3 WCM Quick Start

4 Quick Start Log in to the Cascade Server Enter your SacLink username and password and click on the Login button. TIP: Bookmark the Cascade url so that you can quickly access the site. Locating a Page When you log in, you will be taken to the Dashboard, which shows 3 ways to interact with the WCM: 1. Site Selector 2. Menu Bar 3. Asset Tree Start with the Asset Tree (3) and locate the folder that corresponds to your department. Double click the folder, or Click on the plus mark to the left of the folder icon. TIP: Folders are yellow icons. Pages are blue icons. Opening A Page Click on the page you want to open (1). Click on 'Edit' (2). The edit window will appear. This is where you can add or change text, add/change/delete photos, pdfs and Word Documents. See the specific descriptions later in this guide. Page 1

5 Editing a Page Drop Down Menu Hover the mouse to the right of the blue page icon. A down arrow appears, click on the down arrow. A drop down menu appears that can be useed to edit that particular page. Editing the Home Page - Blocks Basically, the information that appears on the Home Page, for most sites, is set up in modules or "Blocks". When you look at the home page in Cascade you will notice that at the top corner of each Block, or area of Blocks, there is an icon that looks like a small white block: Click on the block and a window will appear: The top item in the list, links you to the location where you can edit the Block. If the link is not live, you can also maneuver to the place to edit the Block on the Asset Tree as follows: internal/blocks/regions/main/select the appropriate file to edit. If you are having troubles locating the file, please call or Nancy (wylien@csus.edu X87790) Here is a space to write down how you get to your particular Block set up file to edit a particular module that appears on your Home Page Page 2

6 Using the Word Processor WCM Users Guide The word processor, also called the WYSIWYG (what you see is what you get) editor, that is integrated in the CMS system has the same functionality and features you are most likely accustomed to using in a standard editor. The button functions are as follows: Go to page 10 for details. TIPS: Fonts - The font style is predetermined by the the WCM template and Cascading Style Sheets (CSS). Therefore you are not able to adjust the size, color, or font style. The only adjustment that you can make to the font is to: Bold, Italicize, Underline, Strikethrough, Superscript and Subscript. Headings can be adjusted with Heading Styles. Heading Styles - There are predetermined heading styles that allow you to create a larger and bolder heading text. Click on the drop down box on the top right. Notice Heading 1, Heading2, and then if you scroll down there will be additional ones. Heading 1 is reseved for the heading that appears at the top of each page. Sometimes using the predetermined paragraph style, bolded, is sufficient to emphasize certain text. Spacing between lines of text - If you strike the "ENTER" key at the end of a line a text there is a gap of white space between lines of text. If you want to have the line of text closer (less white space between lines) then hold down the "SHIFT" key and strike the "ENTER" key. Insert a Link to an Internal Page - A Page within your website or within the main folder for your department. To create a link, first highlight the text to be linked and click the "Create/Edit Link" button. The Insert/Edit link dialog box apears. Under Link: Search, maneuver to the page you want to link to. Click Insert. Page 3

7 Getting Images and PDF's Ready and Importing them into the WCM TIP: Make a "New Folder" on the desktop of your computer. Use the folder as a holding place for files (images, PDF's, Word documents) that you want to import into the WCM. Name it something like: "WCM Transfer". Images Prepare and Import Image First: prepare the images that you want to import into the WCM and save them in a folder - ready for import (see TIP below). Go into Cascade and maneuver the Asset Tree to the folder where you want ot lodge the image. Click on the folder where you want the images to reside. Go up to the Main Menu and click on "New" - a drop down menu will appear. (see image to the right) Select "Other File" A dialog box will appear "New File" (see image to the right). Under "Data" and to the right of "File Upload" click on "Browse". Manuver to the folder, on your computer, where you saved the image files. Double click the image file in order to import/upload the image document into the WCM. In the space next to "Display Name", enter the name for the image document. Click on "Submit". Take a look at the Asset Tree, at the folder where you wanted the image document to reside. Notice, the file will appear there. TIP: Size and crop images before you upload them into the WCM. Save images at PPI (pixels per inch). The width of the white space in the window area for a sub page is 700 pixels wide. Place image on the page Maneuver to the page where you want to place the image. Place the cursor on the page. Page 4

