll receive a message that tells you that you have the current version. Page 5 of 11 7/15/2004

6 Updated FUND Title Notes & SCC Handbook. The online Title Notes and Clauses Handbook, accessible via the TN SCC icon or the Help menu item, have been updated to include the latest revisions. Not only are the updated books included in PDF format, the standard clauses are also updated in Clause Library. Support Link. As a reminder, a link is available under the Help menu to take you directly to the DoubleTime support area of The Fund s web site ( Select DoubleTime Support Website and, after logging in, the support area allows you to access DoubleTime FAQ s (Frequently Asked Questions), DoubleTime updates as they become available, and helpful links to other sites, including Fannie Mae, Freddie Mac, and other support sites. You can even ask a support question via . New RA-Connect Link. A new link, RA-Connect Agent User Guide, is available under the Help menu to take you directly to the User Guide. This Guide provides you with valuable step-by-step instructions for establishing your RA-Connect account and managing RA-Connect transactions. Updated Tutorial Available. This tutorial explains how to use the esolutions features for Fund Forms: Electronic Delivery and Electronic Serial Numbers, and it now includes our newest esolutions feature Electronic Payment. Just select Run Tutorial, and see how easy it is to put all these features to work for you! Import Fund Data File Branch Products. Coming soon to a branch near you! If you order Title Search Reports or Commitments from a Fund branch, you can also request a Fund Data File. With a Fund Data File, you can import the data from the product into a new or existing DoubleTime File no more having to retype all those exceptions! You can import other information as well, such as Buyer and Seller Name(s) with Status, lender name, legal descriptions, etc. Just select File Import Fund Data File From File. Select the file you wish to import, and then indicate whether you are importing into a new or existing DoubleTime closing file by entering in a new closing file number and closing type (Sale or Refinance) or browse for an existing file. You can deselect any information you do not want to import into your closing file. Once you click the Save icon, you re done and the data is now in your file. To take advantage of the time-saving features of the Fund Data File, be sure to order the product via the or ProPel delivery options. Note: The Fund Data File s file extension is.fpx. RA-Connect. Once the RA-Connect import feature is enabled (see the RA-Connect Tab Enable RA-Connect Feature Here section under Preferences User Settings), you re ready to import an RA-Connect transaction directly into DoubleTime. You can import an RA-Connect transaction into a new DoubleTime file or an existing closing file. Select File Import Fund Data File From Internet, then choose RA-Connect as the originator. To access a list of transactions, click the Go button. Select the transaction you wish to import, and then indicate whether you are importing into a new or existing DoubleTime closing file by entering in a new closing file number and closing type (Sale or Refinance) or browse for an existing file. You can deselect any information you do not want to import into your closing file. Once you click the Save icon, you re done and the data is now in your file. Page 6 of 11 7/15/2004

7 Maintenance (Lists) Update to Recording Fees. The Florida Legislature has passed Senate Bill 2962, which increases fees for various litigation filings and public records recordings. Effective June 1, 2004, the bill increases the Official Records recording fee for most documents by $4 per page. Thus, recording fees become $10.00 for the first page and $8.50 for each page thereafter for each document. The Recording Fees Tax table is now updated with the new fees for all counties in the state of Florida. Master Property New Recording Selections. New selections are available in the Source list on the Recording tab. For example, Condominium Plat, Miscellaneous, and Unrecorded Plat are now included. A (None) selection has also been added. This selection list is also available on the Recording tab on the Property tab in the Closing File module. Multiple Clause Import Features. Now, there is an easy way to import your existing clauses into DoubleTime with a couple of mouse clicks. Just copy your exception clauses and select Paste Clauses from Clipboard from the new Edit menu item. Or save the clauses in a TXT file and select Import Clauses from Text File. Either way, all the clauses will be inserted for you at the same time. These are handy tools to convert your pre-existing master files to DoubleTime Master Property files. If copying exceptions from WordPerfect, the Import Clauses from Text File is probably the better option to use, because saving the exceptions in a text file will remove the WordPerfect codes from the text. Note: Be sure to separate each clause by a single blank line since that s how DoubleTime knows where the clause ends. These two new features are also available on the Requirements and Exceptions tab in the Commitment module, as well as on the Owner and Mortgagee Exceptions tabs in the Policy module (see the Title Insurance section below). These features have been available via web download. Preferences New Tab in Office