1 Using Multimedia in PowerPoint 2010 PowerPoint offers a number of options for adding video, audio and image files to your presentation. You can find these types of files online, or create and upload your own files to use. The media files will play directly in PowerPoint, allowing you to create engaging presentations to use in the classroom or post to Blackboard for students to view at home. NOTE: Inserting audio is covered in a separate guide. Please see: Downloading images to your computer You can download images from the Internet to use in your presentation, including ones you find in a Google search. Here s how: 1. Locate the image you would like to add to your presentation. 2. Right-click on the image and select Save Link as, Save image as or Save picture as (depending on your browser). 3. Decide where you would like to save the image and give the file a name. 4. Click Save. Some important notes about downloading images: If you are searching in Google images or an image database (such as istockphoto or ArtSTOR), you will see a small thumbnail (preview) image first. Be sure to click on that image to view and download the full-size version. Be sure to check the copyright limitations of the images you are downloading. If you are using the images in a public/commercial presentation (one that will be recorded or downloaded), it is recommended that you either create your own images or use ones from a paid graphics site. It is easier to make a large image smaller than to make a small image larger. Small images will look grainy and blurry if you try to resize them. Inserting multimedia Regardless of what kind of media you are trying to insert, you will always start with the insert menu. Use it to insert clip art, charts, video, audio, etc. The Insert Menu PPT Faculty Center for Learning Development
2 Insert images from file 1. Go to Insert Picture. 2. Browse to the image on your computer. 3. Select the image you wish to insert. 4. Click Insert. Note: You can also insert images using the picture icon on slide layouts (see illustration at right). Adding a Slideshow of Images If you would like to show a series of images in your presentation (what PowerPoint calls a Photo Album ), you can insert and edit all of your photos in one step. Here s what to do: 1. Go to Insert Photo Album. 2. Click on File/Disk to select the photos you would like to add. Repeat until all photos are added. (Hold down the control key to select multiple pictures at once.) 3. Optional: After each image insert, click on New Text Box to add title pages between slides. 4. In the Photo Album preview window, use the Up and Down arrows to adjust the order of the images. You can also adjust the image contrast, etc. 5. Under Album Layout, select how you would like the images to be displayed with titles, number of pictures per slide, etc. By default, PowerPoint will show one image per slide. 6. Click Create. You can edit individual slides and add animations or text as needed. Managing Image File Sizes To keep your presentation file size small and running smoothly, you will want to compress the images in your presentation. To do this, make sure an image is selected, then click on the pink Picture Tools tab at the top of the screen. Under the Format tab, select Compress Pictures. Make sure the images are selected first. 1. Unselect the first box labeled Apply to selected pictures only. (We want all pictures to be compressed.) 2. Select Delete cropped areas of pictures. 3. Set the resolution to Screen. 4. Click on OK. Now view your presentation to make sure that there is no loss of quality after compressing your images. PPT Faculty Center for Learning Development
3 Editing Pictures When you insert a picture into PowerPoint, the pink Picture Tools tab should appear at the top of the screen. If you do not see it, click on the picture you inserted to make the tab appear. There are several tools on the picture toolbar you can use to crop your image, adjust brightness and contrast, change an image to black and white, grayscale, or washout (watermark), change a background color to transparent, etc. Float your cursor over each icon to see what it can adjust. Add Animations to Pictures You can use PowerPoint animations to cause images to appear, move, and disappear either on click or as part of a sequence of events. This allows you to can focus on important points, control the flow of information, and add interest to your presentation. 1. Select an image by clicking on it. 2. Click on the Animations tab. 3. Select an animation style from the menu. You can click the down arrow button (see above) to view additional effects. 4. Use the options to the farthest right of the menu named Start/Duration/Delay to control the animation s timing. 5. Click the Preview button on the left to view how your animation will work. Insert Video 1. Go to Insert Video. 2. Click on the word Video just underneath the video icon. 3. To add a video, click on Video from file. 4. When the video is added, click on the video itself and Video Tools option will appear on the menu. Under this tab there is a Format and a Playback tab. 5. Select playback options for your video. Resize and position the move where you want it to be on the slide. 6. Videos are not part of your presentation. PowerPoint is just pointing to them, which means you need to include both files when transporting from computer to computer. PPT Faculty Center for Learning Development
4 Insert a YouTube Video 1. Click the Insert tab at the top of the screen. 2. Click on the word Video just underneath the video icon and select Video from Web Site. 3. A window will pop up where you can paste the video s embedding code. 4. Open your Internet browser and navigate to the desired YouTube video. Click on the Share button to find the code to embed. 5. Click on the Embed button (see figure above) to get the code. Make sure the box Use old embed code is checked. 6. Highlight the code in the text box and copy it. 7. Open up PowerPoint and paste the code into the Insert Video window. 8. Click Insert. The video will now appear in your PowerPoint presentation. You can use Insert Video from Web Site to insert web videos from other websites as well. Inserting Hyperlinks 1. Highlight some text, or select a picture. 2. Select Insert. 3. Select Hyperlink. 4. At the bottom of the window, type your web URL Address in the text box. 5. Preview slide to make sure the links works. PPT Faculty Center for Learning Development