8 Click on the "Insert/Edit Image" icon on the word processor menu bar. A dialog box appears Click on "Search" and maneuver (browse) to the folder where the image resides and click on the image to select. The dialog box now contains the url path for the image. Click in the space next to "Alternate Text" and type in a name for the image. Note that at the top of the dialog box there is a tab labeled "Advanced", click on the tab. This is where you can change the alignment of the image, add a border and/or spacing that will be created around the boundary of the image. Click on the "Insert" button at the bottome of the dialog box. PDF Prepare and Import a PDF First: prepare the PDF that you want to import into the WCM and save it in a folder on your computer (see TIP on previous page) - the PDF is now ready for import. Go into Cascade and maneuver the Asset Tree to the folder where you want ot lodge the PDF Click on the folder where you want the PDF to reside. Go up to the Main Menu and click on "New" - a drop down menu will appear. Select "Word or PDF File" A dialog box will appear "New File" (same as for images) Under "Data" and to the right of "File Upload" click on "Browse". Manuver to the folder, on your computer, where you saved the PDF file. Double click the PDF file in order to import/uplad thepdf document into the WCM. Next to "Display Name", enter the name for the PDF document. Click on "Submit". Take a look at the Asset Tree, at the folder where you want the PDF document to reside. Notice, the file will appear there. Page 5

9 Linking to a PDF Select page and then select "Edit" page. To create a link, first highlight the text to be linked and click the "Create/Edit Link" button. The Insert/Edit link dialog box apears. Under Link: Search, maneuver to the PDF that you want to link to. Click Insert. TIP: Prepare and import images and PDF's before you begin to edit a page. Other wise you have to close the page you are working on in order to import the images and PDF's. Submit and Publish a Page When you have completed your edits and/or additions, scroll to the bottom of the edit view and click on the "Submit" button. On the Menu Bar, click on the "Publish" tab. A second window appears, click on the "Submit" button. When the page has published to the web a message appears above the Menur Bar - "Publish messages sent successfully". Open a new browser window and check the live site for the changes. TIP: Sometimes the Cascade server is very slow, be patient. Click the Refresh Button on your browser in order to view the changes that you just made. Page 6

11 Log in to the Cascade Server URL: Enter your SacLink Username and Password TIP: Place the URL in the Bookmarks of your web browser so that when you return to Cascade you can quickly log in. The Dashboard The image below shows the screem that you see first, upon logging into the system. You can get back here at any time simply by clicking Home in the upper left corner of the top navigation menmain Menu The menu bar is the primary way to create new content. The New menu has predefined templates to create new pages for your website. It is also how you upload files or create new folders. Asset Tree The Asset Tree is a familiar tool for getting around a website when you re building it. Like Windows Explorer or Dreamweaver, files are organized into folders, which can be expanded or contracted. Page 8

12 Site Selector If you manage sites in different divisions, or a personal site, this dropdown let s you switch between them. Each site has a base, like or that is represented by the Base Folder in the Asset Tree. The main editing window on the right displays your personal dashboard any workflows or messages waiting, new content wizards, locked assets, and a list of recently visited items. Now looking to the left, you ll see the Asset Tree in the left side bar. This is where your site is managed. Under the Base Folder (1), you will see several additional folders (called top level folders), each of which represents a different site that can be managed independently of the others with different levels of user access all from within one interface. You can collapse the asset tree by clicking on the grey tab between the two sections. Opening a Page When you select the folder for your department, by clicking on the yellow folder icon. As subset of folders and other items appear. The blue icon represents a page (1). To open the page click on the page (blue) icon. What you will see is a preview of the page. Once the page has loaded, click on the Edit tab (2) in order to make changes/additions to the page. From here you are able to edit all the content of the designated region. Make the desired changes to the document just as you would when using a standard word proprocessor. While you are editing an asset, such as a page, file, or folder, the asset is automatically locked to prevent other users from accessing the same asset while it is being edited. When edits have been made and the asset has been submitted, the asset is automatically unlocked so that other users can access it. Editing a Page Editing a page in the CMS is very similar to editing a Microsoft Word document on your hard drive. Start by locating the page in the asset tree and clicking on the page you would like to edit. Once the page has loaded, click on the Edit tab located above the page next to the active View tab. From here you are able to edit all the content of the designated region. Make the desired changes to the document just as you would when using a standard word processor. While you are editing an asset, such as a page, file, or folder, the asset is automatically locked to prevent other users from accessing the same asset while it is being edited. When edits have been made and the asset has been submitted, the asset is automatically unlocked so that other users can access it. Page 9