Settings. There is a new tab labeled Proxy. If your office network uses a proxy server, completing this tab will enable you to use esolutions features. Have your computer administrator enter the appropriate settings on this tab so that your firm can take advantage of the esolutions for Fund Forms features. This change has been available via web download. New Electronic Payment Fields in Account Maintenance. Two new fields have been added to facilitate Electronic Payment. If you wish to specify a default bank account for making ACH payments for policy premium, click the epayment Default check box. Then, when making payments electronically, the account information will automatically default for you. In addition, since an ABA Routing Number is required for electronic payment, there is a new field for you to enter that number. Not sure which number on your check is the Routing Number? Just refer to the handy instructions right on the Account Maintenance window. There s even a sample check illustration showing the difference between the Account Number and the Routing Number. 8 Improvements to Change User Name. This option has always allowed you to change to a different User Name or add a new user. Now, however, you can more easily see the User Names that have already been entered. New Delete User Name Option. Some of you have asked for the ability to delete User Names, and now you have it! It s now very easy to remove User Names that are no longer needed. Just select Delete User Name from the Preferences menu, select the User Name, and click OK. Enhancements and Additions to User Settings. There are many changes to User Settings. For example, additional functionality is now available on the Accounting tab, and you can use the Electronic Delivery tab to enable new users for Electronic Payment. There is also a new tab called RA-Connect. See below for the details. Accounting Tab New Export Options. In addition to Quicken, QuickBooks, and Dapix, there are two new options available: Perfect Practice and QuickBooks (Real Time). We are pleased to announce to users of Perfect Practice software that they can now create files for exporting their balance sheet information from DoubleTime. Two comma-separated export (CSV) files are generated, one for deposits and one for disbursements. Note: The Import feature in Perfect Practice will be available in a future release. Please contact Perfect Practice for more information. You ll also notice an additional option for QuickBooks QuickBooks (Real Time). This does not replace the existing QuickBooks export option QuickBooks (IIF File). Rather, for users of certain multi-user versions of QuickBooks, this option allows you to import deposits and disbursements directly into QuickBooks, without the need to create an intermediary (IIF) file. Upon exporting from DoubleTime, the data is passed directly to the specified account in QuickBooks in real time. Using this option, there is no need to switch to single-user mode in QuickBooks. To use this exciting new export option, you must have the multi-user version of QuickBooks 2003 Professional or Enterprise Edition, or higher. Important Information for Quicken Users: Beginning with Quicken 2005 for Windows, accounting import into Quicken (QIF Import) will no longer be available for checking accounts. Customers using Quicken 2004 for Windows and earlier versions will be able to continue using QIF Import. For more information, visit Intuit s web site at Electronic Delivery Tab Enable New Users for Electronic Payment Here. If you have additional FundNet users that you want to use the Electronic Payment feature, first have your FundNet Administrator check the box to grant access rights to Electronic Payment. A FundNet user can have None selected for esolutions Access and still check the box for Electronic Payment. Click the Default button for the appropriate DoubleTime User Name, complete the FundNet User ID and Password, then click the Test Connection button. Now the user is enabled to use Electronic Payment. Note: For users who are already enabled for Electronic Delivery and have already completed a Test Connection, it is not necessary to reinitiate the Test Connection to use Electronic Payment. Just be sure the FundNet Administrator checks the Electronic Payment check box. RA-Connect Tab Enable the RA-Connect Feature Here. To enable the RA- Connect import feature, you must have an RA-Connect account. Click the Default button to complete the HTTP settings, enter your RA-Connect Account Number, User Name, and Password, and click the Test Connection button. Once there s a successful connection, you re ready to use the RA-Connect import feature. For more information on RA-Connect, contact your Fund Sales Representative. Page 8 of 11 7/15/2004

