Before you begin The Room Recommendations presents the room dimensions requirements, weights, wall- and ceiling loads, power outlet requirements as well as the heating, ventilation and air-conditioning (HVAC) requirements for the Telepresence T3 system. Independent of whether customers plan to install a Cisco/Cisco Immersive Room, or create their own, this document is important to read. Note that the entrance door is not a part of the Immersive Room package. The door should open outwards. Lighting and Hardwired electrical termination Where the customer has purchased lighting from Cisco, this should be installed by the End User s incumbent contractor. This is due to the practicalities of conducting electrical installations on End User premises and the relevant codes and permits required. Note! In the event of Non-immersive rooms, where additional lighting has been installed by the customer, this is to be in place and verified as operational prior to arrival. A few words on illumination Where the customer has not bought the full Immersive and Lighting package, additional lighting will be necessary. You should consult illumination expertise on this matter. Avoid structural vibrations The system should not be installed in rooms where structural vibrations are present typically in rooms adjacent to, or otherwise near, large machinery installations. If the vibrations are severe, they are likely to cause camera shake and thus affect the user experience. If in doubt, you may want to consult vibration specialists on this matter. Room dimensions and weight Overall system dimensions: (d w) / 2800 mm 4800 mm Optimal room dimensions (immersive room): (d w) / 4880 mm 7195 mm Room Height: / 2650 mm Floor flatness: Less than 1 (2.5 cm) deviation about the room recommended. Higher values may cause system misalignment providing a less than optimal perceived experience. Weight of total system: 2,370 lbs (1,075 kg) Weight of Wooden Wall panels: lbs/inch 2 (15 kg / m 2 ) Weight of Glass Wall Panels: 132 lbs (60 kg) The Floor load for the glass panels: 528 lbs (240 kg) / 8 adjustable legs (A = 314 mm 2 ) 0.76 kg/mm 2 Wall load for front / back wall (3.9 m 2 ): 129 lbs ( = 58.5 kg) (maximum size room) Wall Load for side wall (11.47 m 2 ): 378 lbs ( =172 kg) (maximum size room) Ceiling lights (in total): 176 lbs (80 kg) Row 1 (above system): 44 lbs (20 kg) Row 2 (above table): 66 lbs (30 kg) Row 3 (behind chairs): 66 lbs (30 kg) Document camera: 26 lbs (12 kg) Page 4 of 22
Door opening and placement The door and the door frame are not parts of the Cisco Immersive Room package. For privacy and sound insulation reasons we strongly recommend that sound insulation is applied between the wall structure and the door s frame. The minimum door opening is 990 mm (39 ), fitting a 980 mm ( ) door, while the maximum door opening is 1210 mm ( ) fitting a 1200 mm ( ) door. The door should open outwards. Failure to comply with this may conflict with regulations dictating that wheel chair access to the room shall not be obstructed. This applies to a room with optimal dimensions only. Door color: We recommend the RAL color Verkehrschwarz 9017 (9017 black silk matte) Page 5 of 22

Optimum and maximum room depth Note! The door is not a part of the Cisco Immersive Room Package. The door should be mounted so that it opens outwards. The drawing shows the minimum door size (see the previous page for details). Page 7 of 22
Minimum room depth Note! The space between the system and the glass wall behind the system should be at least 2 feet or 50 cm, if possible, to permit easy access to the system for maintenance purpose. Note! The door is not a part of the Cisco Immersive Room Package. The door should be mounted so that it opens outwards. Observe that if the room gets smaller, the space between the table and backwall will be tight. Page 8 of 22
Optimum and maximum room width Note! The door is not a part of the Cisco Immersive Room Package. The door should be mounted so that it opens outwards. Page 9 of 22
Minimum room width Note! The door is not a part of the Cisco Immersive Room Package. The door should be mounted so that it opens outwards. Observe that the room should not have a smaller width than shown since that will prevent a proper installation of the wooden corner panels. Page 10 of 22
Room height The room is shown with the Telepresence T3 system installed. The left drawing shows the maximum/optimum ceiling height. Note how the wall above the panels will become exposed. The right drawing shows the minimum ceiling height. Below this all panels and the light installment will be affected. Note! The door is not a part of the Cisco Immersive Room Package. The door should be mounted so that it opens outwards. Page 11 of 22

Acoustics recommendations It is essential to have a good acoustic environment for the system to provide the true telepresence experience. This means that there should be sufficient sound insulation to minimize noise from adjacent rooms and to ensure that confidential information is kept within the meeting room. A good choice of acoustic materials for the surfaces and low background noise will ensure comfort in long meetings in addition to high speech intelligibility. You may want to consult acoustic specialists when looking into this matter. Sound insulation (what/why/how) We recommend that all walls around the room should have a sound insulation of R w 48 db ( STC 50). The door should have a sound insulation of Rw 35 db ( STC 35). This will provide good privacy for confidential conversations and no one will be able to eavesdrop on the meeting. A typical wall construction that will meet this would be: 2 13 mm gypsum, 100 mm steel studs filled with mineral wool and 2 13 mm gypsum. It is very important that the wall goes all the way from the floor up to the load-bearing concrete construction in the ceiling and not only up to the suspended ceiling. All penetrations for electrics and HVAC etc. must be carefully sealed with airtight sealant. If your goal is just not to disturb people outside and if there is relatively little noise in the surrounding rooms the sound insulation could be relaxed somewhat. The wall should then satisfy R w 37 db ( STC 39) and the door Rw 25 db ( STC 25). A typical way of realizing this would be: 13 mm gypsum, 70 mm steel studs filled with mineral wool and 13 mm gypsum. Noise level Background noise level should be 30 dba. This includes both noise from technical installations (airconditioning, in particular) and outdoor traffic noise etc. However, lowering your expectations just a little bit to the high quality telepresence experience, a background noise level 35 dba will be acceptable. We strongly recommend keeping the background noise as low as possible although the system still will perform quite well at higher noise levels. Absorption Specific immersive rooms recommendations. An absorptive ceiling should have an absorption factor 0.9 in the octave bands [Hz]. This will require a mineral wool ceiling of normal good quality. If you already have a ceiling with approximately 0.7 it would still work but you get slightly more reverb on your audio both microphone and loudspeaker. Specific non-immersive room recommendations. The reverberation time (RT) should be within [s] in the octave bands [Hz]. The acoustic absorption should to some extent be distributed on the walls in addition to the ceiling to avoid flutter-echo effects from parallel walls. The ceiling is recommended to have an absorption factor 0.9 in the octave bands [Hz]. The walls should have sound absorption covering the fields corresponding to the perforated panels in the Cisco Immersive Room Package the side walls and the front/ back walls above the blue glass. If perforated or slotted panels are used, the opening area of the panel should be 20% or more. Sound absorption on walls could also be made with mineral wool or foam wall panels, curtains or other absorptive materials. We strongly recommend using carpet on the floor in the room. This will further increase the absorption and the quality. Page 13 of 22
