1 How to Create Your Signature 1. Launch Microsoft Office Outlook 2. From the main Outlook window, click Tools on the tool bar. Select Options from the drop down menu. 1

2 3. In the Options dialogue box click the Mail Format tab. In the drop down menu labeled Compose in this message format select HTML. Place a checkmark in the box assigned to Use Microsoft Word 2003 to edit e- mail messages. a. NOTE: If you are using Microsoft Office 2007 this will already be set for you. 4. Click Apply. 5. Click Signatures. 2

3 6. In the Create Signature dialogue box click New 7. In the Create New Signature dialogue box enter a name for your new signature in the text box. Then select the radio button marked Start with a blank signature. Once you are finished click Next. 3

4 8. In the Edit Signature dialogue box click Advanced Edit 9. A Microsoft Office Outlook warning will then pop up, click Yes. 10. Microsoft Word will then pop up. Here is where you can type in your e- mail signature. 4

Your signature MUST look like this: Mary Smith (insert your name here) Client Service Manager (insert your title here) Registration Services (insert department name optional) 2500 Enterprise Parkway East (insert address) Twinsburg, OH Direct Dial: (insert phone number) Fax: (insert fax number optional) (insert ) (insert web site address) Experient is the source for integrated meeting and event solutions. a. signatures should be blue, 10 pt Arial type. b. The closing line Experient is the source... should be in orange 10 pt italic Arial type. c. To keep a professional look and to minimize file size, it is recommended to not add any additional graphics, logos, slogans, taglines or messages to your signature. 12. To download the Experient logo to place into the signature, please go to to download and save the image. 13. To insert the logo, place the cursor where the logo is to appear on the line after your title. Click Insert from the tool bar and highlight Picture and then From File to select the logo image from where you had previously saved it. Click Insert to insert the logo in your signature. 5

6 14. Once you are finished building your signature click File from the tool bar and select Save As. The Save As dialogue box will then appear with the save in folder set at signatures. Type the name of your signature and save as an.htm file and click Save. Close Microsoft Word. 15. In the Create Signature dialogue box highlight the signature you had created and preview it in the Preview box. When you are finished previewing the signature click OK. a. NOTE: If you would like to edit your signature click Edit and follow the steps eight (8) through eleven (11). 6

7 16. You will be taken back to the mail format tab in the Options dialogue box. Select your signature from the drop down menu marked Signature for new messages. Click Apply then click OK when you are finished. 17. It is recommended to add a signature that is much shorter for replies and forwards. Follow steps one (1) through thirteen (13). Select your signature from the drop down menu marked Signature for replies and forwards. Click Apply then click OK when you are finished. a. NOTE: When building the signature for replies and forwards use blue 10 pt Arial again for your name, title, and direct dial phone number, like this: Mary Smith (insert your name here) Client Service Manager (insert your title here) (insert phone number) 7