13 Using the Word Processor The word processor, also called the WYSIWYG (what you see is what you get) editor, that is integrated in the CMS system has the same functionality and features you are most likely accustomed to using in a standard editor. Button Functions 1. Cut (CTR + X)- Select text, click on icon to cut the item.. 2. Copy (CTRL + C) -Select text, click on icon. 3. Paste (CTRL + V) - Insert cursor where you want to place a copied, or cut item. USING Keys: Insert cursor CTRL + V 4. Paste as Plain Text - Paste the text as plain text. 5. Find and Replace - Allows you to find a certain word within the document and replace it with another. 6. Toggle Spell Checker - Check for mis-spellings within the document. Click on the button, then click on the mis-spelled work (underlined in red) a drop down window appears over the word with a list of possible supstitutions. 7. Insert/Remove Bulleted List - Used to convert a list of text to a bulleted list. Select the text, click on the button. 8. Insert/Remove Numbered List - Used to convert a list of text to a numbered list. Select the text, click on the button. 9. Increase/Decrease Indent - Place cursor or select text the left button outdents, the right button indents. 10. Insert/Edit Link - Select the text or image that you want to form a link to and click on the link button. A diaglog box will appear: Internal Link - used for linking to a location that is within your website. External Link - used to link to a page outside of your website - that could be within the WCM or any other site that exists on the internet. Link - click on search to maneuver to the location that you want the link to link to. Page 10

14 11. Unlink - Select the text that is connected to a link, select unlink in order to eliminate the link. 12. Insert/Edit Anchor - An anchor is placed on a page in order to link to a location within the current document. The anchor is a destination anchor, by adding a fragment of text a link can be directed to the point where the anchor has beem inserted. Click on the anchor button, a dialog box appears "Insert/Edit Anchor", enter a name of identifier for the anchor, click on Insert. 13. Insert/Edit Image - Click on the button and a dialog box appears. There are two tabs at the top 'Basic" and "Advanced' Basic Tab Internal Image - used for selecting an image from within your website. Image - click on Search and maneuver to where the image file resides. If it is an external location maneruver to that location. Alternate Text - Type in label for the image - the label does not appear on the page, it becomes a part of the html coding. External Image - used for selecting an image from outside your computer: Click on "External" type in (or copy and paste) the url of the page that you want the link to go to. Click "Insert" to complete. Advanced Tab - used to set alignment, border width and vertical and horizontal spacing ( the distance that the text flows out sider of the boundaries of the image.) 14. Insert/Edit Imbedded Media - Insert the cursor where you want the video to appear. Click on the icon a dialog box appears. At this point videos are restricted to videos that are currently on YouTube. Therefore, in the dialog box enter the url of the location of the video on YouTube in the space next to "File/URL". 15. Insert Horizontal Line - Place the cursor where you want the line to appear. Click on the icon and a dialog box will pop up. Enter the width and height that you want the line to be and select, or deselect "No Shadow" as you desire. 16. Insert/Edit Table - Place the cursor on the page where you want the table to appear. Click on the icon. Notice that there are two tabs - General and Advanced. General Tab General Properties - this is where you define the parameters for the table. Advanced Properties - allows for further definition of the table. 17. Cleanup Messy Code - Cleans up the behind the scenes html code. WCM Users Guide 18. Remove Formatting - Select the text of concern, click on icon to remove any formatting attached to the text. Edit HTML Source - Click on the icon to open the dialog box that is the HTML Source Editor where you can check and adjust the HTML code. 20. show/hide Guidlines/Invisible Element - Click on the icon to toggle on or off, the ability to see guidelines on the page - such as the dotted guide line around a table. 21. Toggle Full Screen Mode - Cick on the icon to toggle on or off, the ability to have the screen appear in full screen of modified screen view mode. 22. Insert Special Characters - Place the cursor on the page where you want a special character to appear. Click on the icon and a diablog box appears that has a grid of special characters to chose from. Click on the desired special character to place. 23. Subscript - Select the text, click on the subscript button to move the text to a subscript position (below the baseline of the text.) 24. Superscript - Select the text, click on the superscript button to move the text to a superscript position (above the baseline of the text.) 25. Bold (CTRL + B) - Select text, click on the icon button to bold face the selected text. 26. Italics (CTRL + I) - Select text, click on the icon button to italicize the selected text. 27. Underline (CTRL + U) - Select text, click on the icon buttion to underline the selected text. 28. Strikethrough - Select text, click on the icon button to strikethrough on the text. 29. Align Left - Select text, click on the icon button to left justify the text. 30. Align Center- Select text, click on the icon button to center justify the text. 31. Align Right - Select text, click on the icon button to right justify the text. 32. Align Full - Select text, click on the icon button to center and justify left and right. WCM Users Guide 33. Styles - Drop down menu listing of avabable formatting styles. Currently can be used to align an image: float left, float right, float center. 34. Text Formats - Drop down list of predertermed text format styles. Select the text to be formatted and select the fomat name. Includes settings for text heading formats. Page 12