9 User Settings Change to Electronic Delivery Tab. There s a new setting for the HTTP Host Name instead of fundnet.thefund.com. This change has been available via web download. Premium Calculation (Rating) esolutions Electronic Payment. Now, as part of the Electronic Delivery process, you can choose to pay the invoice electronically! You ll notice that there is now a Next button on the window where the invoice is displayed and printed. Just click Next to continue, then enter the bank account information, (bank account number, nine-digit routing number, and name of the bank). You can use the Get Accounts button to select a bank account from those that are set up in Account Maintenance in Preferences. You can also specify a default bank account in Account Maintenance by checking the epayment check box (for more information, see the New Electronic Payment Fields in Account Maintenance section below). Once the bank account information is entered, click the Submit Payment button and you re done! Be sure to print the Invoice Payment Confirmation for your records. You can also print the invoice with the payment Confirmation Number from Fund Policy Premium Invoices in the Reports module. esolutions Electronic Delivery Exhibit A Legal Descriptions. You can electronically deliver policies with Exhibit A legal descriptions. If the legal description in the Closing File refers to an Exhibit, you will receive an informational message in the Electronic Delivery wizard instructing you to fax the legal description to The Fund s Finance Customer Service Department. The fax number is Please include the Fund Reference Number or Invoice Number, along with the Policy Number(s). This change has been available via web download. Changes to esolutions Electronic Delivery. The following changes have been made to the Electronic Delivery wizard: Incomplete Electronic Delivery. Occasionally, an electronic delivery is initiated but not completed. For example, if there was a power loss or The Fund s server became unavailable while an electronic delivery was in process, then that would result in an incomplete transaction. There is a mechanism in the electronic delivery process that keeps track of any incomplete transactions, and now notification has been added to the Warning panel in the Electronic Policy Delivery wizard so that you can be made aware of any incomplete deliveries. How do you complete these transactions? Just make a note of the closing file number(s) listed in the Warning panel, switch to the appropriate file, and reinitiate the Electronic Delivery. The delivery process will pick up right where it left off. Document Number Validation. For those counties that use document numbers rather than Official Records Books, such as Sarasota, the document number year no longer has to be within two years of the recording date. Policy Rating Worksheet. The field for the Agent name is now expanded to accommodate long firm names. Reconciliation Balance Sheet Addition. The bank account number selected in the Closing File has been added to the printed balance sheet. Page 9 of 11 7/15/2004

10 New Accounting Export Message. Previously, if there was a negative line item on the balance sheet, the Accounting Export icon was disabled because negative amounts cannot be exported. Now, it will remain enabled if there are any negative amounts, but an informational message will be displayed when the icon is clicked. The message provides instructions to combine any negative amounts, such as an Aggregate Accounting Adjustment, before exporting. Reports New Reports. Four new reports have been added to this module: Closing File by Lender. This report allows you to obtain a list of all files for a particular lender and totals the loan amounts (and Sales Prices, when applicable) for a given closing date range. The Loan Status defaults to New, but you can select Assumption, Modification, Payoff, or All. Fund Policy Premium Invoices Paid Electronically. This report assists in tracking your electronic payments. You can obtain a list of paid invoices by Invoice Date range (the default), Closing Date, or Payment Date range. The date range defaults from the first of the month through the current date. You can even check electronic payments for a particular closing file. The report includes your Invoice, Fund Reference, and Confirmation numbers. Fund Policy Premium Invoices Unpaid Electronically. To assist you in making sure your invoices are getting paid electronically, you can check which invoices have not yet been paid electronically. You can obtain a list by Invoice or Closing Date range. Note: Before making a payment electronically, be sure the invoice(s) have not been paid by check and mailed to The Fund. Master Property List. This report provides you with a list of the Master Property files that have been created in DoubleTime. Select the county (or select All), then select the property type, such as Subdivision or Condominium, or leave the default selection at All. The list includes the name of the property, recording information, and property type. Title Insurance Multiple Clause Import Features. Now, there is an easy way to import your existing clauses into DoubleTime with a couple of mouse clicks. Just copy your requirements or exception clauses and select Paste Clauses from Clipboard from the new Edit menu item. Or save the clauses in a TXT file and select Import Clauses from Text File. Either way, all the clauses will be inserted for you at the same time. If copying from WordPerfect, the Import Clauses from Text File is probably the better option to use, because saving the exceptions in a text file will remove the WordPerfect codes. These two new features are available on the Requirements and Exceptions tab in the Commitment module, as well as on the Owner and Mortgagee Exceptions tabs in the Policy module. 11 General New Hot Key for Clause Library. There is a new hot key (key equivalent) for accessing Clause Library from any module where it is available CTRL + L.
