3 Wyndham Referral Rewards Program Overview Wyndham Referral Rewards Program Wyndham Referral Rewards is Wyndham Hotel Group s property to property and associate referral program. All Wyndham Hotel group associates and hotel associates can send leads to any of the Wyndham Referral Rewards activated properties in order to increase revenue and drive customer loyalty to Wyndham Hotel Group. 1 Program Benefits and Logistics There are three key benefits for the Wyndham Referral Rewards Program Promotes additional revenue by keeping the business within Wyndham Hotel Group Effectively minimizes the loss of sales transactions by referring business to another Wyndham Hotel Group property Allows associates to earn incentives as additional source of income The program allows associates to; Obtain lead information from various sources; Clients, Family, Friends and Personal Contacts Send the lead information on the Wyndham Referral Rewards web site to the property(s) the clients are interested in booking When the lead becomes actualized, the associate will receive an incentive for that piece of business. Program Benefits & Logistics Builds Client / Property Relationships Produces Short Term business Enhances Employee Relations and Productivity 2 Actualized Eligibility All leads are considered actualized once the group has checked out of the receiving property. The receiving property must then open lead, update the status to Actualized and enter in the actualized information. The revenue loaded into the actualized lead should not include Taxes, Audio Visual, Merchandise, Delivery Charges, Service Charges, Bartender Fees, Carving Fees, Outside Security Charges, etc. The information should only list the actual room rate, contract Food & Beverage, and Meeting Room revenue only. 3 Participation Eligibility All Wyndham Hotel Group franchised properties are eligible to participate in this program. All Wyndham Hotel Group corporate employees are eligible to send leads to participating WHG properties (except as otherwise noted below) Ineligible Corporate Associates are as followed; Group Sales Desk, Global Sales Managers, Global Sales Directors, Vice President and above Positions that represent the positions outlined above Any other positions that Wyndham Hotel Group determines in its discretion 4 Lead Qualification and Types Lead Qualification All leads being sent must meet the following qualifications; You have asked for and have been given permission from the client to forward their information onto another Wyndham Hotel Group property. The client is willing to speak to and is aware they will receive calls from a sales representative of the property that will receive the lead. The client must have legitimate plans to book in the same cities / destinations as the hotels the lead is being sent to. The client is willing to sign a contract or agreement for the booking. Lead Types The following lead types are available to refer business; Group Leads (Group Rooms Only, Group Rooms and Function Space) o Must have a minimum of 10 rooms or more peak night o May be rooms only or with function space requirements Wyndham Hotel Group Referral Rewards Program Guidelines Page 3 of 5
4 Catering and/or Event Leads (Function Space Only or Group Rooms and Functions) o Must have a minimum of 10 attendees o May include 9 or less contracted guest rooms with an event Non-Qualified Leads Business already on books at property Groups that contact the hotel directly cannot be referred to their own hotel or other Group Opportunities received from the Global Sales team Accounts owned by the Global Sales team 5 Incentive Program Wyndham Referral Rewards is designed to incentivize corporate and hotel associates who send referral leads. It is recommended that the sending associate receive a 6% incentive based on total actualized revenues of the lead they referred. Franchise properties will receive this incentive on behalf of their sending associate. This will be issued as a billing credit. It is at the sole discretion of the properties to allocate this incentive to the sending associate through their own payroll systems. 6 Property Payout, Billing and Payroll RECEIVING PROPERTY The receiving property that books the lead will be billed for payout of 10% of actualized revenues on their monthly billing statement. 7% will be credited to the sending property s billing statement 3% will go to the Wyndham Referral Rewards administration fee It is recommended that payout will be within 45 days from the end of the month the group was deemed actualized in the Wyndham Referral Rewards lead management system Actualized revenues consist of Guest Room, Contracted Food, Beverage and Meeting Room Rental revenues. SENDING PROPERTY The sending property that generates the lead will be credited for 7% of actualized revenues on their monthly billing statement. 6% will be credited to the sending property as an incentive. It is recommended that this be allocated to the sending associate 1% will be credited to the sending property to aid with payroll taxes the sending property may incur for paying the sending associate Actualized revenues consist of Guest Room, Contracted Food, Beverage and Meeting Room Rental revenues BILLING PROCESS The billing process is handled centrally at Wyndham Hotel Group s finance team. Billing is processed on a monthly basis Credits and debits are applied to the monthly Billing Statement for leads that are booked and for incentives received PAYROLL PROCESS For franchise properties, it is at their sole discretion that Wyndham Referral Rewards incentives are to be processed through their own payroll system. Referral fees listed are gross amounts and are payable net of taxes and withholdings NOTE: It is recommended that referral incentives be paid to the sending associate within 45 days from the end of the month the lead was deemed actualized in the system. 7 Criteria All leads will be tallied on a monthly basis using the first day to the last day of the month. Wyndham Hotel Group Referral Rewards Program Guidelines Page 4 of 5
5 On a monthly basis each property is able to view or print a financial details report showing their actualized production along with the 10% payout and / or the 7% incentive for payout to associate and payroll tax. After the booking has been turned actualized, the incentive will be paid to the associate through their company s payroll system within 45 days from the end of the month the lead was deemed actualized in the system. All sending associates must still be employed by the sending property when payment is made in order to receive their incentive. The receiving property must still be part of Wyndham Hotel Group at time of consumption in order for the sending associate to receive their incentive. Incentive payments are to be processed through payroll and will be made in lump sum, net of withholding and any monies owned to the property. Falsifying of leads and/or revenues to enhance a referral fee violates company policy and may result in termination from the Wyndham Referral Rewards Program Leads sourced through the Wyndham Referral Rewards Program are prohibited from being shared with other competing brands. Sharing proprietary business leads sourced through Wyndham is a violation of the franchise agreement. Wyndham Hotel Group reserves the right to modify, suspend and/or terminate all or any portions of this program at any time without notice at the sole discretion of the company.