16 Inserting an Image Now we want to insert an image. Place your mouse cursor in the area desired for the image, and then click on the insert image icon on the toolbar. The insert image window offers two tabs one for internal images and one for external. We are going to insert an image that is already in the system, so we ll stay on the default Internal tab. Next to Image, you will see two icons a red cancel/delete icon and an image icon. Click on the mage icon to open a new window that will allow you to select an image to insert. In the new image chooser window, maneruver to and select the intranet folder in the left asset tree, followed by the files folder and then the images folder, and finally the image file logo. With the image selected, click Confirm to close the window. The image path will appear in the insert image window. In the Alternate Text field, type in the text representation of the image Company Logo. Now click Insert for the image to be placed in the word processor. Inserting a Hyperlink Highlight the word or words you wish to turn into a hyperlink (see sample on next page item #1). Page 13

17 Click the insert web link icon on the toolbar (Item #2 on sample above). The insert link window will now open and, again, you will see two tabs one for internal links and one for external. We re inserting a link to another page of our site, so we ll stay on the default Internal tab. Next to Link you will see two icons a red cancel/delete icon and a page icon. Click on the page icon to open a new window that will allow you to select the page you wish to link to. Select intranet on the asset tree followed by the default page. With the page selected, click Confirm to close the window. Now, back in the insert link window, click the Insert button. The window will close, and the hyperlink will be placed around the selected word processor text. Saving Content To save your changes, click the Submit button below the word processor (or use the shortcut key Alt+Shift+S). Congratulations! You ve just edited your first web page in the the WCM You should see the changes you ve made reflected throughout the page, including the main content region (word processor), left context navigation menu, and page heading. Publish the Page/Site When a page is saved to the WCM using the "Submit" button, it does not immediately get published to the live server - making it accessible on the internet. To make a change live, so that it can be viewed on the edu site, you must Publish a page or the entire site. Page 14

18 Publish a Page In the Asset Tree, click on the icon for the page that you want to publish. Or, with the page open in the editor window. Click on the "Publish" tab. Click on the "Submit" Button. Publish the Site In the Asset Tree click on the icon for the folder that contains all of the files for the site. Click on the "Publish" tab. Click on the "Submit" Button TIP: If you go into Cascade to make changes and you only make those changes to one page, Publishing the page will be sufficient. However, if you make alot of changes, particularly changes that effect the Left Navigation, then you should Publish the entire site. Go to the browser to double check that your changes are posted to the internet and are correct. Viewing History/Versions As you are working in the WCM, you may have cause to view a previous version of the page that you are working on, or you may need to revive a previous version of the page To view and access past versions of the page, you can click on the More tab located in the top navigation menu. You will be forwarded to the history screen where you will see a list of all of the versions that were created in relation to page. You can jump to any of the versions by clicking on its system name in the list. This is a great way to retrieve a previously saved page. Page 15

19 Recent History Often, as you re working within the system, you ll want an easy way to return to content you were working on earlier. It is accessed from the Dashboard under My Recent History. Viewing versions reveals a list of your most recently viewed assets, and it provides for easy navigation. The history is cleared each time you log out of the system, so you ll only see assets that you ve viewed during the current session. Page 16
